OneDrive - Microsoft's Cloud Storage Solution

What is OneDrive

OneDrive is an online cloud storage service from Microsoft. It allows users to save files, photos, and
other documents across multiple devices. A user can also save their files in OneDrive and have it
automatically sync on other devices. This means someone can access and work on the same document
in multiple locations. OneDrive provides relatively easy access to cloud storage space, allowing options
to share content with others.

OneDrive is often integrated into Microsoft's ecosystem of products, including Windows 10, Office
365, and Microsoft 365, making it a convenient choice for users who are already using Microsoft
services. It comes with a storage of 1 TB. This storage can be extended to 5 TB on need basis.

Key Features of OneDrive

File Storage: Users can store documents, photos, videos, and other types of files on OneDrive.

File Synchronization: OneDrive allows users to sync their files across multiple devices. This means

that changes made to a file on one device will be reflected on all other devices linked to the same

OneDrive account.

Collaboration: Users can share files and folders with others, enabling collaborative work.

OneDrive integrates with Microsoft Office applications, allowing multiple users to work on the

same document simultaneously.

Access Anywhere: Since OneDrive is a cloud-based service, users can access their files from any

device with an internet connection.

Versioning: OneDrive keeps track of versions of files, allowing users to revert to previous versions

if needed.

Security: OneDrive provides security features such as encryption, two-factor authentication, and

access controls to protect users' data.


How to Set Up OneDrive in Desktop

1. On the desktop machine, go to search bar and type “OneDrive”. Click on the icon to open OneDrive
application.

2. A prompt will come to set up the OneDrive. Enter your Indian Oil email address.
3. Enter your AD/ESS/Central Login password.

4. Next the prompt will come to choose the folder to sync to OneDrive. By default, the OneDrive

folder will “C:\Users\<EMP_NO>\OneDrive – Indian Oil Corporation Limited”. You can change the

syncing folder by clicking on “Change Location” as shown in below snapshot.

5. As a best practice, your default folder for syncing to OneDrive should be different from the drive

where OS is installed (By default, OS drive is C Drive). It is advised to use a folder from D or E drive

for syncing.

6. Furthermore, it is advised to create a folder in D/E Drive, say “OneDrive Data”, and choose this

folder as the default location of your OneDrive.


7. Next OneDrive will give you the option to back up your machine’s default folder Desktop,
Documents and Pictures. You may choose to sync them as per your requirement.
8. Click on Next to proceed.

9. On the next prompt, OneDrive will guide you what different icons in OneDrive means. These icons
are explained below.

A blue cloud icon next to your OneDrive files or folders indicates that the file is only available

online. Online-only files don’t take up space on your computer.

When you open an online-only file, it downloads to your device and becomes a locally available

file. You can open a locally available file anytime, even without Internet access.

Files that you mark as "Always keep on this device" have the green circle with the white check

mark. These always available files download to your device and take up space, but they’re always

there for you even when you’re offline.


10. You can install the OneDrive mobile application. Click on “Later” to proceed.
11. You OneDrive set up is complete and it is ready to use. Click on “Open my OneDrive Folder”.

12. Here, you will see all the files/folders present in the folder. You can add files in this folder to sync
them automatically to OneDrive. You should copy all your important files and folders in this folder.
As a best practice, it is recommended to create all new files/folders in your OneDrive folder only.
13. It is also recommended to keep a copy of all your folders/files in OneDrive in your desktop. To do
this, right click the folder and click on “Always keep on this device”. By doing this, OneDrive will
download the folder in your desktop. This folder can now be accessed in case of no internet
connection. Furthermore, if any issue happens at Microsoft Cloud end, there will always be a copy
of your data in your desktop.

14. To access OneDrive on the web, go to https://office.com and click on “Sign In”.
15. Enter your Indian Oil email ID.

16. Enter your email/AD/ESS/Central login password.


17. Your Microsoft 365 homepage will be opened. Click on the App launcher (9 dots) in the top-left
corner as shown in the snapshot below.

18. From here, you can access all your applications. Click on OneDrive to open the web-based
OneDrive.
19. If you’re logging in for the first time in OneDrive, you will get the prompt as shown. Click on “Your
OneDrive is ready” to proceed.

20. On the left side, click on “My Files” to view all your files that are syncing from your desktop. You
can upload files/folders from here as well. Click on “Add New” to add a new file/folder.
21. Also, in the bottom left corner, you can see your OneDrive utilization. Default size of OneDrive is
going to be 1 TB.
