Standard Operating Procedure(SOP) for P.G.

Admission- 2023 issued


by the Higher Education Department for the greater interest of the
Students/ Parents/ University and College Authorities
(Major Points from the Common Prospectus for admission into P.G.
Courses, available on the SAMS website)

1) The HEls are requested to keep ready your SAMS tab, lnternet, Printer,
Computer etc. for the admission process for the session 2023-24.

2) During the academic session 2023-24, Counseling Based Ontine Admission


Process (Freeze/Stide/Ftoat) witt be imptemented for P.G. admission. The
detait process of Counseting Based Admission Process has been mentioned in
the Common Prospectus.

3) After pubtication of the provisional attotment List, three nos. of options as


Freeze, Slide, and Float witt be shown to the setected appticants. Such
applicants have to choose any of the options as shown in their screen and
have to pay the admission fees. The appticants who witl choose the "Freeze"
option can onty downtoad the lntimation Letter and have to visit the
destination HEI to complete the admission process. The appticants who wi[[
choose the "Slide" & "Ftoat" option have to pay the admission fees for the
setected HEls and not required to visit the lnstitution as they witl not get the
lntimation Letter.

4) This academic session, admission fees for admission into P.G. courses witt be
cottected from the students in ontine mode through SAMS portal during e-
admission period.

5) This year, seat altotment wilt be done based on the choice of preference
instead of subject-wise atlotment.

6) Appticants, who got setected his/her 1st Choice of Preferences in a Phase are
Computsority required to take admission, and witt not be attowed to
participate in the subsequent round of admissions and Phases.

7) The HEls can deny the admission under some specific situations only i.e.
mismatch in secured and maximum marks, reservation category details,
weightage detaits and comptete mismatch of student's detaits etc. ln such
cases, cottege has to verify their certificates and necessary documents
meticulously and rectify the error by cticking on the "Error Correction"
button and submit the apptication ontine.

8) Error Correction: This is very important and crucial part of admission process.
You are requested to instruct your admission team to follow att the
procedures as mentioned confirming errortess reporting of appticant's CAF
discrepancies in daity basis. This witt ensure applicants chance to get a seat
in the next round of setection.
9) The error correction must be authenticated by the Admission-in-Charge
during admission process. lf any discrepancy in updating error correction was
noticed and because of this discrepancy an appticant is debarred from taking
admission, the Admission-in-Charge witt be hetd responsibte for this
negtigence.

10)This Academic Session, "Not Reported" option shatl be made avaitabte in the
HEI's e-Space. Eartier, onty "Atlowed", "Not Attowed" & "Rejected" options
were showing in their e-Space. lf one applicant does not report at his/her
setected lnstitution that HEI may choose the "Not Reported" option next to
his/her Name/Barcode.

11) lf any changes occur in the error correction, then these apptications wit[ be
taken as fresh apptications for subsequent rounds of selection irrespective of
the mark secured by the candidates.

12) Ptease refer to the Common Prospectus (CP) for the conversion of marks &
CGPA to percentage.

13)Appticant has to produce atl original documents for verification onty at the
Destination Cotlege/University as mentioned in the lntimation Letter. No
original documents are to be deposited with Cottege/University authority
except CLC. Onty at the last institution, s/he witl submit the Migration
Certificate as per Higher Education Department Letter No.12991,
dated. 1610312021 .

14) Data-updation along with generation of Rott Number of admitted students


must be done in HEI's e-space every day in order to know the status of
admitted students on daity basis. The work must be compteted as per
timeline fixed by the Government.

15)The HEls witt be hetd responsibte for any kind of mistakes, if found in viotation
of admission process witt be viewed seriously.

16) Ptease read the instructions carefutty avaitable on the Common Prospectus
for P.G. Admission, which is available on the SAMS website.
