A conflict of interest is a situation that arises when a project management practitioner, volunteer or employee is
faced with making a decision of doing some act that will benefit the practitioner or another person or organization
to which the practitioner, volunteer or employee owes a duty of loyalty and at the same time will harm another
person or organization to which the practitioner owes a similar duty of loyalty. The only way practitioners,
volunteers and employees can resolve conflicting duties is to disclose the conflict to those affected and allow them
to make the decision about how the practitioner, volunteer or employee should proceed.

The Chapter’s Conflict of Interest Policy requires that this questionnaire be completed accurately on an annual basis.

The questionnaire should be updated during the year if circumstances change substantially. Chapter member and non-
member volunteers and employees are expected to be aware of all corporate, personal, and family business interests
and relationships that may involve or relate to the Chapter in any way. Chapter member and non-member volunteers
and employees must openly and accurately reveal these interests and relationships to the Chapter in this questionnaire;
and must comply with all Chapter policies and requirements concerning ethics, conflicts of interest, and related matters.

Thank you for your cooperation in providing accurate responses to the following questions. ALL INFORMATION
PROVIDED BY YOU ON THIS FORM WILL BE TREATED AS CONFIDENTIAL BY THE CHAPTER AND WILL NOT BE
DISCLOSED OR USED IN ANY MANNER OTHER THAN THE CONFLICT OF INTEREST PROCESS, if one should arise.

If you have already completed a COI questionnaire during the current calendar year, you need not submit another form,
unless your answers to the questions have changed. If you have already completed a COI questionnaire and your
answers have not changed, then please complete the Information Release located below.

CONFIDENTIALITY POLICY
Purpose
PMI Singapore Chapter keeps certain types of information confidential.
Because of the importance of maintaining the confidentiality of certain information, and because
effective confidentiality protocols require the involvement and cooperation of Board Directors,
PMI Singapore Chapter has implemented this Confidential Information Policy. All Directors are
expected to read and abide by this policy.
Definition of Confidential Information
Confidential Information includes, but is not limited to, all information not generally known to
the public, in spoken, printed, electronic, or any other form or medium, which was obtained from
PMI Singapore Chapter, or which was learned, discovered, developed, conceived, originated, or
prepared by a Director in the scope and course of their Board role, relating directly or indirectly
to: business processes, practices, methods, policies, plans, publications, documents, research,
operations, services, strategies, techniques, agreements, contracts, terms of agreements,
transactions, potential transactions, negotiations, pending negotiations, know-how, trade secrets,
applications, databases, manuals, records, articles, systems, supplier information, vendor
information, legal information, marketing information, advertising information, pricing
information, credit information, staffing information, personnel information, reports, notes,
communications, original works of authorship, member information, or of any other person or
entity that has entrusted information to PMI Singapore Chapter in confidence.
Confidential Information also includes other information that is marked or otherwise identified
as confidential or proprietary, or information that would otherwise appear to a reasonable person
to be confidential or proprietary in the context and circumstances in which the information is
known or used.
Protocols for Maintaining Confidentiality
Directors must treat all Confidential Information as strictly confidential both during their Term
and after their Term ends. To maintain the confidentiality of the PMI Singapore Chapter's
Confidential Information, all Directors/volunteers must follow these protocols:
• Directors/volunteers should not access or use any Confidential Information to which PMI
Singapore Chapter has not provided the Director/volunteer access or authorization to use.
• Directors/volunteers should not directly or indirectly disclose, publish, communicate, or
make available Confidential Information to any entity or person that does not have a need
or the authority to know and use the Confidential Information, except as required for the
Director/volunteer to perform authorized job duties or otherwise permitted by this policy.
• If a Director/volunteer’s authorized job duties require sharing Confidential Information
with a third party, the Director/volunteer must not do so until Director/volunteer and the
third party enter into a confidential confidentiality agreement.
• PMI Singapore Chapter's Confidential Information must be stored in a secure location
with limited access.

• Directors/volunteers should not discuss Confidential Information in public where it may


be overheard, including, but not limited to, elevators, restaurants, cabs, and public
transportation.
• Departing Directors/volunteers must return any Confidential Information in their
possession to PMI Singapore Chapter at the conclusion of their Term.
Any Director/volunteer who is unsure whether information should be kept confidential should
always check with the Chapter Board before disclosing the information or taking any other
action.
All Directors / volunteers are required to comply with the terms of this policy. Any
Director/volunteer who violates this policy may be subject to disciplinary action, up to and
including dismissal.
Confidentiality Agreements
Directors / volunteers may be required to sign a Confidentiality Agreement as a condition of
their role in the PMI Singapore Chapter.
PMI Singapore Chapter also requires all third parties to sign a confidentiality agreement before
receiving any of PMI Singapore Chapter's Confidential Information. Directors / volunteers must
help ensure the protection of PMI Singapore Chapter's Confidential Information by abiding by
this requirement when communicating or sharing information with a third party with whom PMI
Singapore Chapter is doing business.
Administration of This Policy
The Board of Directors is responsible for the administration of this policy. If you have any
questions regarding this policy or if you have questions about Confidential Information that are
not addressed in this policy, please contact the Chapter Board.
