COURSE DIRECTOR’S FACULTY MEETING CHECKLIST:

FACULTY MEETING 1 (START OF DAY 1)


 Introductions
 Identify the helpers (if any)
 Check that ICs have the status you think
 Identify Mentors to ICs and ICs to Mentors
 Is anyone taking photos of the candidates? Find out now while there’s time to get it done.?
 Mentors Meet Mentees after this fac meeting
 Start 15’ later as timed on the programme, or earlier if possible
 2nd day starts at ????
 Mentors Meet Mentees ????
 3rd day: starts at ????. Does this leave enough time for those in the hotel to have breakfast?
 Teaching reminders: at least 2 faculty in the room at all times please.
 Session coordinator in charge of timing, warnings: 40 (=30), 20 (=10), 10 (=STOP), STOP (=overrun).
..... Last 10 minutes of each session for filling in your paperwork and any internal feedback changes.
..... But there is always a break between sessions except on the last 2 on day 2.
 Suggest that groups also use Internal Timing: e.g. 10, 5 for each scenario.
 Where will Tea/Coffee Breaks be held?
 Lunch - Faculty with Candidates?
 The rooms are set up? Does everyone have all they need? Are the teaching materials complete?
 Remember that the teaching rooms do not set themselves up; it’s up to you!!
 Run through the candidates; does anyone know them?
 Remember that teaching Groups are not finally fixed until we know who is here; groups may need to be
revised.
 Display copies of any revisions to the Programme will be printed during the lecture.
Programme of the day:
 Are any important people coming to speak? If so, try to start earlier?
 We start with welcome, introduction of Faculty to candidates and of candidates by their mentors.
 Lecture: projection and computer equipment OK for Lectures. Lecturer: are you happy?
 ICs are expected to attend lecture. If lecturer has a Mentor, the mentor also to watch and to feed back.
 Demo: Lead Instructor or Team Leader in charge. No IC1s in team. Convincing, top-class performance
required. No pressure!
 Practice demo during lecture (if was not done on ID); where?
 This day’s skill stations & workshops; is everyone happy with their tasks?
 All teaching groups feedback to each other
 Team leaders: in the order stated on allocation sheet not the names on programme.
 modified 4 stage approach a must for skills.
 Remember the Continuous assessment and to fill in the sheets.
 Talk about IP assessment system and how to use the forms. Stress that it is each person’s individual opinion,
not a group decision in a teaching station. Prompt faculty to read the 4 rules about nomination and voting.
 Remind the faculty about the coordination of results sheets by the session coordinator.
 We will try for a positive and rapid faculty meeting tonight.
 Detail the arrangements for Course Dinner tonight and outline arrangements for Faculty dinner tomorrow.

INTRODUCTION TO THE ETC AND NOTICES TO CANDIDATES (START OF DAY 1)

 Candidates: turn off Mobile Phones (1st time 10€, 2nd time 20€, 40€ etc): answering will cost double
 attend whole course to complete

 Session handovers all are breaks of at least 15 mins, so coffee OK (hooray!).

FACULTY MEETING 2 (End of Day 1)

 All discussion on matters of educational theory and practice are discouraged in the Fac Meeting and should be
done as informal discussion out of fac meetings, unless you are invited to comment.
 1st thing: Review of performance of ICs
 After ICs back in room, run through Day 1 and note any problems for CD report
 Run through the customers first time regarding course performance (results sheets and candidate pictures)
 Run through the customers second time for IP (NB be as patient as possible with faculty; try to get them to
use the system properly). Enter information onto CD’s collation sheet.
 Run through Programme for Day 2. Remind about variable teams and maximum possibility not to get the
right candidate in the right room.
 Ask course coordinator to tell everyone which room will be used for which station.
 Decide on suggested arrival times and time to leave hotel in the morning.
 Extremity and Paeds teams: best if you check all equipment is present in the rooms in the morning, although
we do get 30 mins break before those sessions start.
 Internal & External Timing as before.
 Reminder: all teaching groups to feedback to each other
 Tonight’s arrangements for return to Hotel & time need to leave for Course Dinner.

FACULTY MEETING 3 (End of Day 2)

 Run through 2nd Day


 IC review
 Run through candidates performance (use results sheet and Photos)
 2nd run through candidates IP review; (NB be as patient as possible with faculty; try to get them to use the
system properly). Enter information onto CD’s collation sheet.
 Run though Programme for 3rd Day
 Teams work together all day, stay in the same room, practice sessions & tests.
..... Room 1, test scenario 1; Room 2: test scenario 2, etc
..... Ask course coordinator to tell everyone which room will be used for which station.
..... Who are the assistants expected to work with teams?
..... Assistants expected to work with session coordinator?
..... When will assistants arrive? Assistants working with teams must join in from start of practice.
..... PRACTICE: ultra-strict timing 15 mins each, DO NOT OVERRUN. 10 mins to run including scenario set
and briefing of team, 5 mins to debrief.
..... 3 practices are not be the same injuries (one problem, then the other problem, then both – 3rd practice
as in the test.
..... Make up new histories for one and two, perhaps changing the side of injury (and e.g. change liver for
spleen) and change the location of #’s
..... Use the written version for practice 3 and all the tests.
..... After first set of practices 15 min to prepare the same room for TESTING:
..... Stick rigidly to test sheet, don’t simplify or add anything
..... Try very hard to stay on time – 15 minutes per test = 10 mins to run the test, 5 mins to mark – but

..... When you call them back in, either:
..... Congratulate them on passing (saying good or excellent is OK)
..... Or say that you regret that they have not passed
 If resit needed, write clear reasons on form and coordinator will pass forms to other team.
 NB if resits are needed, coordinator will select room where candidate has not already been.
 Remind every candidate not to discuss test with others
 Discreetly let coordinator know results and pass them testing sheets.
 Coordinator coordinates resits; keep alert at the end of your programmed tests in case needed for resits
 When testing over, lunch and faculty meeting together.
 Do any visiting instructors need to leave before end of meeting to get to airport?
 Final meeting in lecture theatre then results and feedback individually from mentors unless everyone
passes
 Certificates and letters to be handed out at that point or can be emailed.
 Tonight’s arrangements for transport to Fac Dinner.
