关于邮件会邀
会邀为⼀种常⻅的邮件形式,需包含以下信息:

A greeting (Hey Team, Hello Everyone, Dear All,)(称呼)

Who is presenting what(主讲⼈,主讲内容)

Any pre-reading materials(会前阅读材料)

Confirm if the time slot works for everyone(确认时间段)

[Optional] Date, time and duration(如果会邀连接到⼯作⽇历软件,⽆需


重复此信息;如果是单纯的邮件,建议把会议信息都附上。)

会议通常分为:regular meeting(例会)& ad hoc meeting(临时会议)


例会(结构)
例会的邀请通常很直接,语⽓不必过于客⽓,可以参考以下结构:

1. 称呼(Hi Team即可)

2. 说明会议时间、内容以及关键议题

3. 说明其他需要准备的
例会(Sample)
Hey Team,

For next Monday's biweekly sync (10-11am), we will be going over key project
updates from all the teams. In particular, we will discuss the bad case that
happened with our client last week and possible courses of action to
remedy(补救、修正)the situation (Cc: customer service and PR teams).

Please remember to fill out the meeting doc before 12 noon, Friday, so we all
have time to read the material in advance.

⼤家好,

由于临时会议可能会涉及跨部⻔同事,建议语⾔更加客⽓、严谨:

1. 称呼(最保险的是Hi Team,正式⼀点可以说Dear All)

2. 说明邀请的会议以及⼤概介绍

3. 说明拟定时间,请⼤家确认是否可参加

4. 补充会议细节:是否有需要提前阅读的材料,会议链接等。
临时会议(Sample)
Dear All,

The Finance team is inviting you to the 2023 Budget Review meeting next week. We will be
going through our 2022 P&L and focusing on some key areas of expenditure and savings
which will impact our business growth in 2023.

As shown in the invite, the meeting is tentatively scheduled for/pencilled in for(暂定

The meeting doc titled "2023 Budget" is attached in this email. It would be appreciated if
you could all read through it in advance for a more productive session.

由于活动通常⽐会议隆重,所以语⾔正式、清晰的同时,也要确保信息量充分:

1. 称呼(Dear All⽐较保险,如果是对外部客户,最好叫对⽅名字)

2. ⾃报家⻔

3. 说明邀请的活动以及⼤概介绍,并表示感谢/祝福

4. 说明活动时间地点

5. 其他信息:dress code(穿着要求)以及dietary information(饮⻝信息)

Dress code分类:casual(休闲), smart casual(半正式休闲), business casual(上午休闲),


semi-formal(半正式), formal(正式)
