REF: HANDING OVER REPORT.


Introduction: To all friends in the Lord Jesus Christ and the Almighty God, bwana asifiwe!! I
was nominated as the fourth(4th) presiding clerk (PC) of this monthly meeting in the year 2021
taking over from James Karani Sifuma in a ceremony held in this church on 11/4/2021. I have
served for a period of exactly 3 years and 3days.
Allow me, friends, in my introductory remarks to inform the church that we are now 2 decades
(20 years) old, having been officially opened in the year 2004 and Mama Dinah Sifuma being the
1st presiding clerk. Cheers friends!!. We are now celebrating our 20th birthday!!.
I am handing over to the new leadership without a substantive PC as the one nominated turned
down the offer. The nomination committee should move with speed and fill the vacant position. I
am therefore handing over to the vice presiding clerk Madam Beatrice Sabuni who incidentally
was my Vice presiding clerk in the previous leadership.

All the above 3 village meetings have permanent church buildings, well furnitured and tiled.
They are in advanced stages of acquiring legal land ownership (title deeds). Besides others have
acquired Public Address systems (Masaba Village Meeting) for church service.

The above data concerning our membership should be updated periodically because of the
dynamism of our membership as a result of attritions, deaths, relocations and other factors.
5. MISSION COMMISSION
This is our core department in the service of our church. It is headed by our dedicated pastor of
the Monthly Metting. The main objective being preaching, church extension and outreach,
guiding and Counseling, catechism and welfare of the church members. Thanks to our pastor
who has been very outgoing and has touched the hearts of many of our members.
6. CHURCH PROGRAMS
USFW: working well and regularly meets for service programmed by the yearly meeting. Their
detailed operations during the period under review will be presented to the incoming office of
USFW.
Quaker men: operating well and meets regularly. They will also be handing over to the
incoming office of Quaker men.
YFP: Operating well and meets regularly as programmed by the yearly meeting. They will be
handing over to the incoming office of YFP.
Sunday Church School: It is headed by the Sunday Church School Coordinator.

Challenges: No youths from other villages attend Sunday Church School Services.

7. ROTATIONAL CHURCH PROGRAMMES


It has been in the interest of programs that they rotate in the villages during Church Service. This
should continue.
8. MONTHLY MEETING SERVICE COMMISSION
It is headed by the chairperson, secretary, treasurer and nine other members all from the three
village Meetings. This is the department under the Monthly Meeting that is in charge of
structural development and any other development of the Monthly Meeting and Villages. Its
current project is the construction of the pastor’s house, details of which has been highlighted
elsewhere in these reports. For the work to continue it was agreed that the Monthly Meeting,
Villages and Programmes contribute to the project besides the funds drive as follows;

Recommendations; for us to archive the dreams of completing the construction of our pastor’s
house in the shortest time possible we must remain focused, committed and ready to contribute
to our respective allocations of this first phase.
9. LORD’S ACRE:
It is one-person department headed by the chairperson but works closely with Mission
Commission and members of the Village Meetings and the respective presiding clerks.

Recommendations: All recommended accounting documents by the yearly meetings should be
used by all our treasurers at Monthly, Village and Program levels.
Bank Accounts
The monthly meeting has an account with the Co-operative Bank of Kenya LTD.
Account No. 01109096890200 with a balance of kshs. 191,483 as of today, 14th April 2024
being;
i) pastors house funds drive kshs. 181,050
ii) Monthly Meeting kshs 10,433
The signatories to this account are;
1. Presiding Clerk
2. Recording clerk and
3. Treasurer
Recommendations: I recommend that this account be turned into a current account to avoid
unnecessary expenses going to the bank by all the signatories to collect cash.
Villages and progammes are encouraged to open and operate bank accounts for safety and good
accounting policies/ practices.

13. BUDGETS AND TITHES


i) Monthly Meeting has been operating on an approved budget. The Annual Budget for
the Monthly Meeting is approved by the Monthly Meeting Committee.
Recommendations; This is good practice for the church and should be encouraged to
continue.
ii) Budget allocation by the yearly meeting; the yearly meeting allocates to each
monthly meeting amounts to be remitted to the Yearly Meeting Central office. Our
monthy meeting was allocated kshs 54,000 for 2023/2024 FY and has to date remitted
as follows;
Mitoto Village Meeting – kshs 22,000
Masaba Village Meeting – kshs 1,650
Chango Village Meeting – kshs 5,000
Total remitted - kshs 28,650
Balance to complete the allocation – kshs 25,350
Recommendations; Incoming office should work closely with Masaba and Chango Village
Meetings to complete the allocated amounts to enable our yearly meeting operate well.

Conclusions
To the incoming leadership of Mitoto Monthly Meeting; This is to sincerely wish you well
with God’s guidance that you take this church of ours to the next best level. I will support you
in whatever form to deliver on your mandate.
And to the friends I have worked with for the last 3 years; You have been the source of my
strength and milestones reached and covered. I will forever be indebted to you for your
unwavering support. And to all of you friends, many regards and blessed future.
And to my dear wife Pst. Mary Muse, your steadfast prayers and advice will forever inspire
me. Be abundantly blessed.
