CHAPTER ONE
Introduction
Uzima Company is one of the leading borehole service providers in Kenya. They provide

borehole drilling services to industrial, commercial and domestic clients.

The company offers either symmetric drilling, or core drilling, or geo-technical drilling. After

the drilling, they install a water pump. Water pumps are of various types such as submersible

electric pumps, solar pumps and hand pumps. The pumps are charged according to; the depth

of the borehole, height of the tank above the ground and the type of the pump. They also install

tanks and charge depending on the capacity of the tank in litres. The company also offers other

services such as plumbing and pump maintenance. The plumping services are charged according

to the type of pipes, diameter of the pipes in inches, length of the pipes and the number of outlets.

Clients who are interested in these services are required to apply. The company then records their

details which include: Name, address, telephone number and details of the intended borehole

location among other details

SYSTEM ANALYSIS
Problem definition
The manual system for Uzima Borehole Drilling System had various problems.

i. High data duplication


ii. It’s not easy to update records
iii. Inaccurate records maybe produced.
iv. Waste of time due to searching of farmers records

 To overcome these challenges, we need to develop a computerized system that will


enable Uzima Borehole Drilling System to perform the following:

(a) Register and maintain a list of clients.


(b) Register items and services provided by the company.
(c) Computer each of the following:
(i) Total amount to be paid by each client.
(ii) Total amount charged on plumbing.
(iii) Tax paid by each client.
(iv) Total fees charged for survey and local authority.
(v) Total revenue generated by the company from each service from all clients.
(d) Generate appropriate reports. Existing system
Operation of current system for Uzima Borehole Drilling System has been manual which made
records in the company be processed manually. Therefore there is need of developing a new
computerized system that will increase level of accuracy and reduce time in operation

Proposed system
The proposed system is a computerized system for Uzima Borehole Drilling
System which will be using database i.e. Ms. Access
2.3.1 Objective of new computerized system
 Increase the accuracy in records for Drilling services.
 To reduce data duplication
 To reduce paper work in the company

2.3.2 Scope of new system

 The proposed new system solves the manual record like


reducing errors in calculation.

2.3.3 Benefits of new system


 Fast in retrieval of new record than manual.
 Saves on space compared paper work.
 Reduction of double data entry
 Reduction in errors
 It’s cheap to maintain and acquire

2.3.3.4 Feasibility study

I. Schedule feasibility- the time given out to develop new system


was enough to accomplish developing it.
II. Technology feasibility study- the technology available its
suitable for the establishment of the system.
III. Operation feasibility study-the operation that was carried out to
find out whether the user was friendly with the new system
IV. Economic feasibility study- the new system will be cheap to
acquire and cheap to maintain and the minute he or she
acquires the system and the required equipment to enable the
system to operate the will be no cost required again.

CHAPTER THREE
Information gathering
The new system was developed through several data collection methods such as;

 Observation- this was done by visiting the club members to know how they carry their
sports activities
 Interview- clients were interviewed
 Questionnaires- questions were prepared and sent to clients of the Uzima Borehole
Drilling System as shown below

FINDINGS AFTER DATA COLLECTION


After data collection the following were the findings
i. High loss of data due to improperly filling of documents.
ii. There was a lot of writing work (paper work).
iii. Delay & lack of resources like pens and books
iv. High cost of purchase of stationaries
v. Record keeping was done in files& books which led to time wasting during
searching for; farmers, retail traders and drivers.
vi. Errors occurred due to untidiness of record.
vii. The method is slower than computerized method

CONCLUSION
There is need to develop a computerized system that overcome these problems. Hence the system
is efficiently to use since it has greatly achieved our goals in terms of time and space occupied by
recorded data in record

3.3 REQUIRED SPECIFICATION.

3.3.1 OUTPUT SPECIFICATION


 These are the design of both screen and printed out put requirements for
Uzima Borehole Drilling System, having all details of members, patrons,
games items and games.

3.3.2 INPUT SPECIFICATION


 What you input determines what you will output as GIGO says. Properly
designed screens and forms should be easy to use, effectively and appealing.
The screen for data entry of Uzima Borehole Drilling System should be
clearly captioned and easy to use. Some of data entry forms for this system
are; Clients form, Workers form, Drilling services and Pumping Services form
etc.…

3.3.3 FILE/ DATA STORE


After designing the input, the last designed step in that of file or data stores. In our
system there are two type of data storage in computer;

I. Database system

A database is a centrally store of data. This method of storage eliminates the


validation problem of flat system in Uzima Borehole Drilling System. The database
approach is used. This will ensure the objective of system is achieved.

II. Flat file system

This is where records are stored in separate file each with particular details. The use
of such separate file means that some data is often stored in more than one place.

3.3.4 HARDWARE AND SOFTWARE


After studying the detail system designed specification and management of Uzima
Borehole Drilling System I decided to settle for computerized system, therefore the
designing and developing must start looking for the requirement (hardware&
software).

Troubleshooting data entry related errors in the UZIMA BOREHOLE DRILLING SYSTEM

 Invalid and wrong data entry resulting to errors message being prompted on the screen.
Some of the messages are;

1. Error message: the changes you requested to the table were not successful
because they would create duplicate values in the index, primary key or
relationship.

 Description-you are trying to enter the same item twice

 Solution-avoid double entry

2. Error message:-the field contains null value because the required property in
the field is set true.

 Description-you are trying to proceed to another record or field yet


you have not typed the record required.

 Solution-type the record before proceeding to the next record.

3. Error message:-the value entered is not valid for the field.

 Description-you are trying to enter an invalid data type in the field. For
example, you are entering text in a numeric field such as number.

 Solution-enter the correct data type.

CONCLUTION
The new system is efficient in working and its user friendly. The system will enhance the record
keeping. The system will also reduce the errors encountered in the record management and
reduce time of recording information.

RECCOMMENDATION
The system would result in efficient of processing of Uzima BoreHole Drilling System .It will
replace the manual system therefore it is recommended to be use by Uzima BoreHole Drilling
System. The system should be carefully handled and be free from viruses that can damage the
system.
