PREFACE
The Institute of chartered accountants of India (ICAI) is a statutory
body established under the Chartered Accountants Act, 1949(Act No.
XXXVIII) of the regulation of the profession of Chartered Accountants of

1. INTRODUCTION TO TALLY

Business automation is one of the most prioritized processes when an


entrepreneur decides to enter the market. Not only does automation saves precious time
but also improves business efficiency and operability. The sheer convenience of having
all your business data in one place, readily available, ability to manage your payables,
receivables, getting control over your stock and therefore being able to strengthen your
relationships with customers and suppliers is a great asset to have. However, most
automation tools that exist today come with varying levels of complexities and create
inhibitions in your mind. Often, one chooses to automate out of compulsion rather than
to harness the true value of automation.

3. COMPANY CREATION
Maintaining your business transactions on a day-to-day basis is critical to your
business. To keep a record of all your business transactions, you need to first create a
company in TallyPrime. Through the company, you can also view and update all your
transaction entries, as needed, and go through the financial reports based on the
transactions that you maintain.

Create company: To create the company, just enter the company name,
address and other details, such as financial year, security, and base currency information.
Once you have created your company, based on your business preferences, you can use
the accounting, inventory, payroll, and taxation features. You can also specify the tax
registration details as applicable, such as GST, VAT, Excise, TCS, or TDS, which can be
accounted for your transactions.

4. COMPANY FEATURES

In TallyPrime, when you create a company, the key features required to record
your business transactions are set by default. As per your business requirements – such
as inventory management, tax-based invoicing, payroll management – you can set your
preferences using the Company Features.

As per the preferences set, you can enter transaction data accordingly. In most of
the cases, you can incrementally enable or disable other features by pressing F11 at any
point you need.

Maintain your books of accounts: Depending on your bookkeeping needs


for your company, you can enable other accounting features, such as cost centre and
interest calculations.

Manage your stock/inventory: If you are using inventory in your


business, you can set up your inventory-related preferences. In TallyPrime, you can
manage your Inventory independently or choose to update your books of accounts with
stock details.

5. UNIT OF MEASURES

Does your business involve stock items or inventory in the day-to-day


transactions? If so, you certainly need to manage and keep track of all your stocks – how
much of them have been sold every day, what is the balance stock, are the stocks moving
as per the demand, do you have too much unused stock and so on. In TallyPrime, you
can create as many stock items as you have in the business, specify units of
measurements (UoMs) for each stock item and define tax rates, without having to enter
these details again during transactions.

Whether you keep your stocks in different groups, batches or godowns, based on
your business practices, you can find the details of your stock items any way you need.
Real-time view of your stock quantity helps to refill your stock in advance to avoid the
risk of losing customers, You can also view stock item reports for each group or batch as
needed.

6. STOCK GROUP CREATION


You can create stock groups in TallyPrime for classifying items based on common features. You
can also apply a common tax rate for all items in a stock group.

7. STOCK CATEGORIES CREATION

Stock category offers a parallel classification of stock items, categorizing items is


that you can classify the stock category based on functionality together in a group. You
can classify the stock category across different stock groups which enables you to
obtain reports on alternatives or substitutes for a stock item.

8. STOCK ITEM CREATION


A stock item in TallyPrime is required to fill in information about the stock or inventory that
your business deals with. Once you have created stock item, you can records your business
transactions and keep track of the stock item details. Simply enter the name of the stock item
you want to create and save it. Also, provide the opening balance details such as quantity,
rate, value applicable tax rates so that you can record transactions in less time, without the
need to enter all of these details each time in the transactions.

9. LEDGER CREATION

The ledgers in TallyPrime or in the Books of Accounts affect assets, liabilities,


income or expenses. TallyPrime can generate a Profit & Loss A/c and Balance Sheet
immediately after a transaction has been entered. It can also generate a range of
comprehensive financial statements and reports.

You can create ledgers in different ways such as from a master, transaction, or a
report as per your preference. Ledgers can be created in specific groups depending on
your business process. For example, you can create a Bank ledger under Bank Account,
a Sales ledger under Sales Account, or a Tax ledger under Duties and Taxes. Similarly,
you can create a Party ledger under Sundry Creditor or Sundry Debtor depending on
your sales and purchase needs.

12. VOUCHER CREATION

As per the accounting practice of journaling, you can record all transactions using
Journal Vouchers in TallyPrime. However, there are specialized accounting voucher
types for different types of transactions like payments, receipts, sales, purchase, contra,
debit note, credit note and so on to ease data entry. Once you know how to enter a
transaction in TallyPrime, you can enter any transaction in a similar way. Voucher types
in TallyPrime can be categorized as Journal, Purchase, Sales, Payment, Receipt, Contra,
Inventory Vouchers, Order Vouchers and Non-Accounting Vouchers. In this topic, we
will understand how to record a transaction in TallyPrime or say, accounting entry in
TallyPrime and learn more about the voucher types provided for accounting in
TallyPrime.

Inventory vouchers in TallyPrime allow you to track the items that you have sent to
your customers and send them delivery notes with the goods sent. Record job works
vouchers and manufacturing journal that will give you a clear view of what quantity of
items and what items were used for manufacturing. You also have the option to record
the finished good, co- products, by-products, and scrap that are generated during
manufacturing.

13. TRIAL BALANCE

The Trial Balance in TallyPrime is a summary of all the ledger balances. It helps
in checking whether the transactions are correct and balanced. If the journal entries are
error-free and posted correctly to the general ledger, the total of all debit balances should
be equal the total of all credit balances.

With TallyPrime, the Trial Balance will be at your fingertips. You can
prepare the Trial Balance periodically for your company, for example, at the end of a
quarter or financial year. This will ensure that the entries in your books are
mathematically correct. You can easily spot any errors or discrepancies, and make the
necessary adjustments.

14. PROFIT & LOSS A/C

Profit and Loss A/c is one of the primary financial statements that you can use to
monitor the health of your business. It summarizes the revenues, costs, and expenses for
a specific period, such as a quarter or a year. Thus, you can easily gather the net result of
the business operations.

Using the Profit and Loss A/c in TallyPrime, you can measure the ability of your
business to generate profit. Accordingly, you can take various measures to increase
revenue, reduce costs, and so on.

15. BALANCE SHEET

Balance Sheet is one of the primary financial statements that you can use to
monitor the health of your business. It is a picture of your company’s financial position
– what you own (assets) and what you owe (liabilities) – at a given point in time.

The Balance Sheet in TallyPrime provides you with a neat snapshot of your
business. You can also expand the report for a comprehensive view of your assets (such
as cash in the bank, inventory, vehicles, equipment, buildings, and accounts receivable)
and liabilities (such as taxes, loans, mortgages, and accounts payable). The difference
between what you own and what you owe determines the Net Worth (or Owner’s
Equity) of your business.

16. OUTSTANDING PAYABLE & RECEIVABLE REPORT

OUTSTANDING PAYABLE

When you make some purchases or obtain services from your vendors you need
to keep track of all the payments that you have to make on the agreed timelines. All
such pending or overdue payments to your parties are outstanding payables. You can
manage outstanding payables in TallyPrime using Outstanding Payables report that gives
you an overview of what your business owes for supplies, inventory, and services.
Moreover, you can get an overview of the amount and the creditors to whom you owe
money and how much you owe each creditor and how long the money has been owed.
You can manage outstanding payables in TallyPrime that will help you to know the time-
to-time expenses, avoid overseeing the outstanding payments that you owe to the
creditors, and help you manage the cash-flow in your business.

OUTSTANDING RECEIVABLE

When you do sales on credit, you would certainly need to keep track of the due
amounts that your parties owe you. All such dues from your parties will be your
outstanding receivables. Managing the outstanding receivables can be critical to your
business because it not only helps to understand how much your parties owe you, but
also helps you to recover the dues on time and use it for your business, as needed. You
can manage outstanding receivables in TallyPrime and keep record of all the dues.

17. BANK BOOK WITH BRS

The Bank Book is a record of all the receipts and payments made through the
bank. Bank reconciliation in TallyPrime is a process that explains the difference between
the bank balance shown in an organization’s bank statement, as supplied by the bank,
and the corresponding amount shown in the organization’s own [accounting] records at a
particular point of time.

18. BUDGET VARIANCE REPORT


Budgets give you an estimation of the expenditure that you can incur in your
business for a particular work, department, or project. However, there may be some
difference between the actual expenses and the respective budgets. The budget variance
report provides you with the information on the actual expenses as compared to the
budget. This helps you plan for the future and facilitates financial control in your
business.

You can view the Budget Variance report from Trial Balance, Group Summary
and Monthly Summary. Budget Variance is active only when the option Maintain
budgets and controls is enabled in the Accounting Features, and at least one budget is
created.

19. DAY BOOK FOR A TO Z

The Day Book is an account book in which a day’s entries or transactions are
captured. TallyPrime stays true to the traditional Day Book used by businesses for
manual book-keeping, while bringing in a host of powerful features.

You can modify the Day Book in TallyPrime to view only one kind of transaction
(for example, the purchases of the day), or search for any transaction irrespective of the
date. You can also select multiple transactions at once and cancel, delete, or remove the
entries from the Day Book. Similarly, you can verify your transactions, and account for
any missing entries by adding, inserting, or duplicating entries.

20. STOCK SUMMARY REPORT

Stock Summary is a statement of the real-time stock-in-hand on a particular day.


It is one of the primary inventory statements that gets updated in real-time as and when
you record transactions. If you have maintained the inventory in groups, transferred
stock for various business needs, sold or purchased stock items, TallyPrime helps you
view all of them using the Stock Summary report.

Movement analysis in TallyPrime shows the analysis of only those inventory


transactions which are integrated with the accounts, i.e. inventories which are also
recorded in the books of accounts. Inventory vouchers which affect the stock only in
quantitative terms are not considered.

21. STOCK QUERY

The Stock Query report in TallyPrime provides complete information pertaining


to a particular stock item. The details include Alias, Part No., Stock Group, Stock
Category, available Closing Quantity & Balance, Cost Price, Std. Selling Price, Costing
Method and Market Valuation Method, and so on.

Generally, the deductor deducts the tax in the same invoice in which the expenses
are accounted. But in some cases, deductor may follow the procedure of accounting only
expenses on the receipt of bills and later, deduct applicable tax on all such accounted
expenses in one invoice. Form 26Q is the Quarterly return of TDS in respect of all
payments other than salaries. To save Form 26Q, it is recommended that you need to
resolve all the exceptions, and then press Alt+B (Save), to save the report.
