So what are academic archives? In the past, this term referred to college and
university archives programs, which collected, preserved, and provided access to
material that documented their institution’s history. Today, however, the field of
academic archives is more expansive and complex. In addition to college and
university archives, academic archives encompass records management
programs, special collections departments, and other campus archival
repositories. This new definition of academic archives programs has also
redefined the role, and training, of academic archivists.
Today’s academic archivists differ from their predecessors. Most of today’s
archivists working in higher education have access to education, training, and
technology that were not available to previous generations. Demand for services
and information by diverse user groups has also changed the mission of many
academic archives. Academic institutions are the home to many archivists, and
for good reason; nowhere is there such a need for talented people to contribute to
an understanding of the past and help inform the future.
The majority of today’s academic archivists work in programs with direct
connections to a campus library system. Academic archives have taken many
cues from academic libraries on redesigning reference services, creating
collaborative spaces, reaching users with new technology, and merging units into
larger departments. Likewise, academic librarians have learned from academic
archivists the importance of building unique research collections, primary source
education and instruction, and contributing to scholarly communication, both in
print and electronic formats. This influence is most evident in the dramatic
changes in special collections departments, the most common location for
archives programs within academic libraries.
Academic Archives: Managing the Next Generation of College and University
Archives, Records, and Special Collections examines the changing world of
academic archives. It defines today’s academic archivists and the future of their
work. Academic archivists, who may be special collections librarians, records
managers, reference archivists, manuscripts processors, college or university
archivists, and curators, are integral to the ever-changing academic library. In the
face of limited resources and campus downsizing, academic archivists must wear
many professional hats, assume multiple roles and titles, and develop new skills
to meet the research and technological needs of their researchers. No longer can
academic archives programs remain isolated, committed to narrow missions,
limited to tiny constituencies, and without a true vision. To accomplish this
transformation, academic archivists must keep their programs relevant, growing,
and connected to other parts of their campus environment, especially the
academic library.
Academic Archives is designed to appeal to archivists of all ranks and
experience, archivists working outside of academic libraries, archivists in
training, other information professionals, library directors, historians (who often
describe themselves as archivists because of their research skills), and members
of the academic community. Readers wanting to start an archives program
(academic and non-academic), update an existing archives program, begin a
career in academic archives, or remain current on recent developments, will find
this timely reference source valuable.
At its heart, Academic Archives examines big-picture, practical issues of
working as an academic archivist and managing the next generation of academic
archives programs. It is not focused on just college or university archives but
conceptualizes academic archives more broadly, with a particular focus on
merged departments in academic libraries, such as a special collections unit. The
major themes include choosing a career in academic archives, working with
other information professionals in an academic library, defining and articulating
the vision, connecting the program with the goals of the institution, integrating
records management functions into the archival program, building collections
with help from donors and dealers, presenting unique material to many
audiences, determining the best approaches to processing and organizing
collections, digital opportunities, explaining the role of archivists in twenty-first-
century academic libraries, and defining what it means to be an academic
archivist.
ORGANIZATION
Academic Archives is divided into three parts. The first section, consisting of
three overview chapters, defines the academic archives environment. Chapter 1
begins with a definition of today’s academic archives and archivists. It describes
career paths to academic archives, some of the most common traits evident in
today’s academic archivists, and how academic archivists remain current in such
a dynamic environment.
Chapter 2 analyzes the current trends in academic libraries and how
technological developments have redefined the role of the college or university
library in the lives of students, faculty, and researchers. Understanding academic
libraries is critical to understanding academic archives. Chapter 3 focuses on
special collections, a significant counterpart to academic archives, which often
serves as the home department for an archives program. It describes how these
often misunderstood departments fit into the academic library, the kinds of
collections found in these units, the training and preparation for special
collections librarians, recent initiatives in this subfield, and finally how academic
archivists fit into the special collections model. This first section emphasizes that
by knowing the landscape, trends, and expectations of academic libraries and
higher education, archivists have ample opportunities to make themselves and
their programs an indispensable part of the academic environment.
The second section is more prescriptive and explains how to build and update
an archives program in an academic library. Academic archivists must be
resourceful and generate support for their collecting efforts on campus, while
often seeking collections with little or no funding. These chapters examine the
internal operations of academic archives, processes that have significant
implications for the development of public and research services.
Chapter 4 examines practical approaches to maintaining a mission and
charting a vision for academic archives. Successful academic archivists must
exhibit broad leadership, manage and share resources, keep current in several
fields, identify stakeholders, and target users for their collections and services.
Records management programs are a crucial part of academic archives.
Chapter 5 examines how records management programs work within an
academic environment, how to launch or revamp a records program, the
importance of records management programs, and their relationship with an
academic library’s archival program.
Without a clear collecting policy, academic archivists run the risk of
overextending their programs and duplicating the efforts of others. Chapter 6
describes why and how academic archivists define their collection scope and
some of the internal and external sources they might target for collection
building. These sources can document a wide variety of campus functions, its
history, and other non-campus historical topics that support the mission of the
institution, the academic curriculum, and the archival program.
Processing, organizing, and managing collections is the focus of Chapter 7. It
describes the steps of accessioning, the common procedures for processing
collections, and how academic archivists manage their collections and spaces.
These “behind-the-scenes” activities also include preservation and conservation
concerns, providing security, disaster planning, and creating tools for discovery
such as archival finding aids.
Chapter 8 examines the public face of academic archives and the people who
use them. More than just delivering efficient reference service, academic
archivists must target their users, prioritize their services, develop and assess
instructional sessions, create a public awareness for the program, and work
closely with others in the library to ensure consistency.
Chapter 9 describes complicated technological issues faced by academic
archivists, including managing electronic records, digital projects, providing
online access to archival collections, and virtual collaboration with others. As
more information becomes available electronically, academic archivists have
adapted to technological shifts and obsolescence. The ability to harness the
power of new technologies for greater public services, program awareness, and
outreach efforts offers academic archivists great challenge and opportunity.
The final section consists of one chapter and is focused on the future. Chapter
10 reviews emerging trends in academic archives and describes the future of the
subfield. Changing technology, research needs, and the role of the academic
library in the campus community are significant factors in understanding the
trends of the next decades. Academic archives programs that exhibit an
understanding of collaboration, academic libraries, the emphasis on usage and
access, the need for resource sharing in difficult budget climates, digital
endeavors, and awareness building, are better able to function within their
institution and thus find appropriate channels to create opportunities. This final
chapter, more than any other, offers readers a window into the next generation of
college and university archives, records, and special collections.
The book is not about the past; it is about the future. Today’s academic
archives are much more than repositories for institutional history and official
records. In recent years, the mission of many academic archives has expanded to
include collecting other formats and research areas, reaching a much broader
audience of researchers, and taking a more active role in serving the information
needs of the campus community. Recent trends in academic libraries have had
many positive effects on the evolution of academic archives. In 2012, academic
archives represent a dynamic subfield poised to influence many changes on
campus, within academic libraries, and across the archival and related
professions. The next generation of academic archives programs will be built on
technological advances, a new array of campus and library resources, born-
digital collections, collaborative partnerships that share and best utilize
resources, and the skills of professional archivists with broad experience and
training.

INTRODUCTION
Academic archivists are one of the largest groups of professional archivists. For
the purposes of this book, academic archivists are defined as: professionally
trained archivists, curators, records managers, special collections librarians, and
digitization specialists who work within or are affiliated with an academic
library. Their ranks are not limited to university archivists who work mostly with
official records. Instead, academic archivists are part of a larger umbrella of
professionals, who work in special collections departments, records management
units, rare book libraries, audiovisual archives, and other repositories found
within the academic environment. They provide access to unique or sometimes
problematic materials for students, scholars, administrators, and the general
public. The numbers of these archivists are growing; they are the budding
leaders of academic libraries and the larger archival profession.
This chapter provides a description of the path to academic archives, who
today’s archivists are, and the challenges they face. It seeks answers to the
following questions:
The need to collect and preserve electronic records and rescue digital records
from obsolete formats has fostered collaboration between academic archives and
campus experts on computer systems, information technology, and systems
administration (Tibbo, 2008). Rather than avoiding technological developments
and the challenges of electronic records, academic archivists have taken an
active role in using technology to provide greater access to material. Further,
academic archivists were largely responsible for creating archival standards such
as Encoded Archival Context (EAC), Describing Archives: A Content Standard
(DACS), and Encoded Archival Description (EAD), which have greatly
improved access to archival collections, in both electronic and paper formats.
In recent decades, academic archives have played a more prominent role
within their libraries. The emphasis on research and the unique holdings of
academic libraries have placed a higher value on archives and special collections
departments. No longer are academic archives departments seldom visited
“outposts” in a campus library, where only scholars once dared to tread. Instead,
academic archives have developed instructional sessions and public programs
that are integral parts of the outreach activities of their academic library.
Acquiring, processing, and providing access to archival collections, which were
often behind-the-scenes activities, now involve other departments in the library,
such as technical services, development, reference and instruction services, and
digital library departments. As a result of this new interest, other library
departments are much more aware of what academic archives have to offer.
However, interest in academic archives from library leaders has not been
enough to overcome the challenge of fickle allocation of resources. Private
fundraising has been one approach to offset the costs of expanding services,
renovating public and collection storage spaces, building new collecting areas,
and creating new programs in academic archives. Merging and integrating
academic archives programs into larger units such as a special collections
department has become a common approach to balancing library resources and
operational demands. In many academic libraries, archival materials are
available through one public reading room or through one main webpage,
instead of through scattered physical and virtual spaces in the library. As a
result, academic archives have become an important segment of the research
library concept, which provides researchers access to official records, archival
materials, other primary sources, numerous formats, and secondary sources.
Finally, cost-cutting measures have brought records management programs
closer to academic archives, either as collaborators or as merged units.
Academic archives programs have responded to the call from archivists,
institutions of higher education, and the research community to document a
wider range of voices and perspectives. Many archives programs collect far
beyond the official records of their institution by actively seeking material from
unscheduled departments, student and campus organizations, papers from
faculty, collections from alumni, and items from dealers. Many programs collect
off-campus material, such as historical collections related to the nearby town or
community or prominent subjects that directly support their institution’s
academic mission. This expansion has diversified the topics, viewpoints, and
formats found in the collections of academic archives. By collecting a fuller
range of resources, academic archives document a wider swath of campus life,
provide researchers with a fuller picture of history, and support collection
uniqueness in academic research libraries (Burckel, 2008).
In the past few decades, academic archives have changed tremendously and
are no longer on the periphery of their campus and the archival profession.
Academic archives programs have the ability to influence their campus, their
library, their researchers, and their archival peers. These programs contribute to
the development of new technology, services and outreach in academic libraries,
national archival standards, integrated library and campus functions, and
documentary techniques to better understand the institution’s history.
The role and presence of academic archivists in the past few decades has been
just as noticeable as the changes in academic archives. The once small field of
academic archives has emerged as a significant area of archival study, even
though there are few sources and no known organized courses offered on the
subject. The duties of academic archivists have grown to encompass other
aspects of documenting their campus. In the process, academic archivists are no
longer the traditional college or university archivist. In fact these titles do not
adequately reflect their responsibilities, talents, and integrated nature of their
work.
A Snapshot of A*CENSUS
The best overview of today’s incoming archivists and the profession as a whole
comes from the 2004 A*CENSUS survey. Supported by a grant from the
Institute of Museum and Library Services (IMLS), this 2004 survey provides a
fascinating snapshot of a changing field. Of the 12,000 archivists solicited, just
over 5,600 responded, which puts the survey at a respectable 47.2 percent
response rate (Walch, 2006). Most important for this discussion is that the
majority of the survey’s respondents (36 percent) came from archivists working
in academic settings; the second largest group came from government archivists
(32 percent) (Walch, 2006). Those figures indicate that academic archivists may
in fact be the largest group of professional archivists, or at the very least those
figures support that academic archivists are the largest group within SAA. The
survey gives a solid overview of today’s academic archivists (their backgrounds,
their education, and their working experiences). But more important for this
discussion, the results of that far-reaching study frame the common questions of
how to prepare for academic archival work and which challenges affect their
work.
