EXECUTIVE SUMMARY:

I have been tasked with completing an internship report on in an organisation under the supervision of
Ms. Alka Shah in order to fulfil the academic requirement and complete the BBA programme in ‘The
Maharaja Sayajirao University of Vadodara.’ This report has been broken into several smaller sections. I
did my best to oversee the Sales process in a reputable organisation, during my brief internship of one
month. The report opens with an overview of Business "Pure Water Appliances" along with its objective
and vision for the sector. Sales in this organisation Pure Water Appliances are gone through in this report
along with gist of other functional departments as well. This report also states the works which I performed
during internship & explains various concepts like Sales & Marketing & Finance. I am grateful to
everyone who helped me to craft this report. However, help from various sources was taken to deliver this
report which is mentioned at the end of the report.

INDUSTRY OVERVIEW:

Pure Water Appliances is an Indian Sole Proprietor Business Organization has GST registration.
Pure Water Appliances has its office based in Vadodara, Gujarat. It is distributor for Reverse Osmosis
(R.O.) , U.V. Water Purifier & Gas Geyser devices. There Primary Focus is on Sales and Services And
They have their expertise in R.O. and U.V Water Purifier.

What is Sole Proprietorship?

A sole proprietorship is an unincorporated business that one person owns and manages. As the business
and the owner are not legally separate, it is the simplest form of business structure. It is also known as
individual entrepreneurship, sole trader, or simply proprietorship.

The business owner, also known as a proprietor or a trader, conducts business using their legal name. They
may also choose to do business using another name by registering a trade name with their local authority.

A sole proprietorship begins and ends when the business owner decides, or upon their death.

A sole proprietorship may transform into another, more complex business structure if the business grows
substantially.

Characteristics of Sole Proprietorship:

➢ Ownership of Business:
In this type of business enterprise, there is an individual who manages and controls his business. That sole
trader has both the authority and responsibility (i.e., ownership) of his business so that he manages the assets
and liabilities of his business and as well as increases the growth of business also.

➢ Management:

Owner of the sole trader business is also known as manager and controller of his business.

Through proper management, he manages all things, resources (human and material resources), business
activities and he also takes better decisions for managing the challenges and opportunities for the purpose of
creating the better environment.

➢ Source of Capital : :

Source of capital is the third characteristics of sole proprietorship and it indicates the way of acquisition
of funds i.e., Where will the capital come from? The answer is, sole proprietor capital is come from his
personal savings, from friends and families, and from financial institutions.

➢ Stability :

It means the stability and continuity of the firm is totally depend upon efficiency, capacity, and life cycle of
a sole proprietor. The growth and success of the sole proprietorship business also depend upon the stability
because it develops the improvement capacity of any business and also protects from the unnecessary
materials.
In the sole proprietorship business, stability is also the main feature or characteristic of sole
proprietor because it helps to define the majority, strength, fastness, and continuity of the business
enterprise.

➢ Single Man Control :

Qwner of a sole business controls all things individually. He controls all efforts and resources related to the
business solely. In this sole business, an individual takes itself from all the decisions and implement it by
enhancing his business.

➢ Liability :

Liability is the sixth characteristics of sole proprietorship and it means the liability of a sole trader is always
unlimited. It means that, at the time of loss, if an individual fails to pay his debts, then his personal property
sold to pay the liabilities of his creditors.
If we consider, it is also said that unlimited liability is also a huge disadvantage for any sole proprietor.

➢ Provide Employment Opportunities :

Employment opportunity is the eighth characteristics of sole proprietorship and it means is to provide the
facility of employment opportunities to our community and society. Through employment facilities, the sole
proprietor helps to fulfill the unemployment criteria and also increases the engagement of the business (like
enhancing the growth, productivity, labor facility, sales, community and so on).
This feature point is very helpful to make solo business efficient and effective.

Pure Water Appliances is an distributor for KENT, HITECH, NEXUS, CLEAN WATER
R.O. And UV Water Purifier products in Vadodara, Gujarat sells all the latest R.O and Other
Water Purifier products & accessories. It operates in a highly competitive environment. It is
B2C and Providing Sales and Services. However, they have Experience of 19 years, Pure
Water Appliances has grown manifolds due to its competitive prices, customer services &
marketing as per Firms
claims. Let’s hop into company profile.

Their Vision And Focus is to provide customized solutions With Quality and Cost effective
product range. A strong customer focus Approach and constant quest for top class quality
and services have enabled them to attain and sustain leadership position.

Pure Water Appliances is a Business Which is Registered And They have GST Number.

Pure Water Appliances, founded in 2004 and has grown into a prominent offline firm that delivers top rated
Kent products and accessories to help businesses, Households & customers overcome their need for pure
and healthy water. They Have different Products of different companies. Pure Water Appliances is a
distributor of R.O. & U.V Water Purifier and Gas Geyser is based in Vadodara, Gujarat.

Mr Sudesh Rao, the owner and founder of Pure Water Appliances, graduated with a degree he left the job to
pursue a career in Business.

Pure Water Appliances is a vendor for many House & corporate offices. Recently, they had started and
expanded Providing their Services in GIDC, GORWA BIDC , MANJUSAR.

TYPE, SIZE & FORM OF ORGANISATION:

FORM:

PURE WATER APPLIANCES is a private Business Firm. It was Founded in 2004. Being a
Soleproprietorship Firm also Means Un limited liability. The minimum number of director
required in a Soleproprietorship Firm are 1.

PWA also has 1 Owner of the Firm namely – Mr. Sudesh Rao.

It is classified as non-govt organization and is registered at Registrar of Govt., Gujarat.

SIZE:

It is quite understandable that a small Firm will not boast a team with hundreds of members.

PWA is a Small business/firm which is still in its Growing stage of business, it appears to
grow with a small team at a rapid pace. KENT revolutionises the industry and PWA aims to
bring consumers closer to it by offering best products & prices And also the Services .

PWA has a team of 4 TO 5 people who strive every day to make this Business successful.

They Have Chartered Accountant to Maintain Books Of Accounts of the Firm and to File
Income Tax Return .

And, Firm claims that not having a myriad of employees is justified as it was just to avoid
huge expenses . The Firm is still in its developing stage so, it has few employees under its
team.

Firm Claims that the employees are very supportive and loyal to them and they are
hardworking and they are very perfect in executing the task which provided by the firm .

TEAM-BASED ORGANISATIONAL STRUCTURE:

Pure Water Appliances Fully functions on a Sole proprietor organisational structure. The Owner of the
Firm Takes All the decision in the Firm . An employee cannot directly approach the Owner for Decesion
regarding business profile . Due to this reason organizations have barrier . Sole proprietorships can be a
good choice for low-risk businesses and owners who want to test their business idea before forming a more
formal business.

WEAKNESSES:

- Limited Presence in online market. PWA being a Firm , has only Account on JUSTDIAL & sales
office based in Vadodara, Gujarat. But it aims to open a store in Vadodara and then, expand to
major cities of Gujarat.

- Products cannot be purchased from PWA on EMI. EMI option for purchases is Not available. It
makes it difficult for a middle-class person to buy products on a full payment basis.

- Lack of Manpower. PWA have lack of employees . They Recruit employees as per their business
need .

OPPORTUNITIES:

- PWA can partner with many corporate offices for their Water Purifier devices’ needs. This can be
win-win situation for both, PWA & corporates as corporates will get the products at highly
competitive prices & PWA can increase the inflow of revenue & cash-flow.

- In order to capture market first, a proper online store can be opened on any website or they can also
develop their website. To boost sales & increase credibility of company.

- PWR is an dealer for Kent products via other dealers . The company can directly seek authorised
certification from Kent India rather than third parties to take a step forward.

- Increase of internet connectivity across India due to affordable internet prices has led to massive
boost in online shopping. Digital Economy & good services can drive huge sales in online
ecommerce space.

- Rise of consumerism & disposable income over time has led people to elevate their standard of
living & chase status. Many people buy KENT Premium RO & UV System due to quality .

THREATS:

- Some competitors offer better services as far as credit (availability of EMIs on EMI Cards & Credit
Cards) shopping is concerned on their website.

- Change in Price Occurs due to external Factors .

- An increase in tax rates on electronic devices will increase their cost overtime, which can be a
turndown for some consumers & they may switch to cheap alternatives with inferior quality &
specs. But this will happen if authorities decide to increase taxes.

- Competition from ecommerce giants. Online shoppers may only stick to their ecommerce apps like
Amazon, Flipkart, etc for purchasing products online. The brand recall value of these companies is
very high. So, it will be difficult for a customer to purchase from PWA as they may Pricing
difference or may get better options on these online apps.

MARKET SEGMENTATION:

In order to choose the ideal target market for various companies, segmentation is the process of dividing a
large market into smaller parts. Market segmentation aids marketers in developing and putting into practise
appropriate marketing plans to reach their target market.

A common way to segment markets is to base the segmentation on demographics, which results in segments
such as age, gender, income, and so on. You can segment markets in other ways, such as by usage rates or
product benefits. When you know your customers, you can focus on creating products or content that meets
their needs. This allows you to offer more specific products and services.

Huge Water Purifier Companies/Manufacturers does market segmentation.

Market is segmented on the basis of technology, distribution channel, portability, and end user. Depending
on technology, it is classified into UV, RO, and gravity based. By distribution channel, it is divided into
retail sales, direct sales, and online.

Pure Water Appliances does Market segmentation by:

- Identifying the target audience:


Identifying the target market is the first and most important stage. ‘Who’ should be included in a
common category must be extremely apparent to the marketers. Make sure the people are connected
in some way. Because people have different needs and expectations as per their requirement. Ex:
KENT Supreme Copper RO + UV Water Purifier is more Preferable for household & KENT PERK
Floor Standing RO purifier chiller / dispenser RO+UF+TDS control is More Preferable for
Corporate offices .

- Create groups who have specific usage of products:


Different type of consumers are targeted as per their workload needs.

For E.g., Huge Water Purifier sytem is Required in Factory or in Corporate office . And Simple
Water purifier is
Required in HouseHold. There are different persons and their needs also Varies.

- Location :
Location is also a very important part of market segmentation. Due to Change in geographic
Location the quality of water gets change . Some off places are there , where the water is being
provided by the Municipal Corporation.

IF TDS IS LESS THAN 250 , Then We Have to install UV Water Purifier

IF TDS IS MORE THAN 300 , Then We Need to install RO Sytem.

- Size of the target market:


The size of the target market must be understood. Data is gathered needed for it. It aids in
forecasting and planning sales.

- Review Market Segmentation:


After everything is set and ready, it’s time to analyse and monitor the target audience & their
behaviour. Major factors are recorded and then policies are changed according to it.

PRICING POLICY:

The price which PWA sets for its products depends on multiple factors. As the Firm itself does not
manufacture products, but source them directly from authorised distributor, Firm does not have control
over the end price of the products. It cannot set the MRP (Maximum Retail Price) of products, as the
products are manufactured by KENT & OTHER COMPANIES .

However, PWA can choose to set its own price but not beyond the MRP of product.

Pricing policy depends on:

- Competitors: If competitors sell an KENT product at a higher price, then PWA has to ensure that
its price is either less than that of the competitor or at least in parallel with their price to manage
various functions like sales, managing cashflow. As there is fierce competition from both –
authorised & unauthorised sellers of KENT products, so pricing has to be competitive.

- Price at which products were sourced by PWA : Products are generally sold at a higher price than
at which they are obtained to keep Business functional and make it grow. However, if a product has
been sitting around in inventory for too long, then it can be sold in cut-to-cut price as well to
manage cashflow. This Strategy is called as No Profit & No Loss Strategy.

- Availability of a product: If a product is easily available throughout market, then, the prices will
be as per competition. If product is under shortage in the market, then it is understood that price will
be comparatively high.

- Launch of new product: If a new product is launched by kent Or by anyother company , then in
most of the cases, the price of its predecessor reduces, so at that time, products are sold at market
rate or even below it.

Products From Distributor And Sells Products to the Customer.

A supply chain is a network of individuals and companies who are involved in creating a product and
delivering it to the consumer. Links on the chain begin with the producers of the raw materials and end
when the van delivers the finished product to the end user.

An efficient supply chain management process requires reliable suppliers.


This means they produce a product that meets the manufacturer’s
specifications and deliver it on time.

SALES PROMOTION:

Sales promotion is a marketing strategy in which, a company uses various relatively short campaigns to
garner attention in and demand for a product, service, or other offers.

Sales Promotion used by PURE WATER APPLIANCES :

- Free Delivery on all products in Vadodara.

- Price-Reduction (On any event or for limited time only).

- Bundling of Products When both items are purchased together, they are at lower price in
comparison with if they were bought separately.

- Attractive cashback for customer who purchased products in sales office. When there is a regular
customer purchase and make huge order then, he/she is eligible to get attractive cashbacks on
purchase.
Note: * All Benefits can change.

SALES DEPARTMENT:

The sales department consists of a set of business activities and processes that help a sales organization run
effectively, efficiently and in support of business strategies and objectives. The sales department generally
includes sales, sales support or business operations.

Jobs in sales are highly rewarding and easily accessible as anyone can develop the relevant skills
and qualities of a good salesperson.

ADVERTISING:

ONLINE ADVERTISING:

- On Google: Multiple Ads of PWA are running on Google to promote its catalogue of
RO & UV PURIFIER products. When clicked on the ad, the user is redirected to Justdial official
website. The ads may be displayed on some of the web pages which are visited by Google user or
on the websites on which ad was targeted.
If a user types a relevant keyword in Google search, then also ad will be displayed in the top search
results.

- On Social Sites & YouTube: Ads are being currently not run on Instagram. Products are also
listed on JUST DIAL which generate sales directly online. Even when a product is not being sold,
the number of visitors on social media handles continue to increase. On certain type of websites like
Justdial, Maps of india, Sulekha.com , hindustanyellowpages , metrobump , , if ads are running then,
ads might be visible between different videos in for text .

- On Business & Lead Tools like IndiaMart: Leads are generated through various methods & one
of them is generation of leads on IndiaMart through online advertising.

- On Phone Calls via Telemarketing: Various people are being called and informed about the
company’s business via phone calls on a regular basis. They’re asked if they have any requirements
for RO&UV products & services. Follow-ups are also taken.

- On WhatsApp: Bulk messages are sent on WhatsApp from the data of people in the company’s
database. Alerts, price drops, info about new products is communicated through bulk messaging
service.

- Sending E-mails to Customers: Regular updates are emailed to customers regarding products &
services available in the Business..

Competitors of PWA:

For this internship report, firm refused to provide the List of their Competitors as it was very
sensitive information/data of the business. By the any kind of dispute of Controversy can
happen .

OVERVIEW OF RECRUITMENT PROCESS IN PWA:

Recruitment in Pure Water Appliances has a simple process. It begins with inviting applications for a new
or vacant position.

After applications are received , relevant applications are filtered out. Based on the information given by
the candidate in his/her C.V.

Appointment for Offline Interview is given .

Then interview is conducted and in which the questions are framed by the Assistant Manager.

Then, Offer letter is given to the applicant.

After it, if Manager & applicant mutually reach on a common ground then, contract is signed.

PWA hires candidates via Giving advertise in newspaper, too. The firm do not have tie-up with a
recruitment agency which recommends relevant candidates to the company as per work profile but they
have some references by which they can call candidates.

UNCOVERED BENEFITS BY THE FIRM :

- Health Insurance: The health of an employee is not insured in PURE WATER APPLIANCES. No
health insurance in general is provided to employees working in the Organisation.

- Life Insurance: Company doesn’t even contribute to insure life of its employees from their own
side either fully or partly.

- Contribution to Provident Fund: The employer doesn’t contribute any amount to the provident
fund of an employee.

- Compensatory or accidental cover: There is no compensatory or accidental cover for employee is
he/she meets with any mishap at the workplace. However, employer may contribute something to
him/her for support but, nothing is written in contract for this.

- Fuel Allowance: Fuel allowance is provided by the firm , when an employee goes to do field work .
The amount decided as per the KM or distance covered by the Vehicle. it is only provided for
official purpose and not for personal.

These benefits are not provided in the firm. It might be justified because still the firm is in its nascent stage
& a growing firm. But, for most of the part, employees are on their own & have to get insured from their
personal expenditure. And employee is provided on fuel expense done for official purpose.

*Note: Above mentioned benefits not provided by firm might be subject to change as it expands or changes
its policies.

Also, for this internship report, firm refused to provide salary slip of any employee, even masked salary slip
was denied.

PROFIT MARGINS:

In general, the profit margins of the Business is between 4-8%. This profit percentage comes
around industry average as the Capital expenditure is significantly lower than others in the
same industry. In some cases, the profit percentage or margins can be higher or lower than
the given percentage, i.e., 4 to 8 percentage. Minimal office expenses, having no store
expenses as of now has made this probable.

SOURCES OF FINANCE:

The funding of the Business backed by founder – Mr. Sudesh Rao.

*Note: The company denied to provide any information about financial status of the firm.
There was no access to balance sheet or any other financial statement. Hence, there is limited
info about accounting section.

WORKING CAPITAL STRUCTURE:

Working capital management's major objective is to help the business maintain enough cash flow to cover
its short-term operational expenses and short-term debt commitments. Working capital is the difference
between a company's current assets and current liabilities.

Anything that can be quickly converted into cash within a year is considered a current asset. These are the
very liquid assets of the business. Cash, accounts receivable, inventories, and short-term investments are
kinds of current assets. Any debts that are due within the next 12 months are considered current liabilities.
These consist of the present portion of long-term debt payments as well as accruals for operating expenses.

PAYMENT & LINE OF CREDIT:

Payment to Supplier:

Most of the times, PWA makes payment immediately to its respective supplier. This is done
to avoid disputes & credit burden on the Firm. Immediate payment also helps in availing
cash discount due to which Firm is able to source products at a cheaper rate than others.

However, in some cases Firm, also buys its inventory in Line of Credit (LoC) from its
supplier. Line of credit depends on the quantity ordered and the amount of order. However,
Firm avoids to take LoC.

When receiving Payment form Dealers:

PWA doesn’t offer any LoC to its Customer. It receives payment either in advance or
immediately after the product is sold. This helps to manage cash flow & working capital
structure of the Firm.

Because the profit margins of the Firm are thin, the Firm keeps its working cap needs in
check by regulating cash flow.

Note: Sometimes When Firm Sell the product in bulk Quantity to Trusted
Customer/Company, they provide some credit to the customer/company.

PROBLEM IDENTIFICATION & SOLUTION:

PROBLEM 1 - Lack of a proper Online platform:

Pure Water Appliances as of now doesn’t have a proper Online platform, yet. Due to lack of Online
platform activity, the firm keeps on missing tons of walk-ins & potential clients.

Possible Solution:
A Online store can be opened up on reputed website from where a greater number of leads can be
generated. PWR may not miss potential customers to competitors if a Online store will be functional as it
will increase trust to the customer.

This problem identification was through observation.

PROBLEM 2 - Lack of Employees:


The firm has a sheer shortage of employees.

Possible Solution:

The team has to be expanded. There is a need for specialists of their field having basic knowledge about
related fields in the firm. Over-working can lead to reduced productivity & fatigue among employees, so
flexible working method can be adopted.

This problem identification was through observation.

PROBLEM 3 – Lack of funds

Possible Solution:
The Firm Should take loan from the banks, they can also pitch the potential investors, they can try
partnership as well because partnership brings new capital to the business.by these methods they can deal
with fund crisis.

WORK RESPONSIBILITIES TAKEN:

The tenure of internship with “Pure Water Appliances” was full of pragmatic learning experiences &
immense workload. Various work responsibilities were undertaken by me in the organization. There are
various work responsibilities given to me by which I can learn . They Had Provided theoretical knowledge
for the first time and then after they assign me duties and responsibilities. They had explain me About the
different products of the of various company then after they shown me the Working of RO Water Purifier
and Told me Some of the benefits of RO Systems . They had explain me about services provided by them .

Communicating with corporate companies :


In the first stage I’d learned about cold call and Tele calling , first of all they gave me demo that how cold
call is perform and what are the key points have to remember when we are communicating with person
While selling .

I Started tele calling and approach corporate office by finding their contacts from the internet. And then after
I explain about products and Services to the Concern Person of the company , then after lead is generated by
Sales executive .

Then after I gain some confidence and id started doing cold with Sales executive . I’d done Joints call with
the Sales executive.

Communicating with dealers & individuals :


I’d Learned about how to deal with the dealers and Customers how to identify their requirements and their
needs . In the Office I only deal with the customers and other concern person .

I have to make a call to dealer if there is requirement of any product or spare part .

Taking follow-up with clients :
The firm had the New Customers List in which I have to check the details of the client and took follow up by
asking them few questions like :

Is there any problem in using System ?

Is the Products is satisfying your needs ?

And it is working Properly or not ?

There is one list of Prospective Customers in which we have to approach customers who is interested in
purchasing RO & UV System.

Convincing abandoned customers to buy the product :


Then I Have to convince customers who wants to buy the products . the Dealing of Purchase and sale is
mostly done by the Assistant Manager.

Note :

My Responsibility is only have to Convince the customers and the Final negotiation is done by the higher
authority.

Sending customers message about the company & products on email/ WhatsApp :

Sometimes I have to send messages of Firms Business profile or Introduction to the client, and

New Products launch advertise to the existing and New customers.

Taking Feedback From the Customers about Service :

Collecting user feedback via different methods is crucial for all businesses. How you ask customers for
feedback and analyzing them determines planning new strategies for your business.

You will definitely want to know where are you getting right or wrong in the eyes of customers.

Approach new Companies and Houses For Product and Service by Tele calling :

I Started tele calling and approach corporate office by finding their contacts from the internet. And then after
I explain about products and Services to the Concern Person of the company , then after lead is generated by
Sales executive .

I Have to Generate customers and after that Sales and Service is given by the Sales Person .

AMC Contract Due Calls:

AMC Means Annual Maintenance Contract in which company/firm makes a contract in which amount and
Services is mention and duration of contract is mention .

I have to check the AMC daily and make calls if there is any person who’s AMC renewal is Pending or the
Payment is due by Him/Her .

Complain List Checking :

Checking of Complain list or taking calls for the Complain is daily work.

In which I have to check the complains and Infrom to the sales person or technician to solve the complain .

I have to revert the complains to the sales person/technician so he can solve the problem of the customer .

Service Card Checking :

Card which is provided by Firm to the Cutomer who Have Purchase Servies only for their Water Purifier
System is Called Service card .

I have the Responsibility that I have to check the service card and the date of upcoming service .

LEARNING OUTCOME:

- I learned to talk to people in certain parlance during this internship. Different set of customers were
to be handled differently like communication with corporate clients, dealers & consumers had
variation.

- Dealing with different people opens up different problems. I learned to solve them through proper
communication.

- I learned how to negotiate with the Customers .

- Learned to manage Time and Work .

- Learned Field Work And How to Perform Cold Calls .

- I also took my hands on basics of R.O. service like measuring TDS .
