EMPLOYMENT OUTSOURCING SERVICE QUOTATION

Service Fee (USD)/ per month Deposit

380 USD / per headcount per month 2 months of the total monthly billing of each
headcount

- The above service fee is not including 8% VAT

- The above Service Fee to be payable to HR1 are not including of wages, salary, other fixed cash allowances,
yearly health checkup package, extra health insurance for employee (if any) and other benefits for the
Employees as Client’s policy.

Employment Outsourcing Service Details

1. On-boarding Process (New Employee)


• Prepare employees’ job offers and labor contracts
• Remind Client in terms of expiry of employees’ probation, labor contract
• Register Personal Income Tax code for employees and for employees’ dependents
• Register Social Insurance – Health Insurance – Unemployment Insurance to Social Insurance
department
2. Monthly Process
• Calculate income payable to employees upon approval by Client
• Send the payslip and leave booking to employees
• Submit reports of salary/ titles adjustment, claiming reports of sickness, maternity, etc to Social
Insurance Department
• On quarterly basis, deal with the Social Insurance Department in case of any discrepancies in “Notification of Social
Insurance – Health Insurance – Unemployment Insurance contribution” issued by Social Insurance Department
• Periodically prepare regulated labor reports to Department of Labor, Invalids and Social Affairs
, employment introduction center; Personal Income Tax reports under company tax code
• Advise Client and employees’ inquiries on payroll and update changes in labor regulations
3. Off-boarding Process (Terminated Employee)
• Calculate income payable to terminated employees upon approval by Client
• Prepare termination decision
• De-register Social Insurance – Health Insurance – Unemployment Insurance to Social Insurance Department
• Close employees’ Social Insurance book
4. Personal Income Tax (PIT) and finalization of annual PIT for Employees
• Prepare and submit monthly PIT declaration including PIT calculation & payment to the Tax department.
• Prepare and submit tax finalization report to Tax department
• Prepare and issue tax receipt and income confirmation letter to employee
• Only when HR1 cannot declare on behalf of staff (in case staff has more than 1 income), HR1 will
instruct staffs to do.
5. Employee Service and Client Advisory
• Answer all employees’ and employer’s inquiries on payroll and to provide any necessary advice
• Update changes in labor regulations changes.
6. Assistance during transition period:
• Support the transition of labor contracts of staffs from former employer to Client
• Assist staff on resignation process at former employer

❖ Employment Service Payment Processing:


Workdays will be counted …….. days and counted for the whole month from the ……… to ………… according to the
calculating the standard working days & monthly working timesheet of Client.
Date Detail

• Client send the monthly timesheets of the employee to HR1

• HR1 shall prepare the payroll calculation and send it to Client for
25 th of the month
verification within 1 day

• Client shall confirm the payroll calculation via email to HR1


26 th of the month

• Based on the confirmation about total monthly employee cost

27 th of the month from Client, HR1 will send a tax invoice includes VAT to Client.

• Client will pay the Monthly Payroll Service Fee in VND. In case
this timeline is in Vietnam Holidays, Client will transfer 1 day in
28 th of the month
advance.

30th or 31st of the month • HR1 will pay salary and commission for the employee

In case this timeline is in Vietnam Holidays, HR1 will process 1 day in advance.

❖ OTHER SERVICE FEES UPON REQUEST

The Other fees will be charged if the services below are requested by Client, supplied by HR1 and

shall be paid as the same payment process of the monthly service fee.

- HR1 calculates commission/incentive/bonus following Additional service fee will be charged :


Client’s scheme 10% + 8% VAT

- Expenses claim with Receipt/ Invoice

Note :

- HR1Vietnam Holdings will refund the deposit amount within 10 days when Client payment full for the service fee and
both Parties finish the the service by service acceptance record
