Roles and tasks


In order to prepare our conference well, as mentioned in our previous meeting, it is important
that everyone has a task and a responsibility for good coordination!
Annie will be responsible for organizing the meetings and follow-ups of what we have decided
in the meetings.
Boris-Evrard will give the minutes of the meetings and will be redacting the document in which
contain the proposals given and based on the exchanges released during the meetings.
We need a person in charge of monitoring and coordination on the field according to the
program of activities during this period in Burundi!
Regarding to the monitoring of activities, the first task to be accomplished in Burundi will be to
find a programmer in order to set up a website as soon as possible!
We need someone to help us get an idea of the budget, the place and other details that require
financial resources. This is to get an overview of the budget to be expected.
Depending on what we have decided, we will add other tasks.

2. International and/or UN organizations, embassies and the Ministry of Youth.


1) We will first have to identify all organizations according to their missions in order to know
how and what to submit as our application demand according to our needs!
2) We will have to look for the contact details of these organizations in order to get in touch and
explain to them our project. This will be done after a complete document with a good
development of the so-called conference in order to be more explicit and to be more professional.
3) Promotion and marketing
We need to do written and video interviews to start talking about the conference and get it up to
date with the public as soon as possible.
Posters and slogans, hashtags and others are important for visibility on social networks.
Live videos for exchanges so that the public is aware, asks questions but also contributes
through ideas.
Potential marketing partners are Akeza.net, Yaga, Ingo Magazine, Jimbere Magazine because
they are credible and influential.

4) Dates
August from 13th to 14th
In August, many are already in Burundi for their holidays. In addition, there is a good climate
and a good atmosphere!
We have one year left to prepare this important event. This is an especially right time for
preparing.

5) The place
We will be looking for a room with advanced technology which can include the possibility of
translation system into French and English, with a restoration as well as a room in which we can
make our evening party. The evening party will take place on the last day to avoid moving.
Proposal: Hotêl Club du Lac Tanganyika.

6) Our Guests
The young people from Diaspora
Burundian Youth change makers and/or entrepreneurs
Ambassadors
The CEOs of Burundi's various major companies
The Ministry of Youth and External Relations
Executives of international Organizations and UN Organizations
Journalists
Burundian high personalities

7) Deadline
One month to achieve the goals we set for ourselves during the meetings.
There will have to be one person to track the assigned tasks.
