Summer 2024 Arrival Instructions for Entering Japan

� Read this document thoroughly and check your email regularly. �

1. Pre-departure Requirements

2. VISIT JAPAN WEB Complete this just a day before your departure. Without this, the
wait time at the airport customs may be hours.

Phase 1 - Prepare for departure

Arrival date: May 16 (Thu) Japan Admitted Student


May 20 (Mon) Study Abroad Student
(TUJ support available only on these days)
1. After you receive your visa COE by email:
COE: Save on your phone (accessible without data) AND print a hardcopy to show Japanese
immigration upon arrival.
• Book your flight
• Submit the Flight Form JA Student only (SA Student submits another form to TU
Education Abroad Office)
JA Dorm students: Submit Flight Form to receive your dorm assignment. The sooner the
better!
Haneda International Airport (HND) (recommended) / Narita International Airport (NRT)
● Arrive as early in the day as possible. Public transportation and the dorm staff are not
available 24/7. Check-in available at the dorm from 9:00 - 22:00.
● The flight ticket should have a flexible change / cancellation policy.
● Buy a ticket with the most direct route to Japan to avoid complications on the way.

JA: Immediately report to newstudent@tuj.temple.edu if you have any changes to your Flight
Form, with your full name and student ID. (SA: Contact TU Education Abroad Office)

2. Log in Visit Japan Web and register


● Dorm students: give dorm address (refer to the Dorm Orientation course on TUportal’s
Canvas). List room number as “TBD”.
● Independent housing / homestay students: List your address in Japan.
3. Make your Student ID by submitting Student ID Card Application Form before arrival to
Japan
● Dorm students: If your submission is complete in time, it will be ready for collection at
the time of your check-in to the dorm.
● Independent housing and homestay students: Pick up at TUJ Information Center (1st
Floor) during the Welcome Week

Phase 2 - Arrival at Haneda or Narita Airport

1. Show Visit Japan Web application on your phone, and COE to immigration.
2. Make your way to your accommodation on your own.
Dorm students: follow the instructions in the Dorm Orientation course. The Dorm Manager
and Dorm Staff will be anticipating your arrival on the official arrival day.

Phase 3 - Housing

● Housing fees are non-refundable from two weeks prior to the first official arrival
date (May 16). Those who cancel admission to TUJ after this date will be charged the full
housing rate for the Semester. If your cancellation is received between four weeks and
two weeks before the first day of the official arrival date, a cancellation fee in the
amount of 100,000 yen will be applied and the remaining housing fee will be refunded
after subtraction of the cancellation fee.
● You will not be refunded any portion of the dorm fee should you move out of the dorm
sooner than the check-out date for the Summer semester (August 3).

Phase 4 - Getting Settled in Japan

TUJ will be having its Summer 2024 New Student Welcome Week on campus with several
mandatory and optional sessions from May 17 to 23. TUJ classes for the Summer 2024
semester start on May 27 (Academic Calendar). More information on Welcome Week and an
event sign-up form will be available by early May.
During your first few weeks in Japan (log into TUportal to view the hyperlinks below):

1. Register your Residence Card and apply for Japanese National Health Insurance
(NHI) at your local Ward Office (required for all students under visa-sponsorship)

● Dorm students: Do not go on your own. Appointments are pre-arranged by TUJ to


visit the local ward office on May 17 (JA). The exact time will be announced upon your
check-in to the dorm.
● Independent housing / homestay students: complete on your own before May 22.
It is recommended to purchase private health insurance for up to 1-2 weeks in case of a medical
emergency between your arrival and registering for NHI.
2. Apply for Japan Post bank AFTER your visit to the local ward office (JA)
For the first 6 months, Japan Post Bank is the only option for new residents in Japan. There will
be a session during Welcome Week to assist with bank applications. Please download the
application app on your smartphone BEFORE attending these sessions. This application is only
available in the Japanese app store so you may need to change the region setting to Japan.
3. Buy a Pasmo train card upon your check-in to the dorm
The commuter pass will be a cheaper option if your commute to TUJ is more than 3-4 days per
week.
