After the 2008-2009 recession, many jobs were lost, and now businesses are quickly trying to fill those
empty positions. This means there's a greater need for administrative roles in areas like education,
healthcare, social services, and law. Also, administrative assistants are taking on more tasks that were
once done by other professionals, which adds to the demand.

2) Where do administrative professionals work? Name at least two factors that would be the same
and two factors that would be different in the various settings.

Administrative professionals are employed across service sectors like healthcare, legal services,
hospitality, government, finance, education, the arts, and social services, as well as in manufacturing and
construction industries.

They have the flexibility to work both in traditional office settings and remotely, including as virtual
assistants. In these roles, they offer administrative and sometimes personal support to clients. Some may
receive training opportunities as part of their benefits. Virtual assistants and those working off-site enjoy
the freedom to choose their workspace, unlike those working solely in office settings.

3) What technical skills do administrative assistants need?

Administrative assistants must possess specialized knowledge and skills, including proficiency in using
specific software relevant to their tasks. They are required to be adept at utilizing word processing,
database management, spreadsheet, and presentation software. Some offices may also require
familiarity with desktop publishing and project management software. Additionally, administrative
assistants should have strong keyboarding skills and a command of spelling, punctuation, and grammar.
They are also expected to efficiently operate general office equipment and troubleshoot issues with
peripheral devices like scanners, printers, copiers, and fax machines.

4) Why are interpersonal and communication skills especially important for someone in an
administrative assistant role?

An administrative assistant interacts with numerous individuals daily, whether face-to-face, through
email, or over the phone. Therefore, they require strong interpersonal skills to foster positive
relationships. This contributes to a more enjoyable, less stressful, and more fulfilling work environment.

Administrative assistants should possess strong communication skills to efficiently exchange ideas with
others. Effective communication facilitates clear expression of thoughts and ideas.

5) List several types of nonprofit organizations. Brainstorm some typical


tasks an administrative assistant might do in each setting.

An administrative assistant at Likhaan Center for Women’s Health might oversee scheduling
appointments for reproductive health services and maintaining client records confidentially. Additionally,
they may aid in coordinating workshops, seminars, and events centered on women’s health and rights.
Handling phone calls and emails, and directing inquiries appropriately are also part of their duties.

Similarly, at MentalHealthPH, an administrative assistant may oversee databases containing mental


health resources like treatment centers, support groups, and helplines. They are tasked with updating
and organizing directories for easy access. Moreover, they assist in managing social media platforms to
share mental health information, raise awareness, and support advocacy efforts.
