Hand-On Labs for MS Team

Task 1 - Create a team with templates


Create a team

1. Select Join or create a team. This is where you create your own team, or discover
existing ones.

2. Select Create team.


3. Give the team a name and add a short description.
4. By default, your team is Private, meaning you'll have to add the people or groups
you want on the team.
 Select Public if you want anyone in the organization to be able to find and
join the team.
5. Add members. You can add people, groups, or even entire contact groups. If you
need to add people from outside your organization, use their email address to invite
them as guests. Add a friendly display name for them too.
6. When you're done adding members, select Add and then Close.

Create a channel

By default, every team gets a General channel, which is a good channel to use for
announcements and information the whole team needs. To add more:

1. Select ... (ellipses) More options next to the team name.


2. Select Add channel.
3. Enter a name and description for your channel. You can build a channel around a
topic, project, department name, or whatever you like.
4. Select Automatically favourite this channel for the whole team if you want this
channel to be automatically visible in everyone's channel list.
5. Select Add.

Customize and manage your team

1. Select ... (ellipses) More options next to the team name.


2. Select Manage team to find Members, Channels, Settings, and Apps for your team
all in one place.
3. Select Settings > Team picture to add a team picture and give your team some
personality.

Task 2 - To add members to a team:

1. If you're a team owner, go to the team name in the teams list and click More
options > Add member.

2. Start typing a name, distribution list, security group, or Microsoft 365 group to add
to your team. You can also add people outside your organization as guests by typing
their email addresses.

3. When you're done adding members, select Add. You can make someone a team
owner by selecting the down arrow next to the word Member. There can be multiple
owners in a team. For a deeper look at roles and permissions.
4. Select Close. People you add to a team will receive an email letting them know they
are now a member of your team and the team will show up in their teams list.

Task 3 - Create a standard channel

1. To create a standard channel, start in the team list. Find the team name and
click More options > Add channel. You can also click Manage team, and add a
channel in the Channels tab.

You can create up to 200 channels over the life of a team. That number includes channels
you create and later delete.

Task 4 - Create a private channel

If you want a focused place to discuss sensitive information such as budgets, resourcing,
strategic positioning and so on, create a private channel for your team. Only owners or
members of the private channel can access it.

To create a private channel for a team:

1. Go to the team you want to create the private channel for and choose More
options > Add channel.
2. Enter a name and description for your channel.
3. Under Privacy, select the down arrow on the right, and then select Private –
Accessible only to a specific group of people within the team.
4. Select Add. This adds a private channel to the team.

Task 5 - Cross-post a new channel conversation

1. In the channel, select Format under the box where you type your message.
2. At the top of the box that opens, choose a message type: New
conversation or Announcement.
3. Select Post in multiple channels > Select channels.

4. Choose the channels to post in or use search to find a channel. You can post
wherever you're a member.

5. Type your message and select Send. This posts your message to the selected
channels.
6. Edit a cross-post

You can edit your original message in a cross-post anytime by selecting More
actions in the post, and then choosing Edit .

From here, you can also add channels to post in, or you can remove channels from
the list. Select Post in multiple channels >Select channels to find a channel to add.
To remove a channel, just delete it from the To field.

Finally, for any post you create, you can make it a cross-post by clicking More
actions , then choosing Edit > Post in multiple channels > Select
channels, and then selecting the channels you want to add.

Task 6 - Upload and share files

1. In a channel, under a message box, select Attach files. Select how you want to attach
it:
 Recent: Attach recent files.
 Browse Teams and Channels: Attach files from a team or channel.
 OneDrive: Select single or multiple files from a OneDrive for Business
account.
 Upload from my computer: Upload files from your device.

2. Select a file > Open.


3. If you'd like, add a message and @mention someone in your post.
4. Select Send.

Task 7 - Upload a file to the Files tab

Every channel has a Files tab. You'll find everything that's been shared there.

1. Select Upload > Files or Folder.


2. Choose your files.

Or

3. Select New > Files or Folder.


4. Choose your options from dropdown selection.

Task 8 - Start a chat

In Chats, you can have 1:1 or group chats with people.

1. Select New chat .


2. Type the name of the person or people you want to contact.
3. Select the down arrow to add a name to your chat group.

Task 9 - Pin a chat

1. To pin a chat, select More options > Pin. The chat appears in the Pinned list.

Note: You can pin up to 15 chats.

2. To unpin a chat, select More options > Unpin.

Make video and audio calls from a chat

1. Select Video call or Audio call to call someone directly from a chat.

2. Select Screen Sharing to share screen directly from a chat.

Task 10 - Start calls

There are different ways to make a call in Teams:

1. Select Audio call or Video call to start a call from a 1:1 or group chat.
2. In a 1:1 chat, select More options (the dropdown arrow) next to Audio call, and
choose another number to call if it's available.
3. In the search box, type "/call" and who you'd like to reach. Press Enter to start the
call.
4. Hover over someone's profile photo anywhere in Teams, and select Audio call from
their contact card.

View calls history

1. View a missed call or voicemail in your calls history.


2. To return someone's call from your history, choose who you want, select More
actions (...) > Call back.

Task 11 - Join a Teams meeting from the app

1. From your Calendar, select Join on a meeting before it's started, or one that's in-
progress.
2. Turn on your camera, select Background filters, and choose how you'd like to
appear:
 Select a custom background.
 Select Blur.

3. Choose your audio settings.


4. Select Join now.
5. While in the meeting change the Background by clicking on
6. Goto Apply background effects

Task 12 - Join a Teams meeting on the web

Don't have the Teams app? You can still join a Teams meeting.

1. In your email invite, select Click here to join the meeting.

You can also use a dial-in number and conference ID from the email to call in.

2. You have three choices:


 Download the Windows app: Download the Teams desktop app.
 Continue on this browser: Join a Teams meeting on the web.
 Open your Teams app: If you already have the Teams app, go right to your
meeting.
3. Type your name.

4. Choose your audio and video settings.


5. Select Join now.
6. Depending on meeting settings, you'll get in right away, or go to a lobby where
someone in the meeting will admit you.

Task 13 - View meetings

 Select Calendar to view your appointments and meetings for the day or work week.

These appointments stay synchronized with your Outlook calendar.

 Select a meeting invite to see what the meeting's about, who's attending, and to
respond to the meeting.

Task 14 - Schedule a meeting

1. Goto Calendar

2. Select New meeting.

3. Type in a meeting title and enter a location.

An online meeting is created by default.

4. Choose a start and end time, and add details if needed.

5. Enter names in the Invite people box to add them to the meeting.

Note: To invite someone outside your organization, type in their email address and
they'll get an invite to join as a guest — even if they don't have Microsoft Teams.

6. See everyone's availability in the Attendees list and, if needed, choose a suggested
time or select Scheduling assistant to see more available times in a calendar view.
7. Under Select a channel to meet in, select the drop-down arrow to manage your
meeting's privacy settings:
 Select None to keep your meeting private.
 Select a channel to open the meeting to team members.

If your meeting gets posted in a channel, it'll appear under the Posts tab. Team
members can set agendas, share files, or add comments.

In Microsoft Teams, you can show your desktop, a specific app, a whiteboard,
or a presentation in a meeting.

1. Select Share content and choose if you want to share your computer audio.
2. Select what you want to share:
 Screen lets you show everything on your screen.
 PowerPoint Live lets you share a PowerPoint presentation.
 Microsoft Whiteboard and Freehand by Invision lets you share a whiteboard
where participants can sketch together.
 Window lets you share an open window like a specific app you have open.
3. After you select what you want to show, a red border surrounds what you're sharing.
Meeting participants won't see any notifications that might come in.
4. Select Stop sharing to stop showing your screen.

Task 15 - Apps in tabs

Apps can be used in channels or chats.

1. Select the plus sign at the top of a channel or chat.

2. Search for or select the app you want to add it. Type OneNote

3. Select OneNote from search result

4. Add information if needed, and select Save.

The app appears at the top of your chat or channel.

All apps

Looking for all apps? Select Apps on the left side of Teams to search and browse for
apps available to your organization. Discover new apps based on Categories. Some apps
require subscriptions or signing-in.
