Case study: Article industrialization

In this project, voluntarily simplified, we will analyze all the industrialization tasks of an article,
requiring a study of the range and the design of an assembly. To study the file and establish the
manufacturing range, the methods technician (Alain) needs two days. Then, he will provide the
draftsman (Bernard) with the outline diagram of the assembly, so that he can draw it (duration
seven days). Once defined, the assembly will be sent to the tool shop (Cédric) for production
(duration eight days).
In parallel with the draftsman, the secretariat of the purchasing department (Delphine) must
place the order for the tools (one day). The delivery time for the tools is three days. Eric, from
the Store department, will take care of receiving and controlling the delivery (one day).

To create a new project, you go to file then choose new blank project as as shown in Figure 3. In
Figure 4, it shows what the new project file will look like.

2) Changing the calendar options

In the Options dialog box, the Schedule tab allows us to set our default start and finish times
for tasks. We can also set which day the week starts on in our project and which month the
fiscal year starts in. Most importantly, however, we can specify how many hours per day and
week the project requires.

For our case, the working hours of the company are:

Monday to Friday 8:30 a.m.-12 p.m. 1 p.m.-4:30 p.m. (i.e. 7 hours per day and 35 hours per
week).

The standard timing in starting and ending is shown in Figure 5, also including hours per day and
hours per week. In Figure 6 We adjusted the default start time from 7:30 to 8:30 and the end time
from 3:30 to 4:30, making the total hours per day 7, and hours per week 35.

Enter the time required to complete each task, as a number followed by "minutes", "hours",
"days", "weeks" or "months".

As you enter tasks into a project file various icons and symbols appear indicating what is
going on or where there are information shortfalls. These icons and symbols appear in the
task mode column of a task sheet and in the Gantt Chart. The Gantt Chart view of Microsoft
Project is a good place to begin entering tasks.

There are many ways to enter tasks into a project file. However, the Gantt Chart, which is the
default view, is a good option. In the Gantt Chart view the tasks are entered into the sheet view
on he left of the screen. As you enter a task, a default duration of 1 day is automatically assigned
to the task and a Gantt bar is drawn in the chart on the right of the screen.

When it came to inserting tasks, we had two ways to do so. First one would be the usual way
naming the task approriately, then filling each cell with type of data needed, Figure 7. The other
way is by double clicking of the task field and another tab will pop up, where you can apply
your adjustment all at once, Figure 8.

Note: Create a summary tasks

Summary tasks are like headings that represent the phases in a project. They also summarise
information. Summary tasks are general headings that have subordinate tasks. Subordinate
tasks are indented to the right and provide a further level of detail for that part of the project.
Summary tasks can be entered when tasks are first entered or at a subsequent stage.

Summary tasks can be helpful in defining different stages of the project. To create a summary task there
are a 2 main steps involved, first you need to select the task tab you want create sub task under, in
Figure 9 it is “article industrialization” we then click on indent in the task bar. However this is different
when it comes to the rest of the tasks, you will need to either insert a new task, Figure 10, above desired
tasks, like tasks 7 and 11, or just use the task before it as a summary task.

4) Display the GANTT Chart

The gant chart is visual representation of how much everyone worked, how long each summary task
is taking, and the subtasks under the summary task, Figure 11.

5) Entering tasks

Once tasks have been entered (or as they are being entered) you can enter the appropriate
duration details for each task. Durations can also be entered with a ? suffix. This indicates that
the duration is a rough estimate. You can later change the duration to confirm the estimate.

The project duration is one of the key preformance factors that affect the
viability of the whole project. Having correct estimation of when to start
and finish aids in having the most successful outcome, Figure 12.
However, underestimating or just not setting the correct dates, Figure
13, will backfire on the whole team and might involve facing penalties.

5) Entering milestones

Milestones are significant events that occur in your project. A milestone is entered like a normal
task except that it is assigned a duration of zero.

As shown in the Figure 14, we have 3 milestones meaning we had 3 significant events in the
project. Task 6 is the first milestone after we analyzed the project needs for a duration of 4 days.
Sencond milestone is task 10, which was after the implemetation period. Finally, last milestone
was task 14 the end of the project after we presented the project to the proffeser, recived
feedback to fix certain areas, after that we reach concluded our project,

6) Entering work resources

By far the most common type of resource you’ll be entering into a project will be Work
resources. The Work type is used for labour and equipment. When you enter a Work resource
you can provide information such as a name, the maximum units available to the project, and
other optional information such as a group which can later be used for filtering resources.

Enter the working hours of the different resources, indicating for each of them the days off or
the working hours that do not correspond to the general working periods of the project.
Alain, Bernard, Cédric, Delphine and Eric are currently available from Monday to Friday (8:30
a.m. to 12 p.m. 1 p.m. to 4:30 p.m.).

As well as manipulating a resource’s calendar, Project allows you to enter availability dates for
a resource. This is useful to block out dates when the resource will not be available or where
availability may change during the project, eg. you may have a resource that is available full
time for the first week, but then available for only half of the time in the following week.

As shown above, Figure 15 the resoucre sheet shows the different resource contributers to the
different parts of the project, the rate per hour, and how much their pay from the project was. For
example, Alain is considered the “leader” he worked for 30.26 hours and recived $6,052, on the
contrary Cédric worked for 91 hours and recived $13,650. Although Alain is paid more in rate per
hour, Cédric received the biggest paycheck as he contributed more hours to the project.
