Event Planning Services Agreement

This Event Planning Services Agreement is entered into and made effective this 22nd day of April
, 2024, by and between HARLEY TAN with the address of Barangay 05, Maxilom ST., Tuburan, Cebu and
University of San Jose Recoletos Inc.-Balamban of Barangay Arpili, Balamban, Cebu.The client and the
Partnered event supplier shall collectively hereinafter to be known as the “Parties” or “Party” as
applicable.

WHEREAS, the supplier offers event planning services and the client retain the supplier to
perform such services in connection with the details outlined herein.

WHEREAS, this agreement is intended to outline the term and conditions applicable to the service
aspects of such business relationship between the Parties.

NOW, THEREFORE, in consideration of the premises and the mutual covenants contained herein ,
for good and valuable consideration , the receipt and sufficiency of which is hereby acknowledged , the
parties hereto covenant and agree as follows:

1. DESCRIPTION OF SERVICES. Beginning with the effective date of this agreement , the supplier
will use its professional knowledge and skills to provide event planning services to the client for the
USJR-Balamban Junior High School Promenade on premises at USJR-Balamban Elementary
Department Covered court.

2. SUPPLIER’S RESPONSIBILITIES. The supplier shall specifically secure services for catering ,
decorating, photography, music and/or floral arrangements as requested by the client within the Client
budgetary guidelines, which shall be discussed in more detail during the pre-Event consultation as
outlined below. The parties agree and acknowledge that the supplier may have the ability to financially
bind the client to only those services for which the client has has specifically granted the supplier such
authority. Otherwise, the supplier shall not bind without first receiving the client’s approval for such
contemplated services.
3. PRE-EVENT CONSULTATION. The parties agree to an in-person pre-event consultation in
order to discuss what services the supplier shall secure for the event, the budgetary guidelines for each
service secured, and any reasonable personal preferences like theme, color and etc. that the client may
desire. The client will be responsible for designating a contact individual during the event with whom the
company shall communicate if such individual is someone other than the client. Additionally, the parties
shall determine what financial amount , if any, the supplier shall receive from the client to be applied to
services that require a down payment to secure a specific date.

4. COOPERATION. The supplier cannot assist the client without the client’s cooperation and
assistance. In case of some services, time is the essence. Therefore, in order for the supplier to secure
those event services, it is necessary that the client timely communicate with the supplier. The client
hereby expressly gives consent for the supplier to discuss various services with the location/venue
management and shall provide contact information to the supplier.

5. LIMIT OF LIABILITY. In the unlikely event that the supplier is unable to perform the services
due to an extreme illness, Act of God, act of terrorism, flood, war, government law/regulations and/or
other conditions beyond the control of the supplier, the supplier will make every effort to secure a
replacement. If the situation should occur and the supplier is unable to secure a replacement,
responsibility and liability as to the supplier is limited to the return of all payments received for the
services.

6. PAYMENT METHOD. The client must have a down payment to the supplier amounting to 50%
of the whole amount of the payment of all the services to be rendered by the supplier to the client. In the
event the client will give the whole payment, the supplier must secure the necessary receipts in the span
of 10 days and will turn it over to the client.

7. TERMINATION. This agreement shall terminate upon the occurrence of any of the following
(i)in the event either party defaults in any material obligation owed to the other party pursuant to this
agreement then this agreement may be terminated if the default is not cured 5 days written notice to the
defaulting party and/or (i) the supplier becomes bankrupt or insolvent, the supplier must have the
obligation to return all the monetary resources to the client.
List of Services to be provided by the supplier to the client

1. Event coordination providing the different needed suppliers.

2. Decoration of the venue with the concept of Great Gatsby including the stage, entrance and center
ceiling ceiling decorations.

3. Catering for the food and set-services with the client’s selected food in the menu good for 155 pax.

4. Water Mug Give-aways for the participants of the events good for 155 pcs.

5. Photo documentation during the event duration.

6. Sash for the different awards to be given to the selected participants during the event.

8. ENTIRE AGREEMENT. This Agreement constitutes the entire agreement between the Parties to
its subject matter and supersedes all prior agreements, representations, and understandings of the
Parties. No supplement, modification, or amendment of this Agreement shall be binding unless executed
in writing by the Parties.
