[Enrolment Policy]

PURPOSE
The purpose of this policy is to provide clear principles and requirements for prospective students seeking to enrol at Sirius
College. It aims to ensure students are enrolled at the school in a manner that is fair, transparent and non-discriminatory.

SCOPE
The scope of this policy is to:
● articulate the basis upon which College enrolment eligibility will be determined.
● serve as a guide to the management team and relevant administrative staff across all campuses of Sirius College.
● provide accurate information about the enrolment process including information about the School, the suite of
services offered and the School’s expectations of parental and student behaviour so that parents are able to make
informed decisions when entering into an enrolment agreement with the School.
● collect accurate information and documents of School enrolments comply with its Commonwealth and State legal
and regulatory requirements.

DEFINITIONS
Open period: It is a period between 1st of November and 31st of May.
Closed period: It is a period between 1st of June and 31st of October.
Observation day: It is a further assessment to be conducted for Foundation applicants to observe their interaction with their
peers in a group setting.
Orientation: It is a transition program for all new students or transferring students from other campuses to assist students in
adapting to a new school environment.
Waiting List: It is a list of applicants whose applications are processed but not offered a place due to the unavailability of a
vacancy.
Valid Application: It is an application when the application fee is paid and all required documents for application are provided.

ROLES & RESPONSIBILITIES

Enrolment Coordinator
● Provide parents with information about enrolment.
● Organise and Manage Campus tours.
● Assign a username and password to each applicant for the entrance exam.
● Schedule Entrance exams/Interviews.
● Supervise the entrance exams when applicants are unable to attend the exams on site (such as applicants are from
overseas or interstate).
● Organise preparations and supervision for the Entrance Exam days (pencil, rubber, exam papers/tablets etc.)
● Manage Campus Capacity via utilising applicants on the Waiting List
● Verify the information and documentation provided by the applicant.
● Maintain the waiting lists for entry to the School consulting with the Campus Principal.

Registrar
● Verify the information and documentation provided by the applicant.
● Transfer all new student records and files via the import feature to the Student Management System.

Student Assessor
● Gives guidelines and supervises the students to complete the relevant entrance exam.
● Make sure that the students abide by the entrance exam rules.
● Mark any writing pieces or entrance exam booklets as necessary.

● Pass on any relevant paperwork to the Enrolment Coordinator.

IT Technician
● Create accounts for new students and new parents in the relevant school systems.

Director of Operations
● Oversee enrolment procedure and manage the improvements in the areas needed.
● Manage capacities of all campuses and create reports for the Executive Team.
● Ensure enrolment procedures are handled in a fair and transparent manner and collected all required documentation
by Commonwealth and State governments.
● Respond to issues and parents’ complaints with the help of Enrolment Coordinators.
● Organise cooperation with relevant Departments and staff members to address issues/matters in the enrolment
process.

Year Level Coordinator


● Students will be allocated to classes according to a combination of class size and student need.
● Conduct interviews to assess the applicant.

Campus Principal
● Schedule Entrance exams and delegate staff to administer and assess exams.
● Identify vacancies per year levels.
● Accept/deny applicants based on their performance throughout the process and documentation provided.

NEW ENQUIRIES

The Enrolment Coordinator will send prospective parents enquiring about the School’s enrolment procedure:
● A Prospectus
● A Fee Schedule, detailing the school fees and payment options
● An Enrolment Information pack containing:
○ Information about the Enrolment Procedure
○ How to submit an application for Enrolment
○ A copy of the Terms and Conditions of Enrolment

SELECTION CRITERIA

The school makes decisions to offer a place to applicants based on, but not limited to, the following items:

● The result of enrolment assessment(s).


● The educational history of the student,
● Assessment of personal characteristics and approach to academic work,
● The student’s and the family’s willingness to support the School’s Enrolment Agreement,
● Whether s/he has siblings already enrolled in the school,
● Children of alumniare given priority.
● Children of permanent staff members are given priority.
● Financial stability to make regular payments of tuition and relevant school fees.
● A residency status of the applicant must be eligible for the study.

Sibling applicants
Although the school will give the priority for applicants who have sibling(s) already enrolled in Sirius College, the decision will
be dependent upon
● the vacancy of year levels that the application is made for,
● the vacancy of campus that the application is made for,
● the applicant’s ranking among other applicants.

Application with multiple applicants


Although the school will give priority for applications with multiple applicants, the decision will be dependent upon
● the vacancy of year levels that each application is made for,
● the vacancy of campus that each application is made for,
● the applicant’s ranking among other applicants.

Applicant who is the child of alumni


Although the school will give the priority for applications whose parents were alumni of Sirius College, the decision will be
dependent upon
● the vacancy of year levels that each application is made for,
● the vacancy of campus that each application is made for,
● the applicant’s ranking among other applicants.

The school offers incentives for alumnito enrol their children which the details can be found in its School fee policy.

Applicant who is the child of a permanent staff member


Although the school will give the priority for applications whose parents are permanent staff member of Sirius College, the
decision will be dependent upon
● the vacancy of year levels that each application is made for,
● the vacancy of campus that each application is made for,

The school offers incentives for a permanent staff member to enrol their children which the details can be found in School fee
policy.

ELIGIBILITY FOR APPLICATION

Age
A child who is aged 5 years old at 30 April of the year of enrolment may submit an application. (For example, A child whose
date of birth is 30th of April, 2016 is eligible for 2021 academic year. A child whose date of birth is 1st of May, 2016 or later is
NOT eligible for 2021 academic year but eligible for 2022 academic year.)

Sirius College does not accept applications for students who are more than 20 years of age.

Residency
All applicants must be an Australian citizen, or hold a visa which allows them to stay and study lawfully.

Temporary residents must consult with the Enrolment Coordinator to learn more about conditions of enrolment and
restrictions before they submit an application.

The school may not have a relevant license to allow the applicants studying at Sirius College depending on their type of visa.
Applicants who are temporary residents may be charged higher tuition fees even though they are eligible to study at Sirius
College.

Application Fee
The application fee is $75 per applicant and non-refundable. It is charged to process the application regardless of whether the
applicant is offered a place. Payment of the application fee does not guarantee a place at Sirius College.

Required Documentation For Application


The school is required to collect the following documentation to process the application. When an applicant is offered a place,
there will be more documentation required as listed in this section.
● Personal Identification: Birth certificate or Australian passport for Australian citizens / Current valid passport for
temporary residents.
● Academic report: The most recent academic report received from the previous school. If the applicant comes from
overseas and the report is not in English, the applicant must provide a translated copy of the academic report.
● NAPLAN score: If applicants have made an application for Year 4 onwards, they must provide the most recent
NAPLAN score.
● Residency Status: If the applicant is not an Australian citizen, the applicant must provide their “Visa Grant Notice” or
VEVO check. Immicard or any other documentation will not be accepted as proof of residency status.
● Kindergarten Feedback Form (Foundation year level only): This form must be completed by the Kindergarten staff
and will be submitted to the applicant via an email by the system.

EDUCATION PROGRAMS
Sirius College has a flexible and balanced curriculum aligned with the Australian Curriculum and College’s mission and vision.
It is designed to:
● develop successful learners,
● empower students to become critical thinkers,
● nurture resilient individuals with the wide range of skills, interests and attributes,
● develop academic, artistic, musical and sport skills of students,
● equip students with digital technology skills to prepare them for the 21st century workforce,
● instill moral values and a belief in tolerance, diversity and harmony.

At Sirius College we understand that every student has different interests and learning needs. With a flexible curriculum
structure and the appropriate use of differentiation each student’s particular needs are met by individualised pathways.

Foundation
It is compulsory for all students in the Year Foundation to study English, Mathematics, Integrated Studies (including History,
Geography, Science and Technology), Health and Physical Education, The Arts (including Music and Visual & Media Arts). In
addition to core subjects, students study Religion & Values, Perceptual Motor Program and Developmental Play.

Years 1-6
It is compulsory for all students in Years 1-6 to study English, Mathematics, Integrated Studies (including History, Geography,
Science and Technology, Health and Physical Education, The Arts (including Music, Dance & Drama and Visual & Media Arts,
Languages (including Arabic, French and Turkish)). In addition to core subjects students study Religion & Values and STEM.
Language options may vary depending on the available resources and conditions, enrolment should not be assumed as
certain. Arabic Language enrolment is subject to a proficiency test. Language class change is not allowed during primary
school years.

Years 7-8
It is compulsory for all students in Years 7-8 to study English, Mathematics, Science, Humanities, Health and Physical
Education, Visual Arts, Languages (including Arabic, French and Turkish). In addition to core subjects students study two
electives for one year. Students who choose not to study Religion & Values can choose an additional elective instead. Possible
electives include: Civics and Economics, CREST, Debating and Public Speaking, Drama, Farming and Gardening, Food
Technology, Humanities Inquiries, Innovation, Multimedia, Music, Quran Reading, Research Science, Robotics, Social Values in
Film, Sport Education, Textiles, Wide Reading. Language and elective options may vary depending on the available resources
and conditions, enrolment should not be assumed as certain. Arabic Language enrolment is subject to a proficiency test.
Students are able to choose different electives each year, however changes in language electives are not allowed.

Year 9
It is compulsory for all students in Year 9 to study English, Mathematics (Advanced Mathematics for eligible students),
Science, Humanities, Health and Physical Education and Languages. In addition to core subjects, students study three
electives for one year. Students who choose not to study Religion & Values can choose an additional elective instead. Possible
electives include: Civics and Economics, CREST, Debating and Public Speaking, Drama, Duke of Edinburgh, Film and Media,

Language enrolment is subject to a proficiency test. Students are able to choose different electives each year, however

Year 10
It is compulsory for all students in Year 10 to study English, Mathematics (Advanced Mathematics for eligible students),
Science, Humanities, Health and Physical Education. In addition to core subjects, students study two electives for one year.

College’s ‘Early Entry to VCE’ program every Year 10 student completes an additional Unit 1-2 VCE subject in Year 10. Possible
VCE subjects include: Applied Computing, Biology, Business Management, Health and Human Development, Psychology and
Turkish. Elective and VCE options may vary depending on the available resources and conditions, Enrolment into electives
should not be assumed as certain.

Year 11
Students must study a minimum of 12 units in Year 11. This consists of 5 studies of Unit 1-2 and one study of Unit 3-4 as a
continuation of the ‘Early Entry to VCE’ program. Subject to school’s consent, higher achieving students according to their Year
10 Mathematics results are given the opportunity to study Unit 3-4 Further Mathematics in Year 11 instead of a Unit 1-2 study.
Possible VCE subjects include: English, Further Mathematics, General Mathematics, Mathematical Methods, Biology,
Chemistry, Physics, Psychology, Accounting, Business Management, Economics, History, Legal Studies, Health and Human
Development, Physical Education, Studio Arts, Visual Communication Design, Data Analytics and Turkish. VCE options may
vary depending on the available resources and conditions of entry. Enrolment into electives should not be assumed as certain.

Year 12
Students must study between 8 to 10 units in Year 12. This consists of 4 or 5 studies of Unit 3-4. Possible VCE subjects include:
English, Further Mathematics, Mathematical Methods, Specialist Mathematics, Biology, Chemistry, Physics, Psychology,
Accounting, Business Management, Economics, History, Legal Studies, Health and Human Development, Physical Education,
Studio Arts, Visual Communication Design. VCE options may vary depending on the available resources and conditions,
enrolment should not be assumed as certain.

ENROLMENT PROCEDURE

Application
All applications are made online with the payment of $75 non-refundable application fee. An email acknowledging receipt of
your application will then be submitted.

All applications submitted within the open period will be received, charged, and processed if the vacancy is available. If no
vacancy is available, the applications will be placed on-hold and no application fee will be charged. When a vacancy is
available, the school will review the application. When the application fee is paid, it will be processed as the normal procedure
is required.

All applications submitted within the closed period will be received regardless of vacancy at the relevant campus. The
applications will be placed on-hold and no application fee will be charged. When a vacancy is available, the school will review

Assessment
An applicant must sit an examination for enrolment on a scheduled day by the school. The majority of intakes are processed
just after the exam organised in June every year.

The applicants for Foundation will be interviewed one-on-one to conduct the School Readiness Test. All applicants will be
invited for Observation day.

The applicants for Year 1 and 2 will sit a computer-based Maths and Reading test. The applicants will also be given a writing
task. The school may run further language and cognitive assessments if required.

The applicants from Year 3 to Year 12 will take a computer-based Maths and Reading test. There won’t be any writing task.

The evaluation details of the assessment will not be released to the applicant and the parents.

In considering all prospective enrolments, the School may ask parents to authorise the Enrolment Coordinator to contact:

● the Principal or his/her delegate of the applicant’s previous school to obtain or confirm information pertaining to the
applicant or the applicant’s enrolment;
● any medical or other personnel considered significant for providing information pertaining to the needs of the
applicant.

Where information obtained by the School suggests:

● a profile of wilful misconduct, illegal activities or strong anti-social behaviours indicating that the applicant’s
enrolment at the School is likely to be detrimental to other students, the staff or the School; or
● the parents may not be able to meet the financial commitment required by having an applicant at the School,
notwithstanding that the applicant be the sibling of a current student, the School may decline to proceed any further
with the enrolment process.

Interview

The school may decide not to offer a place for an applicant without inviting the applicant to the interview. An email will be sent
to the applicant that he/she is not offered a place to study at Sirius College for the year the application is made.

Other applicants will be invited to attend an interview with one of their parents on the scheduled date by the school. An email
and SMS message will be sent to the applicant with the details of the interview.

At the interview, among other things, the School’s representative will:


● brief parents about
○ compulsory curricular learning including Languages, Religion and Values, Arts (Music, Performing Arts, etc.),
Excursions, Incursions & Camp,
○ extra-curricular clubs where applicable,
○ after school care services may be required when parents are unable to pick up their child on time.
● seek to establish that the expectations and commitments of the parents are consistent with the vision, values, goals,
policies, resources, and programs of the School.
● discuss any special needs with the families at the interview for the purpose of determining whether it is necessary to
make an adjustment for the applicant. Families may be required to provide additional information before the process
can continue,

Offer of a Place
Based on the information collected during the application process, the school may offer a place (conditionally or
unconditionally) based on the selection criteria and the vacancy available for the relevant campus and year levels. The
content of the assessment is confidential and will not be released. The offer is valid for 2 weeks from the date of the offer
made.

If the applicant fails to finalise the enrolment by the due date provided, the application will then be placed on the waiting list
and the school will make an offer to other candidates.

The applicants will be informed via an email and SMS message about the offer and relevant information to complete the
enrolment.

Observation Day
The school will organise a study day for all applicants who applied for foundation year level before the school offers a place in
order to observe applicants to finalise the assessment of the application.

Waiting List
An applicant may be put on a waiting list when the application is processed and the school is unable to offer a place due to no
vacancy of the year level that the application is made for. The school will inform the applicant when a vacancy is available until
the following April (3oth of April). The school may offer a place if the applicant wishes to continue with the application. After
the applicant is placed on a waiting list, the applicant will not be assessed the second time.

The school will complete the process without offering a place if no vacancy is available until the following April (3oth of April).
If the applicant wants to make an additional application for the following year, a new application must be submitted.

Placement of an applicant on a waiting list does not create any legal obligation upon the College to make a place available or
in a particular order. No warranties are made in relation to any particular order in which names are placed on the list. When a
vacancy becomes available at the College, the next family on the waiting list will be offered a place.

History of Behaviour/Background Check


The school will request a background check of the applicant from the previous school (if applicable) when the parent of the
applicant gives the consent to the school. The school will verify with the previous school by receiving information about the
applicant such as
● disciplinary correction actions taken against the applicant by the school,
● applicant’s history of disciplinary matters,
● types of special assistance support given to the applicant (if applicable).

The applicant must disclose disciplinary correction actions taken against the applicant by the previous school,

Acceptance of Offer
The applicant must finalise the enrolment before the due date by accepting the offer and by providing the relevant
information and documents. The applicant must also make the payment required for the enrolment.

The College reserves the right to cancel the proposed enrolment of a student if the applicant or the parents of the applicant
provide misleading or false information.

Parent Induction
The school requires at least one of the parents to attend Parent Induction which could be face-to-face or via online platforms
(e.g. Zoom, Google Meet) before the student starts the school. The school organises and informs parents about the induction
based on the start dates of students.

The enrolment will not be completed until all documents and fees requested by the school have been received and one of
the parents attends the Parent induction.

Orientation
All new students will be required to attend an orientation program which aims to promote enthusiasm and positive
participation for education at all campuses.

Orientation will include;

● Walk-through the campus to familiarise the essentials of the campus,


● An information session about rules and policies regarding uniforms, assessments, bell times, after school dismissal,
discipline, awards, online platforms, Learning Management System, etc.
● Brief information about school services such as Student Support, Pastoral Care and Wellbeing, Career Services, etc.
● Ice-breaking activities and games,
● Introduction of school leaders and student leaders

Foundation
All applicants enrolled will be invited to attend two days of orientation program in Term 4 of the year before they commence
school for a few hours. They will also start school a day before all other year levels at the start of the new academic year.

Year 1 - Year 6
All applicants enrolled will be invited to attend school for a few hours before all other year levels at the start of the new
academic year.

Year 7
All applicants enrolled will be invited to attend one day of orientation program in Term 4 of the current year before they
commence school for a few hours. They will also attend a full day of orientation program at the start of the new academic
year.

Year 8 - Year 12
All applicants enrolled will attend a full or half day of orientation program at the start of the new academic year.

APPLICANT WITH DISABILITY


Where an applicant has declared education support needs or a disability has come to light indicating a possible need for
education support services, the School will make an initial assessment of the applicant’s needs. This will include consultation
with the applicant or the applicant’s parents. In addition, the school may:
● require the parents to provide medical, psychological or other reports from specialists outside the School.
● obtain an independent assessment of the applicant.

Where information obtained by the School indicates that the applicant has a disability, the School’s representative will seek to
identify the exact nature of the applicant’s needs and the strategies required to address them. Having obtained this
information, the School will determine whether the applicant, if enrolled, would require some measures or actions to assist the
applicant to participate in the School’s courses or programs or to use the School’s facilities or services that are not required by
students who do not have the applicant’s disability.

Where the School determines that the applicant would require some measures or actions to address the disadvantage, the
School will seek to identify whether those measures or actions required are reasonable considering the competing interests of
other students. In assessing whether a particular measure or action for an applicant is reasonable, the School will have regard
to all the relevant circumstances and interests, including:
● the applicant’s disability;
● the views of the applicant or the applicant’s parents about:
○ whether the particular measure or action is reasonable;
○ the extent to which the particular measure or action would ensure that the applicant was able to participate
in the School’s courses or programs or to use the School’s facilities or services on the same basis as a
student without the disability;
● the effect of the adjustment on the applicant, including the effect on the applicant’s:
○ ability to achieve learning outcomes;
○ ability to participate in courses or programs;
○ independence;
○ the effect of the particular measure or action on anyone else affected, including the School, its staff and
other students; and
○ the costs and benefits of taking the particular measure or action.

The School will take measures and actions that are reasonable but will not necessarily take measures or actions that are
unreasonable or that would impose unjustifiable hardship on the School. In determining whether to take the required
measures or actions, even though they are reasonable, the School will take into account all relevant circumstances of the
case, including:
● the nature of the benefit or detriment likely to accrue or be suffered by any persons concerned (including other
students, staff, the School, the applicant, the family of the applicant, and the School community); and
● the effect of the disability of the applicant; and
● the School’s financial circumstances and the estimated amount of expenditure required to be made by the School;
and
● the availability of financial and other assistance to the School.

Where the Principal determines that the enrolment of the applicant would require the School to take unreasonable measures
or actions to ensure that the applicant is able to participate in the School’s courses or programs, or to use the School’s facilities
and services, on the same basis as a student without a disability, or would cause unjustifiable hardship, the School may
decline the offer of a position or defer the offer.

SCHOLARSHIP
New applicants for enrolment are eligible only for Academic and Refugee scholarships. Refer to the Scholarships and Awards
Policy for details.

Existing students who will be transiting from primary to secondary may apply for Academic scholarships as the school doesn’t
offer academic scholarships in primary.

IMMUNISATION
All applicants must provide a copy of the immunisation certificate if they are offered a place at Sirius College regardless
whether the applicant had immunisation. Refer to the Communicable Disease Policy for details.

TRANSFER OF ENROLMENT BETWEEN CAMPUSES


The students at Sirius College may transfer their enrolment to other campuses if there is a vacancy in the corresponding year
levels. The students who have been studying at one of Sirius College campuses one full academic year are eligible to make
the transfer request.

TRANSITION FROM PRIMARY TO SECONDARY


The enrolment of the students at Dallas Campus will be automatically transferred to Meadow Fair (for boys) and Eastmeadows
(for girls) campuses.

The enrolment of the students at Keysborough and Ibrahim Dellal Sunshine Campuses will remain in the same campus and
continue studying in secondary school.

Because there is no secondary school in Shepparton Campus, the students may request transfer to other campuses. These
applications will be processed as defined in this section.

DOCUMENTS REQUIRED FOR ENROLMENT


The school is required to collect and maintain documentation as per its Commonwealth and State legal and regulatory
requirements. The following documents are required for the completion of enrolment.
● Photo: Passport size photo of the applicant.
● Transition Learning and Development Statement (TLDS): If the applicant has made an application for Foundation
and is attending kindergarten, the applicant must receive a TLDS document from kindergarten.
● Family Identification: Australian Driver Licences of the parents or Australian passports of the parents for Australian
citizens. Current valid passports of parents for temporary residents.
● Family Setting: Depending on the family setting (separated, divorced etc.), the family must provide custody orders or
court decisions to the school, if applicable. If parents do not live together and there are no custody orders, both
parents’ details must be provided.
● Immunisation Certificate: The family must provide a copy of the applicant’s immunisation certificate regardless of the
family’s approach towards immunisation. The immunisation certificate can be downloaded via the mygov website,
alternatively the applicant’s local general practitioner will be able to provide a copy.
● Medical Action Plan(s): If the applicant has a medical condition, the applicant must provide detailed information
about the medical condition, medication required and action plan from the applicant’s local general practitioner.
● Signed copy of Terms and Conditions: if the applicant is offered a place, a copy of Terms and Conditions signed by
both parents must be provided.

ENROLMENT AGREEMENT
Please refer to the Enrolment Agreement document for details.
It is mandatory for both parents or guardians to sign. If parents are separated/divorced and one of the parents takes all
responsibility for the applicant’s enrolment, then this parent only can sign the Terms and Conditions of Enrolment.

Refund
Application fee is non-refundable. The school may refund the application fee only if the applicant made an application based
on the incorrect information about the vacancy provided by the Enrolment Coordinator. Namely, the school does not invite the
applicant to the entrance exam due to no vacancy in the campus.

If the applicant is offered a place and the applicant changes his/her mind, the school will follow the instructions in the School
Fee Policy.

TERMINATION OF ENROLMENT
Refer to the Enrolment Agreement for details.

APPEALS
Where a parent wishes to appeal against the decision of the final placement outcome, the appeal should be made by
contacting the Enrolment Coordinator with appropriate documentation. The Enrolment Coordinator will review the matter and
take appropriate action to address the case.

The Sirius College management team will review the Enrolment Policy and Procedures, and related documents in collaboration
with staff representatives as part of the school’s three-year cyclic review process.
