Guidelines for Oral and Poster Presenters of

Scientific Sessions and Special Forum

1. Onsite check-in
Every participant is required to take the onsite check-in process to pick up conference
badge and package, by presenting to the local staff your registration QR code which will be
sent to your registered email address around one week prior to the Conference. Given
a large number of participants, you are strongly advised to make onsite check-in as early
as possible.
The onsite check-in desk is located in front of the Room Jubilee, 11th floor, the Berkeley
Hotel Pratunam, Bangkok, Thailand. It opens at:
17:00–22:00, 21 April 2024
07:00–08:20, 22-25 April 2024

2. Preparation and submission of presentation/poster

Preparations of your presentation/poster
1. Please name your file in the format:
Session number_fullname
(Example: A2_Jane_Doe)
2. Slide size could be either standard
(4:3) or widescreen (16:9). However,
widescreen (16:9) is recommended.
3. Allocated time for each presentation:
15 mins, including Q&A.
1. Please name your file in the format:
PSession number_fullname
(Example: PA2_Jane_Doe)
2. Printed in A0 size in portrait orientation,
the presenter is responsible for printing
out his/her poster and bring it to the
meeting venue.

Submission of presentation/poster
To ensure the smooth running of all sessions, Presenters are encouraged to submit
their presentation files (either in PPT or in PDF file with high resolution), preferably by
17 April 2024. All received files for oral presentations will be uploaded in advance to
the PC in each room.

Option 1: Please upload your file to the Dropbox folders created for each session
and the Special Forum. You can find the Dropbox upload link for your session in the
Annex.
Option 2: For those who are unable to access Dropbox, you can send your file (if not
larger than 25 MB) to iocwestpac2024.presentation@gmail.com. In case that your
file is too large to be sent via email, please upload it to a file-sharing service and
forward the link to us at: iocwestpac2024.presentation@gmail.com.

3. Poster set-up and removal

Poster presenters are responsible to set up their posters at the poster area in the Palladium
Hall B, on 10th floor, the Berkeley Hotel Pratunam, Bangkok, Thailand.
Note: To reach the Palladium Hall B, which is located in a separated wing on the 10th Floor,
please take the lift to 11th Floor and follow the sign
The poster set-up time is:
17:00–22:00, 21 April 2024
07:00–15:30, 22 April 2024

You will find a code for your poster in the Abstract Book and locate your poster board with
the code. Our staff will standby and provide assistance if needed.

Poster presenters are expected to be present beside their posters during the official poster
session on 17:30–19:00, 23 April 2024.
Presenters are kindly reminded to remove their posters by 25 April 2024 before 16:00.
