DATA PROTECTION AND PRIVACY INFORMATION FOR EMPLOYEES

When you enter into your employment contract with VFS Global (“The Company”, “we” or “us”), your
personal data will be processed as part of the employment relationship.
This Privacy notice describes how we collect and use your personal data during and after your working
relationship with VFS Global.
VFS Global will process your personal data in accordance with VFS Global Data Protection Policy and Data
Protection and Privacy laws of your country of employment.

This notice applies to current, former employees and candidates during the hiring process. This notice
does not form part of any contract of employment or other contract to provide services. This notice can
be updated at any time, and VFS Global will inform you if this occurs.

1. DEFINITIONS

Company / VFS Global: VFS Global AG and its subsidiaries.

Client Government/s: governments and/or their diplomatic missions for which VFS Global
provides services.

Data Protection Policy: VFS Global’s policy in relation to obtaining, handling, processing,
transportation and storage of Personal Data. Please, be aware that the Data Protection
Policy will be updated periodically in accordance with law requirements.

Personal Data: any information relating to you as an employee, former employee or


candidate during the hiring process with VFS Global.

Policies and procedures of the Company/VFS Global: set of policies and procedures not limited to the
Data Protection policy, available at the Policies and Procedure section of Champions portal which you are
bound to during your employment contract with VFS Global.

2. DATA CONTROLLER

VFS Global is the Data Controller of your personal data.


This means that VFS Global is responsible for deciding what personal data and why is required to in relation to
your employment contract with VFS Global. This will be performed in accordance with VFS Global’s Data
Protection Policy and Data Protection and Privacy laws of your country of employment.

3. DATA PROTECTION OFFICER (DPO)

VFS Global’s DPO is an independent person who is responsible for ensuring that your Personal Data is
processed legally and in accordance with Data Protection and Privacy laws of your country of employment
and VFS Global’s Data Protection Policy.

4. PURPOSE OF PROCESSING YOUR PERSONAL DATA

In connection with your employment, certain categories of personal data are required to be provided to VFS
Global during the employment relationship. This is to enable VFS Global to comply with the legal obligations of
your country of employment, business operations and internal management purposes, VFS Global reports,
and Analysis of the Company or for the protection of your vital interests.

5. LEGAL BASIS FOR PROCESSING

VFS Global will only process your Personal Data as an employee if:

a) The data processing is necessary for the performance of or entering into an employment contract
between the parties (VFS Global as an employer and you as an employee), or when you have provided

your consent when engaging into an employment contract with VFS Global as applicable as per the Data
Protection and Privacy laws of your country of employment.

b) Where VFS Global needs to comply with a legal obligation, such as tax reporting.

c)Where the data processing is necessary to secure your vital interest (such as an emergency

contact information in the event of an emergency at work)

6. INFORMATION COLLECTED BY VFS GLOBAL

The following categories of Personal Data may be collected, held, and processed by VFS Global in relation with
your employment contract and you will be able to see and check the correctness of your information and
update the same as required in your MYSPACE section.

Please note that the collected information as listed below may vary depending on the requirements and
restrictions of the local employment legislation governing your employment relationship with VFS Global.

d. Emergency contact details
e. Email

6.2. EDUCATION HISTORY


Such as:

a. Degree
b. Courses
c. Awards / Honours
d. Certifications
e. Schooling

6.3. PERSONAL INFORMATION


Such as:

a. Marital status
b. Nationality
c. Passport / ID / Work permit
d. Gender
e. Emergency medical details (including blood group where permitted and/ or required by the local legislation)
f. Date of birth

6.4. EMPLOYMENT DETAILS


Such as:

a. Employment history
b. Compensation/ salary/ benefits/
c. Place of employment/ geographical place of work
d. Previous employment
e. Date of joining/ termination

6.5. BANK DETAILS


Such as:

a. Account number

VFS Global may make such information available to any of its subsidiaries, payroll administrators, tax and social
security administrators, regulatory authorities, and as may be required by law or contract with our Client
Governments.

7. WAYS OF COLLECTING PERSONAL DATA

VFS Global may collect your Personal Data in the following ways:

a. In accepting a VFS Global’s employment offer;


b. When you submit requests to VFS Global either to your HR point of contact or through MYSPACE;
c. When you use the VFS Global's IT infrastructure;
d. When you participate in VFS Global’s courses and trainings;
e. When you voluntarily decide to participate in any of the VFS Global’s social activities (including social
media platforms) or VFS Global’s marketing activities/ campaigns.

8. THE DATA PROTECTION PRINCIPLES

As part of the VFS Global’s induction process you will have received training on VFS Global’s Data
Protection and Privacy principles. You will have to sign that you have read and understood VFS Global’s Data
Protection Policy.

9. EMPLOYEES' RIGHTS

You as employee of VFS Global’s have the following rights with regards of your Personal Data:

a. the right to be informed about the collection and use of Personal Data by the VFS Global;
b. the right of access to the Personal Data VFS Global holds about you as employee;
c. the right to rectification if any Personal Data VFS Global holds about you as employee is inaccurate or
incomplete;
d. the right to be forgotten (where applicable);
e. the right to restrict (i.e., prevent) the processing of your Personal Data; this may impact the functions that
VFS Global can perform in relation to your employment contract.
f. the right to data portability (obtaining a copy of the Personal Data to reuse with another service or
organization);
g. the right to object to VFS Global using your Personal Data for particular purposes; this may impact the
functions that VFS Global can perform in relation to your employment contract.
h. the right to have a human review of automated decision making and profiling (where applicable).

It is important to note that those are not absolute rights and are subject to limitations or exemptions as per
applicable country regulations.

10. TRANSFERING PERSONAL DATA

In order to fulfil all the requirements mentioned above and the terms agreed in your employment
contract, your Personal Data may be transferred outside your country, for the purposes of fulfilling any of
the obligations under the employment relationship between you and VFS Global, VFS Global’s obligations
with its Client Governments or any public authority that requires us to do so.

In order to ensure the maximum data protection standards, the transfer of Personal Data to a country
outside yours shall take place in accordance with the Data Protection and Privacy laws of your country of
employment by including appropriate contractual clauses or other data protection guarantees put

in place by VFS Global to ensure employees’ data security and integrity.

11. DATA RETENTION

We will only retain your Personal Data as long as necessary to fulfil the purposes we collected it for,
including for the purposes of satisfying any legal, accounting or reporting contractual requirements.
Once you are no longer an employee of VFS Global, we will delete and securely destroy your Personal
Data in accordance with our Data Retention Policy and applicable Data Protection and Privacy laws of your
country of employment unless a further retention is required by applicable law or contract.

the employee’s onboarding process.

records.

I hereby consent that VFS Global shall store the records in their computer servers situated in a place

different from that of my place of employment and that I have no objection for the same.”
