PROPOSAL International School Capstone 2 – 2021

1. Introduction
- 1.1. Purpose Of Document: This document aims to outline strategies for
optimizing restaurant management operations to enhance customer
satisfaction, streamline workflows, and improve overall profitability. (No
specific link or image required)
- 1.2. Project Goal: The primary goal of this project is to implement a
comprehensive restaurant management solution that addresses key
challenges such as inventory management, staff scheduling, customer
relationship management, and financial tracking. (No specific link or
image required)

2. Problem Definition
- 2.1. Business Need: The restaurant currently faces several challenges,
including inefficient inventory management leading to overstocking or
stockouts, difficulty in managing staff schedules efficiently, inconsistent
customer service due to lack of centralized customer data, and inadequate
financial tracking leading to revenue leakage and budgetary oversights.

PROPOSAL International School Capstone 2 – 2021

- 2.2. Solution: The proposed solution involves implementing an

integrated restaurant management system comprising point-of-sale (POS)
software, inventory management software, employee scheduling tools,
customer relationship management (CRM) software, and financial
tracking systems. This solution aims to streamline operations, enhance
customer experience, and improve overall profitability. Examples of such
solutions include [Toast](https://pos.toasttab.com/), [Square for
Restaurants](https://squareup.com/us/en/point-of-sale/restaurants), and
[Lightspeed Restaurant
POS](https://www.lightspeedhq.com/pos/restaurant/). An image
illustrating the components of an integrated restaurant management
system can also be included.

3. **Current Status of Art**: The current landscape of restaurant

management systems includes a variety of software solutions and
technologies designed to address specific aspects of restaurant
operations. These include POS systems, inventory management software,
reservation and table management systems, kitchen management
systems, and CRM platforms. However, many restaurants still rely on
manual processes or disconnected systems, leading to inefficiencies and
missed opportunities for improvement. (No specific link or image
required)

4. Engineering Approach
- 4.1. System Overview: The proposed restaurant management system
will consist of interconnected modules, including:
- POS system for processing transactions and managing orders
- Inventory management software for tracking stock levels, managing
supplier relationships, and generating purchase orders

- Employee scheduling tools for creating and managing staff schedules

based on demand forecasts and employee availability
- CRM software for capturing customer data, managing reservations, and
implementing loyalty programs
- Financial tracking systems for monitoring revenue, expenses, and
profitability metrics. An example image of a system architecture diagram
illustrating the interconnected modules can be included.
- 4.2. **System Context Description**: The restaurant management
system will be integrated into the existing restaurant environment,
including front-of-house and back-of-house operations. Interfaces will be
provided for staff to access the system via desktop computers, tablets, or
mobile devices, and integration points will be established with external
systems such as accounting software and online ordering platforms. (No
specific link or image required)
- 4.3. **Technical Constraints**: Technical constraints include
compatibility issues with existing hardware and software, data security
and privacy considerations, and limitations in terms of budget and
resources. (No specific link or image required)

5. Tasks and Deliverables:

- Tasks:
- Conduct requirements analysis to identify specific needs and priorities
- Evaluate and select appropriate software solutions for each module
- Customize and configure software to align with restaurant's
requirements
- Develop training materials and conduct staff training sessions
- Implement system and conduct thorough testing to ensure functionality
and reliability

- Deliverables:
- Requirements documentation
- Software evaluation reports
- Customization and configuration documentation
- Training materials
- Test plans and reports. Example templates or samples of these
deliverables can be linked or included as images.

6.Project Management
- 6.1.Cost/Budget for Project: The estimated budget for the project
includes expenses for software licenses, hardware procurement,
customization and development costs, training expenses, and ongoing
maintenance and support fees. (No specific link or image required)
- 6.2.Tentative Schedule
- 6.2.1.Master Plan: The project will be divided into several phases,
including planning, requirements analysis, software selection,
customization and configuration, training, implementation, and ongoing
support. Each phase will have specific milestones and deliverables, with
regular progress reviews and adjustments as needed. (No specific link or
image required)
- 6.2.2.Scrum Process: Agile methodologies such as Scrum will be
employed to facilitate iterative development and rapid adaptation to
changing requirements. Sprints will be conducted, with regular sprint
planning, daily stand-up meetings, sprint reviews, and retrospectives to
ensure continuous improvement and alignment with project goals.
Example sprint boards or backlog management tools like
[Jira](https://www.atlassian.com/software/jira) can be included.

7. Project Constraints: Constraints include budgetary limitations, time

constraints, resource availability, and potential resistance to change from
staff members. Regulatory requirements and industry standards must also
be adhered to throughout the project lifecycle. (No specific link or image
required)

8.Conclusion: In conclusion, the proposed restaurant management system

offers a comprehensive solution to address the identified challenges and
improve overall operational efficiency and customer satisfaction. By
implementing this system, the restaurant stands to benefit from
streamlined workflows, enhanced data visibility, and improved decision-
making capabilities. (No specific link or image required)
