I dedicate this project to Meru School institution whose administration has supplied
resources to create this piece of work.I would also like to dedicate this project to my
mother, father and friends who have supported me all through my education my whole life.

I give my upmost appreciation to the school administration for their help and support
towards the completion of this project. I also thank the computer studies teacher for his
guidance, giving me ideas, inspiring me and helping me out whenever I was stuck .I also
thank the school principal for ensuring the availability of all the requirements needed to
complete this project.

Lot of thanks also to my peers for the help and support they have given me and also
encouraging and motivating even at the edge of giving up. I also thank the Almighty for his
guidance until the project’s completion.

Chapter one:
Introduction
Movers transport company is located in meru county. It deals with the transportation of farm
produce and farm inputs from one place to another. The company has being faced with various
challenges such as time consumption during registration and manual work during computation of
various money crucial to running of the government . The current system was prone to many errors
hence the need for a computerised system

PROBLEM DEFINATION
Movers transport company is a company located in Meru County pricesly kaaga location. It deals
with delivery and transport of farm products to and from the county.

Their current manual system has proved to be inefficient. This is due to the large file storage space
occupied by various records of membership, orders and various reports. This files are not easy to
retrieve when needed and also tiresome to manually compute various payments crucial to day to
day running of the company. This has led to dissatisfaction and disappointment within and outside
the company

OVERVIEW OF EXISTING MANUAL SYSTEM


An investigation was carried out on the current existing manual system and it was found to have the
following demerits

 It was hard to maintain the records as they were prone to physical harm e.g fires
 Unauthorised personnel had access to the company’s documents which was risky for the
company
 Manual computation of payment was tiresome and prone to calculation errors
 It was cumbersome to manually re-write crucial documents so as to create backups in case
of data loss
 In the past two years undelivered orders have increased from 3% to about10%
 Poor customer service as it is hard to follow suit on the penalties surcharged by drivers
 Delays and errors in generating various reports and expenses incurred by various deliveries

OVERVIEW OF PROPOSED SYSTEM
OBJECTIVES
 Compute various payments in the company including expenses for each vehicle,
total company expenses and the overall company profit
 Maintain records which are crucial to the day to day running of the company
 Generate reports

MAIN OBJECTIVE
Despite the proposed system performing many functions, its main objective is to maintain
data records and compute different transaction cost to see to it the company runs smoothly

BENEFITS OF PROPOSED SYSTEM


The following will be brought about by the new system
 Data will be stored safely and easily retrieved when needed
 Will reduce the workload of the secretary
 Registration of new members will be easier
 Financial computation will be prone to less errors
 Reports generated will help in decision making which is vital to the
running of the company

FEASABILITY
SCHEDULE FEASABILITY; the proposed system will take a period of
seven months to be fully developed and will be fully operational as from
January 2022

TECHNICAL FEASABILITY; The computerised system will require a


minimum of two workstations and a main server in which all the records
will be stored. A network will also be needed to ensure transfer of data
from one computer to the other. The network can either be through
cables or wireless connection

OPERATIONAL FEASABILITY; The new computerised system will


require computer literate personnel so as to be able to smoothly run the
system. A server administrator will also be needed for the technical
maintenance.

ECONOMIC FEASABILITY; Developing the new statement will cost


150, 000 including the purchase of new computers and a server. A
further 10,000 shilling will be needed annually for the maintenance of
the system. Each of the acquired new personnel will need a salary of
30,000 shillings. Despite the high cost, the funds will be recouped as the
system will save a lot of money as the salary cost will be lowered
because only a few personnel will be required and the economic
computation will be easier and more accurate bringing about higher
income and high profit

2.2 System implementation and testing

To develop MOVERS TRANSPORT SYSTEM, the following hardware and software requirements were
necessary:

a. Software requirements
 Microsoft Access
 Microsoft Word 2010

2.3 Requirements for the system functionality


Hardware requirements:

 A full set desktop computer or a personal computer (laptop)


 Printer
 UPS
 Hard disk size of above 300 GB
 Processor speed of 3.8 GHz
Software requirements:
 Backup system and program
 An updated antivirus software
 Operating system (64 bit)
 A Microsoft package

2.4 User manual
System installation

Installation Guide
 Insert a copy of the disk or the drive with the system.

 Click the start button on the task bar.

 Go to Control Panel then add or remove programs.

 Specify the desired installation folder and click next


 Continue with the installation process following all the instructions.

 At the end of the process create a folder on your desktop where your program will be saved.

Loading Process
 Click on the Start button on the task bar then move to all programs.

Select Ms Access where the splash screen will be displayed automatically. It looks like this;

 At this point the main form board will be displayed prompting the user to select the data
form inputs which are used to enter records into the system or reports menu which are
generated by compiling the data entered into the system.

2.5 Miscellaneous

Conclusion

As I was developing the system these are the challenges I


encountered:

 Limited time for working on my project


 Invasion of the computers by destructive viruses

Solution
 Sacrificed most of my free time for the project
 Installed antivirus and restricted entry of external devices
e.g. flash disks
 Backed up my work.

Recommendation

 All computers should be installed with antivirus


 Every work should be backed on a different location.
