1. Getting to Circuit Paul Armagnac

Circuit Paul Armagnac is located Northwest of downtown Nogaro. Student teams should take the
Departemental road 147 – Av. de l’Autodrome from central Nogaro. Entrance to the venue will be on the
right-hand side and clearly signposted as “NOGARO CIRCUIT PAUL ARMAGANC ENTRÉE”

Once within the circuit, please follow the Shell Eco-marathon signs and traffic marshals to guide you.

Parking
Free parking will be available for all participating teams at Circuit Paul Armagnac.

During the registration process, you will be given a parking pass to access our student parking area. Please
fill in your details on the pass as requested, and then display clearly in your vehicle’s dashboard at all times.

Teams can begin moving their trailers or pickup trucks into Circuit Paul Armagnac on Sunday, May 19, at
09:00. Please follow on-site parking instructions upon arrival.

 You will not be able to unload your trailers before Sunday, May 19, at 09:00

 Camping in the parking lot is strictly prohibited. Teams planning to stay on-site for the event must
unload all their equipment upon arrival and settle in the designated camping area.

 Trailers cannot be driven into the paddock area for any reason other than loading and unloading
purposes.

2. Accommodation and Food


Accommodation
Campsite
Free, outdoor camping will be provided on-site at Circuit Paul Armagnac.

 Camping equipment will not be provided by the Organisers. Teams MUST bring their own sleeping
bags and tents. The camping area is located outdoors, and we encourage campers to bring
padding and extra blankets.

 Gender showers will be provided.

 There are a small number of campervan spaces onsite but must be confirmed pre-arrival if you
wish to use them so we can confirm your space. Camping is not permitted next to the vehicle, and
tents will be positioned in an adjoining field. Please note campervans must be self-sufficient as
there will be no power hook-ups.

 A cooking area equipped with hotplates, kettles, microwaves, and refrigerators as well as a BBQ
area will be available.

 An amenities tent will be provided, including tables and chairs for team meals. A social area that
will be kept quiet with no music between 22:00 and 07:00.

 Local restaurants can offer a pre-order breakfast delivery (pastry, juice, and coffee) if desired -
further details will be provided at campsite reception.

 For all food deliveries, a designated drop-off area at the campsite reception will be used.

 There is no electricity at each camping point. Within the campsite amenities tent, only will be
available, as well as power sockets on tables for general student use.

 There is no Wi-fi available in the campsite area.

 Please note spots will be assigned on a first-come, first-served basis after teams complete their
check-in on site.

The campsite will be open from 09:00 on Sunday, May 19, until 09:00 on Saturday, May 25. Note, all
camping materials must be removed from this area by 09:00 on May 25.

Health and safety


 Cooking is not permitted at the tent, only in the dedicated cooking and BBQ areas.

 Do not use electrical heaters in the tents.

 Teams are allowed to use only commercially purchased solar panel charging/battery system in
the campsite. Modified or bespoke solar panel charging/battery systems are not allowed. The
Organisers reserve the right to view and remove any non-compliant solar panel
charging/battery system.”

 Narcotics are strictly prohibited.

 There should be no consumption of alcohol by persons under the age of 18s, or its presence or
consumption within the dedicated under 18s camping area.

 Noise levels must be kept to a minimum between 22:00 to 07:00 in all campsite areas, including the
amenities tent.

 Always wear appropriate footwear.

 Insect repellent and sun cream should be applied liberally.

 Medics and security staff will be available on site around the clock. Should you require medical
assistance, and the medical office appears closed, please inquire with security.

Breaches of any of the above rules may be subject to the penalties as laid out in Article 8 of the Shell Eco-
marathon 2024 Global Rules, Chapter I.

Hotels
For Teams who prefer hotel accommodations, there are few options near Circuit Paul Armagnac. Please
note there are no special rates, Teams are welcome to do their own research and find the option that better
suits their needs and budget.

Food
Participants are responsible for purchasing all their meals. Circuit Paul Armagnac food vendors will be open
throughout the duration of the event.

There is no ATM available on-site. The nearest one is located in the town of Nogaro, near the circuit.

3. Check-in and Check-out Procedures


Event Check-in
After Phase 3 registration, a unique QR code will be sent via e-mail to each participant listed on the registration
portal. This QR code will work as a boarding pass upon arrival at the event, granting a faster check-in process
to the participants who submitted all mandatory legal documents and required information in advance.

1. Participant check-in will open at Circuit Paul Armagnac on Sunday, May 19 at 09:00.

2. Each participant must come to the check-in desk located within Paddock 1 - traffic marshals will direct you
on arrival. A staff member will ask to scan your QR code and check your photo ID. The following
scenarios may happen:

a. Participant has submitted all mandatory documentation: proceed to fast-track lane to badge
collection and safety induction.

b. Participant is missing documentation: proceed to troubleshooting check-in desk with a personal


photo ID for verification, sign the necessary documentation, then proceed to the badge pick up
area.

3. Proceed to one of the badge kiosks to collect a personal badge and lanyard,

4. Follow the signs to the safety induction room, watch the mandatory video and receive a non-detachable
wristband indicating the completion of the safety requirements.

5. If camping onsite, there will be an additional campsite registration step, venue host will direct you to
one of the photo printing kiosks, have a picture taken and receive the photo ID to affix to your badge.

6. Collect the participant swag bag.

7. For all campers staying in the under-18s area – The under-18s and their chaperones should make
themselves known to security on arrival at the campsite, they will be given a red wristband which must
be worn at all times. Access to the under18 camping area is restricted to persons wearing red wrist
bands.

No accreditation will be given in advance to team members not yet present.

Check-in Process for Technical Inspection

1. The Team Manager, Driver, and Reserve Driver (if applicable) must report together to the Technical
Registration desk located inside of the Technical Inspection area. At this station, the Team Manager
and Driver(s) will be registered for Technical Inspection and will receive specific accreditation in the
form of a wristband, as well as all vehicle stickers.

2. After completing the registration from step 1, you will be directed to the Telemetry station to pick up
your personalized Telemetry Kit.

3. Once step 2 has been completed, you are free to start your Technical Inspection. Before you approach
the Inspection entrance your Team must be prepared as follows:

a. Complete vehicle with liquid fuel tanks near emptied;

b. Bound hard copy of the technical documentation;

c. At any time, a maximum of three Team Members, including the Driver(s), are allowed to enter
the Technical Inspection area to assist;

d. No carts or tool chests are permitted inside the inspection area unless there is sound reason
and only with the approval from the Organisers.

4. Finally, once a Team has completed their full inspection, the Team Manager must report to the Technical
Registration desk with the vehicle. If the vehicle is fully compliant with the rules, the Team will receive
the Shell Eco-marathon 2024 technical and safety stickers to place on their vehicle. Without these
stickers, the Team will not have access to the main track for practice and competition. Note that Test
track is accessible only upon obtaining Safety Inspection sticker as a minimum; additionally, refer to
Article 214 of the Chapter II Rules.

5. Teams needing a re-check must first have a Team Member (without vehicle) approach the inspection
entrance and inform the inspector which station they need for re-check. If the station is ready to receive
a vehicle, you will be allowed to enter directly at that station, rather than waiting in the primary
inspection queue.

Event Check-out
1. Return all equipment received from the Technical Team (transponder, pit vests, joulemeter, hydrogen
cylinder, telemetry kit) to the Technical Inspection registration desk as soon as possible, but no later
than 17:30 on Friday, May 24. Teams will be financially responsible for any Shell Eco-marathon
equipment not returned.

2. All student team materials, personal belongings, vehicles, and Team Members must be cleared from the
campsite by 09:00 on Saturday, May 25, and Paddock Area by 18:30 on Friday, May 24.

3. All commercially shipped vehicles and containers must be collected at Circuit Paul Armagnac on
Saturday, May 25, from 8:00 – 12:00.

3.1 Be sure to arrange return shipment of your vehicle in advance of the competition. Teams
must pack up their vehicles and leave the shipping paperwork with the freight manager.
Remember this paperwork must be completed prior to your departure from Indianapolis.
3.2 Label all shipping crates with required return shipping information and complete the
Dangerous Goods requirements (above). Air freighted crates will be physically inspected
prior to departure.

4. Paddock Area
Teams will be assigned an individual garage space in the paddock area measuring approximately 4m x 4m
per vehicle.

Each garage will be equipped with:

1. Electrical outlets (Type F)

2. 2 Chairs

3. 1 Rectangle Table measuring 1.8m

4. 1 Lockable storage locker

Important information on-site


 Participant Information Desk: All questions on-site can be directed to the Participant Information desk,
located in the Paddock Area.

 Screens around the Information Desk will show important information daily, including the track schedule.

5. Safety
For your safety, respect these rules during Shell Eco-marathon Europe and Africa 2024:.

Follow all of the Safety Rules communicated in the Competition Rules and in the induction presented on
arrival.
Do consider your behaviour on site – ensure you behave in a professional manner and treat others with
respect at all times.

Make sure to get plenty of rest before traveling to Nogaro. Take turns driving and
avoid distractions while on the road.

In case of alarm (siren, loudspeaker), evacuate the area. Go to the nearest exit of the
Paddocks or the track. Do not return until it is announced that it is safe to do so.

24-hour ambulance service will be available in front of the Medical Center beginning at
09:00 on Sunday, May 19 and staffed until 18:00 on Friday, May 24.
In case of an incident or accident, call the medical support number at
+33 (0)7 48 30 96 92 OR 112.

Never walk on the track (except during the track walk), on the safety lane, or in
restricted areas.

Do not smoke in the paddocks, near the student garages, or throughout the venue.
Smoking is only permitted in the designated areas at Circuit Paul Armagnac.

Beware of moving vehicles (Prototypes, Urban Concepts, forklift engines, service


vehicles, etc.)

Pay attention to pedestrians at all times when moving or driving vehicles. Driving is only
permitted on designated roads.

Area.

First Aid
 The Team Manager takes responsibility for his/her Team Members:

– Acting as the contact person for the hospital and the First Aid Center;
– Supervising their stay at the hospital;
– Supervising the return of the Team Member to Circuit Paul Armagnac.
