GRADE MASTER

HOW TO DEFINE GRADE MASTER?


■ You can create following types of Grades in Academia:

■ Absolute
■ Relative
■ Grade Type can be defined from Common Standard Master -> Search

Grade Type -> Add


■ Whether Special Grade: You should check the box if your Grade
type is Special. For eg. Few colleges give Grade "I" named
Incomplete or "W" Withdrawn" if a Student is Attendance based
detained in a course or does not give the Exam respectively.

■ Now Navigate to Examinations -> Under Settings & Masters -> Click

on Grade Master

■ Click on the Add button

■ Enter following details to define Range & Grade for a Grade Type:

■ Grade Type: Select one of the Grade types created from

Common Standard Master


■ Grade Name: Enter the Grade Name to be displayed in result

■ Grade Point Range From: Enter starting Range of Marks

■ Grade Point Range To: Enter the last Range of Marks

■ Status: Whether Active or Inactive

■ Grade Point: Define the Grade Point to be allotted at this range

of Marks/at this Grade


■ Grade Description: Enter the description

■ Click on the Save button to save the Grade details

■ Repeat this method to define all the Grade Names & Ranges for a

Grade Type
■ Once you have defined all the Grades for a Grade Type, you can search

the confined list of Grades Under Grade Master -> Search the Grade
Type,Grade,Grade Status -> Click on Search button

■ You will obtain the list of Grades defined for a Grade Type.

■ You can edit the Grade details by selecting individual row from the grid

& clicking on ‘Edit’ button.


■ You can view the Grade details by selecting individual row from the grid

& clicking on ‘View’ button.


■ You can delete the Grade by selecting individual row from the grid &

clicking on ‘Delete’ button.


■ Special Grades should also be defined in the similar manner. You

would define Range of Marks for each Special Grade


■ Special Grades can be assigned to students from Examinations -
> Under Exam Execution -> Click on Manage Course Grade ->
Select the Special Grade radio button -> Assign Special Grade
to each student

TYPE OF ASSESSMENT SCHEME?

■ Creation of Assessment Scheme under Examination Setup lets you

create your own strategy to conduct Exam & can be done for multiple
Course Variants offered at multiple Academy Locations at once.
■ To create an Assessment Scheme, Navigate to Examinations ->

Assessment Scheme

■ You will be directed to Search Panel where various filters can be

applied to extract list of already created Assessment Schemes:

■ Assessment Scheme Type: Whether Scheme is:

■ Academics Type: Schemes created for Scholastic


Assessment of Students
■ Other: Schemes created for Co-Scholastic Assessment of
Students
■ Course: this filter aids in searching Assessment Scheme(s) for a

Course
■ Course Variant: this filter aids in searching Assessment Scheme

for a specific Course Variant of a Course

■ Assessment Scheme: Select an Scheme (Enter three characters

to auto search)
■ Academic Term: Select a academic term

■ Assessment Event Status: Filter the list of Assessment

Schemes based on Event Status


■ Assessment Scheme Status: Filter the list of Assessment

■ From Date: Filter the results based on creation date of the

Assessment Scheme, Enter from date


■ Till Date: Filter the results based on creation date of the

■ Rounding Mode: Select any of the below specified Rounding

Modes:
■ Round Ceiling: Rounding mode to round towards positive
infinity 8.1 ->9
■ Round Down: Rounding mode to round towards zero 8.9-
>8
■ Round Floor: Rounding mode to round towards negative
infinity 8.9->8
■ Round Half Down: Rounding mode to round towards
"nearest neighbor" unless both neighbors are equidistant, in
which case round down 8.5->8
■ Round Half Even: Rounding mode to round towards the
"nearest neighbor" unless both neighbors are equidistant, in
which case, round towards the even neighbor 8.537->8.54-
>8(nearest even number)
■ Round Half Up: Rounding mode to round towards "nearest
neighbor" unless both neighbors are equidistant, in which
case round up. 8.5->9
■ Round Unnecessary: Rounding mode to assert that the
requested operation has an exact result, hence no rounding
is necessary
■ Round Up: Rounding mode to round away from zero
■ Rounding Point: Enter the required No. of digits after decimal

■ Academic Term: Select the Academic Term

■ Dynamic Assessment Scheme: Select Yes, if this Assessment

scheme will hold different events based on Courses

■ Scheme for Transfer Credit: Select Yes, if this Assessment

Scheme is specifically created to transfer credits for courses that


were a part of previous periods
■ Calculate Average: Select Yes, if you would need to Calculate

Average based on the results of linked Course Variants


■ Result Publish: Select "Yes" if you want to publish the result. If

"Yes", system will give two options "Auto Publish" to publish the
result automatically and "Admin Approval" means need to
approve the result from "Examination Result Publish" screen.
■ Completion Status: It will be in Pending state

■ Click on the Save button once you enter all the relevant information &

Assessment Scheme will be listed in the gridview under Search Tab.


■ You can view the Scheme details by selecting individual row from the

grid & clicking on ‘View’ button.


■ You can delete the Scheme by selecting individual row from the grid &

clicking on ‘Delete’ button.


■ Now, you should be able to enter details of the Assessment Scheme.

Select Scheme from the gridview -> Click on Edit button

■ You should be able to view multiple tabs next to Basic Details

■ Once you update Basic Details, Click on the next Tab: Link Academy

Locations

■ You can select multiple Academy Locations to which you wish to create

common Assessment Scheme for

■ You can also Enter three characters to auto search the Academy

Location
■ Once you select necessary Academy Locations, Click on Save button

■ Move to the next Tab: Course Mapping

■ Click on the Add button

■ Enter three characters to Auto Search the Course & select from

dropdown

■ Click on the Save button & Course will be listed in the gridview under

Course Mapping Tab.


■ You can delete multiple Courses by checking the box from the list &

click on ‘Delete’ button.


■ Once Courses are Mapped to Scheme, Click on the next Tab: Variant

Mapping
■ You would observe following two tabs in this section:

■ Under Eligible Course Variants: You can select multiple Course

Variants of mapped Courses & Click on Save button to move them


under Mapped Course Variants

■ Under Mapped Course Variants: you can update the Exam Status of

each course as:

■ Complete: If you want to make Exam status of a Course Variant


as Complete for all the Events it belongs to, click on Mark as
Complete button
■ Pending: If you want to make Exam status of a Course Variant as
Pending for all the Events it belongs to, click on Mark as
Pending button
■ Once you have mapped Course Variants, Move to next tab:

Assessment Scheme Hierarchy


■ Here you will define the rules for each of the following Assessment

Nodes (needs to be added earlier):


■ Assessment Type: This is the topmost node of your Hierarchy.
You would add Assessment Type from Setup -> Common
Standard Master -> Search Assessment Type -> Add
■ Assessment Subtype: This node should be added under
Assessment Type. You would add Assessment Subtype from
Setup -> Common Standard Master -> Search Assessment Sub
Type -> Add
■ Assessment Method: This node should be added under
Assessment Subtype. You would add Assessment Method from
Examinations -> Assessment Methods -> Add

■ Assessment Event: This is the last node & should be added

under Assessment Method. You are not required to create it


earlier & can be directly created under each Assessment Method
■ Let's start defining Hierarchy from the first Node: Assessment Type

■ Select Root Node: Academics & click on Add button to add

Assessment Type

■ You would observe a new Section opened on the Right side of screen

■ Enter following details to add an Assessment Type:

■ Assessment Type: Select an Assessment Type from the

dropdown (It should be already created)


■ Weightage: Define Weightage of this Assessment Type for the

purpose of Result Generation


■ Grade/Marks: Select one of the options to state whether the

Results at this node will be obtained in Marks/Grade.


■ Display on Marksheet: Select Yes radio button if you want to

display the Assessment Type name in Marksheet else select No


■ Assessment Scheme to be Printed: If ‘Display on Marksheet’

is marked as Yes, then mention the name of Scheme to be


printed on Marksheet
■ Whether Remark: Select Yes radio button if you want to provide

Remarks to students on this Node else select No. If "Whether


Remarks" is set as "Yes" then "Remarks only Assessment" is
visible. "Remarks only Assessment" functionality is used to print
the remarks without assessment of course.

■ Result Publish Mode: Select the mode of publishing the result

between "Auto publish" and "Admin Approval"


■ Click on the Save button & the Assessment Type will be added under

Academics Node

■ You can perform multiple actions with this Assessment Type:

■ You can edit the Assessment Type details by selecting the Scheme

type & clicking on Edit button


■ You can View the Assessment Type details by selecting the Scheme

type & clicking on View button


■ You can Delete the Assessment Type by selecting the Scheme type &

clicking on Delete button

■ You can Copy the Assessment Type details by selecting the Scheme

type & clicking on Copy button


■ You can add the Branch Node under Assessment Type as

Assessment Subtype
■ Select the Root Node (of Assessment Type) -> Click on add button

■ You would observe a new Section opened on the Right side of screen

■ Enter following details to add an Assessment Subtype:

the dropdown (It should be already created)

■ You can Copy the Assessment Sub Type details by selecting the

Scheme Sub type & clicking on Copy button

■ You can View the Assessment Method details by selecting the Method

& clicking on View button


■ You can Delete the Assessment Method by selecting the Method &

clicking on Delete button

■ You can Copy the Assessment Method details by selecting the Method

■ You can add the Branch Node under Assessment Method as

Assessment Event
■ Select the Root Node (of Assessment Method) -> Click on add button

■ You would observe a new Section opened on the Right side of screen

■ Enter following details to add an Assessment Event:

■ Assessment Event: Enter the name of Assessment Event (Event

signifies the last level in the hierarchy where the Marks Entry will
be done)
■ Weightage: Define Weightage of this Assessment Event for the

purpose of Result Generation


■ Grade/Marks: Select one of the options to state whether the

Results at this node will be obtained in Marks/Grade

■ Whether Passing Critical: Select Yes if it is compulsory for a

student to Pass this event individually else select No. If selected


Yes, select one of the Repetition Types:
■ Course Level: This is for Future Use
■ Event Level: Student would repeat this Event
■ Part of Assessment Group: Whether is event is a Part of

Assessment Group or Not


■ Assignment Evaluation: If selected "Yes", will allow user to map

the assessment scheme with homework assignment


■ Auto Enrollment of Students: If Selected Yes, Students will be

enrolled automatically and seen in the Mapped Student list under


the Event, after executing this job: Auto Enroll Students
■ Anonymous Assessment: Radio button to Select whether Yes if

Students identity(Student Name,Student ID,Admission ID) needs


to be hidden from the Faculty who is teaching the Course while
performing mark entry or No if not.
■ Attendance Based Detention: If Selected Yes, students unable

to fulfill the set Attendance criteria will be detained to appear in


this Event.
■ Assessment Based Detention: If Selected Yes, students

unable to Pass events from the Sub Types or Methods within the
Assessment Scheme, where Contribute to Detention is
Enabled, will be detained to appear in this Event
■ Result Publish Mode: Select the mode of publishing the result

between "Auto publish" and "Admin Approval"


■ Status: Initially it will be populated as Pending & can be changed

later

■ Assessment Event Equivalent : This is for Future Use

■ Is Revaluation Possible: Radio button to select whether Yes or

No , if Revaluation is possible for the selected Event


■ Rule for Equivalent Calculation : If a Student repeats this event ,

which marks needs to be taken into consideration "Best" to be


selected when Best out of two Event needs to be selected and
"Latest" if Latest of the two Events needs to be selected
■ Assessment Event Description: This is for Future Use

■ Planned On: This is for Future Use

■ Mode of Administration : Values to be selected from the drop

down of how the Event will be administered ,


■ Online : This is for Future Use

■ In Person Same Time : All the Students have to give the

Event(Exam) in Person and at Same Time


■ Online Staggered : This is for Future Use

■ Online- Anytime : This is for Future Use

■ In Person Batches : This is for Future Use

■ In Person Anytime : This is for Future Use

■ From Home Within a Time Range : This is for Future Use

■ Test Administrator Mode : Values to be selected from the drop

down of how the eligible Students be giving the Event(Exam)

■ Single Occurrence : The selected Event will occur only a single

time for eligible Students


■ Single center Single Room : This is for Future Use

■ Batches and Single Center : This is for Future Use

■ Others : This is for Future Use

■ Show Penalty Marks & Show Grace Marks: This will show the

penalty marks/ grace marks column on the mark entry screen (if
checked)
■ Click on the Save button & the Assessment Event will be added under

Assessment Method Node

■ You can perform multiple actions with this Assessment Event:

■ You can edit the Assessment Event details by selecting the Event &

clicking on Edit button


■ You can View the Assessment Event details by selecting the Event &

clicking on View button

■ You can Delete the Assessment Event by selecting the Event &

clicking on Delete button


■ If you expand the Event from Hierarchy, you would observe following

links:

■ Eligible Students: It will display list of Students eligible to

participate in Examination

■ If you have disabled Students’ Auto Enrollment, select

multiple Students from the list of Eligible Students


■ Click on Map Students button

■ Students will be moved to Mapped Students link

■ Mapped Students: It will display list of Students who will appear

in this Event

■ You can select multiple students -> Click on Unmap
Students
■ Students will be removed from this link & added to Eligible
Students
■ Detained Students: It will display list of Students who are

Detained (through Attendance or Assessment) to appear in the


Examination of this Event
■ You can select multiple students -> Click on Allow
Students
■ Students will be removed from this link & added to Mapped
Students

■ Once you created Assessment Scheme Hierarchy, switch to the next

Tab: Apply Rule


■ In this section you will link the Arithmetic Rule at each level of Hierarchy

■ Click on Add button

■ Enter following details to Add the Rule at each level (Rule signifies how

the marks be floated from Event level to the Assessment Scheme level)

■ Rule Name: Enter the Rule Name

■ Rule Applied For: Select an Assessment Method(This is the first

level where Rule will be applied on)


■ Rule Applied On: All the events associated to selected Method

above will be populated here


■ Business Rule: Select one of the rules to be applied on Events:

■ Sum : This will sum the marks obtained at the applied level
■ Average : This will average the marks obtained at the
applied level
■ Best Of : This will take the Best of the marks obtained at
the applied level
■ Description: Enter description regarding the Rule

■ Repeat these steps for each Method, Subtype, Type & Assessment

Scheme
■ You can Delete the Rule by selecting the grid & clicking on Delete

button

■ Once the Assessment Scheme is configured, Navigate to Examination

-> Manage Assessment Status section to open the Events for Mark
Entry for each Course

EXAMINATION CENTER

HOW TO DEFINE EXAMINATION CENTER IN ACADEMIA?

● Navigate to Examination Module > Settings & Masters > Examination center

● Click on Add button to define an Examination center


● Define details as below:

○ Center Type > Internal
○ Resource Type > Building
○ Resource Code > Select Building
○ Is Center Active > Yes
○ Center Usage > Course Execution
○ Center Supervisor > User with Center Supervisor role will appear here
○ Center Capacity > Auto populated as defined in Facility Master
● Click on Save Button to save details

ASSESSMENT GROUP

HOW TO CREATE ASSESSMENT GROUPS IN ACADEMIA?

● Navigate to Examination Module > Settings and Masters > Assessment Group

● Click on Add Button to create a new Assessment Group


● Provide the details as below:

○ Program Batch Seat type: Select Program-Batch-Seat types for which
Assessment Group is being created
○ Assessment Group: Define Name for Assessment group
○ From Date-Till Date: Define dates for examination, It must be a future date
range
○ Hall ticket required: Yes
○ Hall ticket Distribution mode: Online
○ Schedule: Define No. of Slots, Start time, No. of Batches, Gapes between
examination
○ Center Details: Select Internal and Centers

○ Select Fee plan and provide Fee Plan Billing Date if Examination fee is
applicable for the particular exam
○ Student Mapping: There are 3 options under student mapping as below:
■ Cover all eligible person: All students who are mapped in an Assessment
event will be part of Assessment group

■ Cover All Persons Who Pay Fees: All Students who have paid the
Examination fee as per selected fee plan
■ Application Required: All students who apply from Student portal, we can
define application start date and end dates in this case.
○ Approver Name: Users with Result approver role will be listed here.
○ Click on Save button to save the Assessment Group
● Go to Program details tab to add more Program Batch to the same Assessment group
● Go to Document tab to add documents related to the Assessment group
● Go to Assessment events covered tab to schedule examination for events
○ Click on Add Button

○ Assessment Scheme Type: Academics


○ Assessment Scheme: Select Assessment Scheme
○ Course, Course Variant: Select Course and Course variants covered in
Selected assessment scheme
○ Assessment Event: All events with setting Part of Assessment Group > Yes,
Test Administrator mode> In person same time and Single occurrence will be
listed here.
○ Seat type: Select seat type
○ Centers: Select examination center out of as selected on Manage Assessment
group screen
○ Time slot: Select time slot according to supplied details on Manage Assessment
Group Screen
○ Dates: Select date of exam from provided date range on Manage Assessment
Group screen.
○ Click on the save button and the Selected event will be scheduled.

EXAMINATION HALL TICKET OR ROLL NO.

HOW TO GENERATE EXAM ROLL NO. IN


ACADEMIA?
● Navigate to Examination Module > Dashboard & Reports > Pre-Examination Report >
Generate Hall Ticket Screen

● Select the Assessment Group for which you wish to generate the Hall tickets.
● Select any other filters if required from the multiple filters available on the screen.
● Click on GENERATE HALL TICKET button.
● Alternatively, you can search, select the students and click on REGENERATE HALL
TICKET button.
● Select the students and click on PUBLISH HALL TICKET button to publish the
generated hall tickets on student portal.
● Click on Download All Hall Tickets button to download the Hall tickets of all the
students in a zipped file.

Points to remember :-
1. Assessment group must be created & students must be mapped in group.
2. Data settings must have been done for Hall ticket No. From setup module.
3. Hall ticket format must be mapped from Report template mapping in setup module.

STAFF ALLOCATION

HOW TO PERFORM STAFF ALLOCATION IN ACADEMIA?

● Navigate to Examination Module > Settings and Masters > Staff Allocation

● Click on Add Button to create a new Staff Allocation

● User: All users with role Invigilator will appear here.
● Role: Select Invigilator
● Assessment Group: Select Assessment group having the course to assign Invigilator
● Assessment Type: Academics
● Course Code/Name and Course variant: Select the course and Course Variant within
selected assessment group
● Period, Section and center details
● Assessment Event: Select Assessment event for which staff is being allocated and
click on search button
● Schedule for Selected events will be listed below, select the schedule and click on Save

IN ACADEMIA?
■ Navigate to Examinations -> Manage Marks Entry -> Click on the

second tab ‘Import Marks’

the required template.

■ Enter following details to filter the list of Students for whom Marks

should be updated:
■ Assessment Type: Whether Academics or Other
■ Assessment Scheme: Select an Assessment scheme from the
drop down
■ Course: If you wish to upload Marks for specific Course, Select a
Course from the drop down
■ Course Variant: You can select multiple Course Variants from
the drop down
■ Anonymous Event: Whether Yes or No
■ Assessment Event: You can select multiple Events for Mark
Entry from the drop down
■ Sorting sequence: You can sort list of students in the Excel on
following basis: (Sorting could be applied till three level out of the
combinations of any of the below mentioned labels)
■ Admission ID: Record in Excel will be populated based on
Admission ID sequence
■ Student ID: Record in Excel will be populated based on
Student ID sequence

■ You need to save the file in .csv format. (Save as Type – CSV (Comma

delimited) (*.csv)) – You will be prompted to click OK twice when saving


the .csv file.
■ Again Navigate to Examinations -> Manage Marks Entry -> Click on the

second tab ‘Import Marks’


■ Ensure that the Upload Template option is selected in order to upload

the saved excel template.

■ Click on Browse File and select the file with the completed data that you

saved previously.
■ Click on Upload CSV File.

■ The following message will appear once the import has been sent for

processing:

■ Top Most row in the grid would probably hold the file that you just

uploaded. Select the row -> Click on ‘Force Run’ to upload this data on
priority.
■ Click on the Refresh button to update Status if it is Pending.

■ If the import is not finished, the status will be Pending. Once the import

has completed, the status will either state Completed, if all the records
were imported successfully or it will state Partially Processed if some
of the records did not import successfully.
■ To identify the records that did not import successfully, click on the

Download button in the Bad Records column. This will open an Excel
file that will show each record that was not imported.
■ For further information on the reason why these records were not

imported, you can click on Download in the Log File column which will
open text file explaining why there were errors in the upload.
■ To amend the unsuccessful records and re-upload:

■ Open the original import file,


■ Remove the records that were imported successfully (so that we
do not re import them)
■ Amend the records that did not import successfully, ensuring that
all the mandatory data is captured and incorrect data is corrected.
