MINUTES OF THE 6TH MONTHLY EXECUTIVE COMMITTEE MEETING

HELD ON WEDNESDAY 12TH JUNE 2024

AT 12.00 P.M. IN DISCUSSION ROOM 3

PRESENT: Mr. Muhammad Izzat Hanif Bin Ibrahim (Chairman)

Mr. Amar Harith Bin Mohd Nadzri (Supply Chain Manager)

Mr. Mohamad Aiman Bin Azmawi (Secretary)

Mr. Muhammad Luqman Farhan Bin Mohd Anuar (Logistics Manager)

ABSENT: Mr. Muhammad Zafran Bin Zainal Abidin (Manufacturing Manager)

1. APOLOGIES FOR ABSENCE


Apologies were received from Mr. Muhammad Zafran Bin Zainal Abidin who is unable
to attend due to an incident in the manufacturing department.

Mr. Amar arrived late in the meeting, due to his mother’s doctor’s appointment.

2. MINUTES OF LAST MEETING


Minutes of the last meeting were read by the members. The following amendment was
made:

Item no. 14 page 2, with Mr. Amar pointing out multiple spelling mistakes that were
made. The item is immediately added on the list of priorities on necessary adjustments
by the secretary.

The minutes were then approved all the members.


3. MATTER ARISING FROM THE MINUTES
The secretary, Mr. Aiman – informed the department the ongoing update on the supplier
evaluation process, the logistics optimization project, and the employee feedback on
the remote work policy.

It was then followed by Mr. Amar informing everyone that he is on track to complete
the evaluations on the company’s key supplier by the end of next month.

4. CREATING A SOLUTION TO THE SHORTAGE OF ENGINEERS CAUSED BY


GEOGRAPHICAL LIMITATIONS
The Chairman informed everyone about the challenge in locating engineering talents
due to geographical limitations.

The supply chain manager, Mr. Amar suggested several strategies in increasing the
numbers of engineering talents such as implementing remote work arrangements to
attract talent from a wider geographic area. Further agreements were also given by Mr.
Luqman – in that, he believes it could allow

5. IMPROVING COST-EFFECTIVENESS WHEN HIRING AND RETAINING


ENGINEERS
The Chairman placed a discussion on ways to improve the cost-effectiveness in hiring
and retaining engineers – calling Mr. Luqman for his insights

Mr. Luqman jotted down some of strategies in which includes: Streamlining our
recruitment process to reduce time and costs, offering competitive yet sustainable
compensation packages, implementing robust employee retention programs to
minimize turnover and its associated costs, and utilizing internships and
apprenticeships to develop talent internally.

The strategies were added on with suggestions by Mr. Amar and Mr. Aiman. These
strategies were then accepted by Mr. Luqman to be included in his future draft proposal.
6. ANY OTHER BUSINESS
Mr. Amar discussed briefly about considering a new software solution to improve our
supply chain visibility and efficiency. He proposed that he’d like to create a pilot project
to evaluate its effectiveness.

Mr. Luqman is interested and discussed the estimated cost with Mr. Amar. Then the
Chairman chimed in and scheduled a detailed presentation for Mr. Amar to propose.

7. DATE OF NEXT MEETING

It was decided that the next meeting will be held in the same meeting room, a month
from now.

The meeting was adjourned at 12.30 PM
