3 The meeting was called to order at 3:43 P.M. on January 4, 2024, Rm. #204 2 nd floor

26  The meeting started immediately when most of the personnel are present. The
27 director stated that on Saturday (January 6, 2024). He will be attending a
28 wedding therefore by Friday (January 5, 2024) will be the installation of the tent
29 and Sunday will be the arrangement of chairs in the ground.

31  Mr. Blen: Informed the body that chairs are coming from the first floor classrooms
32 and from the gymnasium.

34  Mr. Quezon asked the exact place of tent installation to be used in covering the
35 ground. Father Rosito answered the priority will be in the basketball area and
36 near the Mango tree. Mr. Quezon also asked that for additional rope for the tent.

38  Ms. Annaliza suggested to labelling the chairs coming from the different
39 classrooms.
40  Ms. Susan added that the chairs coming from the first floor will be check using
41 the serial numbers.
42  Mr. Blen suggested that in case the chairs are not enough the chairs coming
43 from first, second, and grade 11 chairs will be pulled out to complete the total
44 number of 1,345 chairs needed.
45  FR. ROSITO approved to provide extra ropes, masking tapes, marking pens to
46 be purchased as soon as possible.
47  Ms. Saniata from the liturgy team was appointed the class advisers to assign the
48 offerers, collectors, and prepare the tables, and the altar as well. She reminded
49 the advisers per section from grade 7-12 to bring their classroom offerings.
50  FR. ROSITO said that the carpenters will help in bringing out the chairs coming
51 from the gymnasium by Sunday afternoon. Additional information during the

52 foundation was to raise of awareness of the history of the school and all activities
53 done every year should involve the alumni.
54  Ms. ELVIRA confirmed that January 2024 will be the launching of Intramurals
55 and the Bible month. The culmination will be on February.
56  Ms. Greetle added that on January 15, 2024 there will be a 15 minutes opening
57 of the intramurals and during afternoon will be the start of the game. The target
58 days for intramurals will be on February 15-16, 20-23, 28-29-year 2024.
59  Ms. Vanessa also suggested to have separate meeting related to Bible month
60 activities and English month activities which it was approved.
61  Ms. Elvira explained the reason why launching has been cancelled due to the
62 activities dated on January 8-10 is the Zone meet, and January 11-12 will be the
63 examination of the lower grades, and January 12-14 will be the district meet.
64  FR. ROSITO suggested that the schedule of the whole month of January and
65 February activities should be organized and will be planed ahead of time.
66  February 14, 2024 will be the Ash Wednesday
67  February 15 will be his Sacerdotal
68  Sports activities must be done after classes or during their vacant time
69  Separation of the JHS and SHS intramurals will next year. The main reason for
70 separating the intramurals per year level is to promote participations from the
71 lower grades.
72  Ms. Elvira added there are two categories of the game to be done.
73  Ms. Jesusa asked to give consideration this year in combining the lower and
74 higher grades to promote guidance from the higher level and to avoid
75 disturbance of classes.
76  Ms. Evegalla added the following scheduled activities:
77 a. March 20, 2024- medical and dental activity as part of the 60th anniversary and
78 parish fiesta.
79 b. April 25, 2024 – Culmination activity, Holy Week and Alumni Homecoming.
80 c. May 2024- Family Day involving Dr. Esguerra to be the speaker of the family day.
81 Therefore, the guidance facilitators will work on the background of the students. The
82 linkages specially for parents (promote a complimentary relationship between parents
83 and children) and strengthen our interaction with the parents or Alumni.
84  FR. ROSITO requested that in this calendar of activities we need to work
85 together (Alumni, Parents, students, PTA officers, and the school itself for greater
86 understanding and to build rapport.
87  Ms. Christina assigned the Liturgy team to be the readers and readings will be
88 confirmed by Father Rosito.
89  Ms. Cynthia added that the launching of the Bible Month will be on January 9,
90 2024, and will take 10 minutes after the Flag Raising Ceremony.
91  Grade 11- students 16-17 Recollection month
92  Grade 9 students 18-19 Recollection month
93 VENUE: Home Sweet Home Scheduled by Ms. Virgie
94  January 31 will be the Bible Month culmination
95  FR. ROSITO closed the meeting regarding the 60th Foundation by the line saying
96 “Wishing a fruitful year to everyone”.

98 II. Other matters
99  Ms. Gracely reminded the Senior Highschool teachers should finish the grades
100 by January 8-12 FRIDAY and the printing of cards should be already done.

104  Ms. Elvira added that it should be done immediately and be submitted for
105 enrollment purposes.
106  January 11, 2024- enrollment for Senior High students
107  January 15, 2024- start of classes
108  FR. ROSITO reminded all of us to focus on the completion of grades.
109  Ms. Cynthia asked about the First quarter Excel system to be used in encoding
110 the grades for the second quarter and Ms. Elvira confirmed.
111  Ms. Racquel informed that the summary sheets will be returned to the subject
112 teachers and the grades will be written manually. Averaging will be given soon.
113  Ms. Gracely highlighted the following:
114  Using of first quarter EXCEL system
115  Edit the first quarter column to the second quarter since Ms. Shirley can edit it.
116  Senior high and midterm grades
117  Ms. Saniata followed up regarding the classroom switching of Grade 11 and
118 Grade 12 and Ms. Elvira confirmed. January 9-10 she will ask the maintenance
119 to do it and ask for the inventory property custodian for the rechecking.
120  FR. ROSITO asked the guidance office for any announcements. Sir Dominique
121 answered none.
122  Ms. Elvira reminded the adviser to distribute the SOA immediately once released
123 by the cashier. She instructed to give gentle reminders to the students and
124 parents to pay the tuition fee on time. The remaining balances as of December
125 must be paid.
126  Ms. Cristine Anne asked about the reflection of the SSS contribution which did
127 not yet appear in the system.
128  Ms. Elvira asked Ms. Jonalyn to print receipts for the payments from November
129 to December. She also reminded the teacher to sign the student clearance
130 before the examination. The promissory note coming from their parents should
131 be collected for the unpaid balances. During enrollment clearance must be
132 submitted.
133  FR. ROSITO suggested that the cashier will send or print the statement of the
134 account earlier for the payments to be done. He stated that the school was
135 already behind in the collection.
136  Ms. Susan asked the following:
137  School Handbook- Fr. Rosito will settle it immediately
138  ID’s for late students- To be release as soon as it’s done
139  New ID for lost ID’s- Fr. Rosito said they need to repay for the replacement
140  ID’s with corrections- Should be verified from the SF given for reprinting
141  Teacher ID- Ms. Elvira will release once claimed
142  School Canteen – Fr. Rosito says the memorandum of agreement was expired.
143 None renewal states were given to those previous occupants due to improper
144 observation of sanitation and unable to follow the protocols. The delayed repairs
145 of the canteen construction like electrical, wiring and spaces. He also reminded
146 us to advice our students to manage their garbage.

148  Ms. Melody suggested that the school canteen occupants should provide their
149 trash bins and observe cleanliness at all times.
150  Ms. Shirley suggested that the food should be healthy and safe for everyone as
151 well as proper handling must be executed.
152  FR. ROSITO approved the suggestions that were given.
