Maintenance of Vehicles and Equipment
1. PURPOSE
To define the system and responsibilities for the maintenance of Infrastructure Facilities
(buildings, Communicate vehicles and equipment ……) carried out in the Division's workshops.
2. SCOPE
This process is applicable for the maintenance of all Infrastructures:
a) buildings, workspace and associated utilities,
b) process equipment (both hardware and software), and
c) Supporting services (such as transport, communication or information systems).

5. PROSESS DESCRIPTION
5.1 Head of equipments is responsible to plan and execute all preventive and beak down
maintenance for equipment and infrastructure. Used form (FM-WS-001)
5.2 The Purchasing is responsible for obtaining all materials for maintenance and repairing.
5.3 The users are responsible to inform Head of equipment for any break down of
equipment.
5.4 Head of equipment is responsible for maintenance of transportation facilities.
5.5 IT Division is responsible for maintenance of information facilities.
5.6 Head of equipments is in charge of issuing machine cards for each activity.
5.7 Preventive maintenance procedure:
5.7.1 Preventive maintenance of all equipment buildings, work space and associated utilities.
5.7.2 Materials and spare parts needed for maintenance either to be purchased or received by the
supplier

5. 9 The construction project coordinator shall apply additional control on maintenance of suppliers /
subcontractors’ equipments & facilities, it is included item of evaluation of suppliers /subcontractors.
5.10 The equipment shall apply control for outsource maintenance process
5.11. Maintenance of other Infrastructure Items log
5.11.1. The workshop secretary shall maintain a log of all Infrastructure Facilities vehicles and
equipment of the Division. The log shall contain the following details:
• Description of the Infrastructure Facilities equipment / vehicle
• Identification number (Allotted by the Division)
• Year of purchase
• Model
• Present Location
5.11.2. The secretary shall ensure that all Infrastructure Facilities vehicles and equipment have
a unique identification number.
5.11.3. The pattern of the numbering shall be XXX - YYY - ZZZ, (where XXX and YYY are
three-digit numbers representing the type of vehicle/equipment and the manufacturer,
respectively, and ZZZ is another three-digit serial number for each category). This
number shall be painted prominently on the vehicle / equipment.
5.11.4. The workshop secretary shall maintain separate files for each Infrastructure Facilities
vehicle / equipment of the division, which shall contain all information about, the history
of the Infrastructure Facilities vehicle, allotment of the Infrastructure Facilities vehicle /
equipment to projects, record of the up and down time, and the maintenance carried out.
5.11.5. Maintenance of the Infrastructure Facilities vehicles and equipment are carried out in
three categories: routine maintenance, breakdown maintenance and maintenance at the
project site.
5.12. Returned Maintenance
5.12.1. Each Infrastructure Facilities vehicle / equipment, when returned from the job site, shall
be subjected to a thorough inspection, visual as well as operational, as per checklist,
before being accepted into the stock or issued to another site.
5.12.2. For all Infrastructure Facilities vehicles /equipment at the central / sub workshops, the
workshop foreman/ engineer shall inspect the condition of the Infrastructure Facilities
vehicle/equipment, (visual, physical and operational) and prepare a job card detailing
the repairs required, Used form (FM-WS-005) if any, and give to the workshop engineer.
5.12.3. The workshop engineer shall review the memo, sign it and forward to the workshop
manager for preparing the service job card (and maintenance job card, if any repair is
needed).
5.12.4. The workshop manager shall issue the job card(s) as per the approved format, one card
per type of the job per Infrastructure Facilities vehicle / equipment.
5.12.5. The workshop engineer shall receive the job cards, review them and give to the

foreman.
5.12.6. If spare parts are required to carry out the maintenance, the workshop foreman shall
prepare stores requisition. The stores requisition shall be reviewed by the workshop
engineer and approved by the workshop manager.
5.12.7. The foreman shall receive the spare parts from the stores.
5.12.8. The foreman shall allot jobs to mechanics who are skilled in the required maintenance.
5.12.9. The mechanics shall carry out the repair / maintenance as per job card requirements
following the maintenance instructions given in the Infrastructure Facilities vehicle /
equipment manuals, and sigh the job card, on completion of the job.
5.12.10. The workshop foreman shall inspect the job for completeness, finishing, quality of the
job and the functionality, visual inspect. He shall ensure that all re-assembly is complete
for the safe operation of the vehicle / equipment.
5.12.11. The workshop foreman shall sign the job card, if the job is acceptable, and return to
the workshop engineer.
5.12.12. The workshop engineer shall review the work done, check the Infrastructure Facilities
vehicle / equipment, sign the card and give it to the workshop secretary for updating the
records and filing.
5.12.13. The workshop secretary shall update the service record of the Infrastructure Facilities
vehicle / equipment,
5.12.14. The workshop manager shall review and approve the time sheets and the repair
invoices.
5.12.15. If the repair / maintenance of the Infrastructure Facilities vehicle / equipment cannot be
done in the Division's workshops, the workshop manager shall prepare outside repair
orders. Used form (FM-WS-007)
5.12.16. For all outside repairs, the system for inviting quotations, review and approval of the
offer and issue of the order shall be as per defined processes.
5.13. Break-down repairs
5.13.1. In the event of breakdown of a Infrastructure Facilities / vehicle / equipment, the operator
shall inform the supervising foreman about the breakdown.
5.13.2. The supervising foreman shall raise a Infrastructure Facilities /vehicle / equipment
repair request, obtain the site engineer's approval and give to the workshop foreman /
engineer, for necessary repair, if the vehicle / equipment is owned by the Division.
5.13.3. In case of vehicle / equipment hired from external agencies, the supervising foreman
shall prepare a request for the repair / replacement of the Infrastructure Facilities /
vehicle / equipment and give to the site engineer for informing the agency.
5.13.4. The site engineer shall obtain construction manager's approval for the request, forward
the same to the agency and follow up with them for necessary repair or replacement.
5.13.5. The workshop engineer / foreman shall organize and carry out the repair of the
