In this topic it is all about on site activity and this are all the activities that we need to do
before our event. This topic will help us to identify things to be done during rehearsal. Before the
day of the activity we have a final practice of executing our event and it is called the dry run
which is the run through of the events program before the actual day of performance. In this
case, we can ensure the flawlessly of our equipment and preparedness of the team since they
know what to do on everyone knows what to do and when to do their part to avoid unwanted
errors. Ingres is also important for everyone. On the event we must also consider our attendees
that’s why we need to manage the attendees. To manage attendees on the event site, you need to
collect the information as attendees register online and onsite. To easily manage onsite
attendees, you can rely on the leading event planning software that facilitates event setup and
management such as GEVME. This is another term for move in. Arriving at the venue early
before the event on hours can help us to relax our mind and avoid pressure. Briefing refers on
meeting the staff before the program so they will know what are the things they need to do and
need to consider. Egress is another term for move out which means m ove-out operations are crucial
phases that occur immediately after an event concludes. Ensuring a smooth and efficient transition
requires attention to detail and a systematic approach.
In the discussion they tackled the 8 tips on successful onsite management on event day.
Make sure that we make it easy for the attendees to get in, make sure that we provide their needs,
not necessarily everything but we should give them small snacks and water to appreciate their
effort. Reward the attendees just like I said, give them some small token of appreciation or a
souvenir to make them feel appreciated on attending our event. Have some mini games to make
them alive and make sure that they will participate. Make it interesting to make them feel alive
and have some ice breaker to avoid our event being boring. Fix problems quickly to avoid any
errors, if it happens accidentally just keep calm and resolve it as soon as possible. Keep
generating buzz and don’t forget to have fun. This event is planned for a long time and it has a
lots of effort to execute it properly so we should enjoy it like there’s no tomorrow since it is a
once in a lifetime experience.
