USING APPROPRIATE DOCUMENT FORMATTING


FEATURES

All modern word processing programs have a large


number of text-formatting features.

 Word wrap refers to the idea that word processors


automatically move text onto a new line when the
current line is full of characters and the cursor
reaches the right margin.
The user only has to press ‘Enter’ key at the end of a
paragraph. Word wrap ensures that the text is
automatically adjusted when text is added, deleted or
formatted. This means that the text is always aligned
within the margins of the page.

 Font style is the way the characters look, for


example, A, A, A.

 FORMATTING TEXT

Text-formatting features include: bold, italics, underline,


font size, font style, font colour, subscript, and
superscript. They can all be used to make text stand out.

 FORMATTING HEADINGS

Some important formatting tools in word processing are


the heading tools. These tools have two purposes:

1. They make the formatting of headings in a document


consistent.
2. They are used to create a table of contents.

 FORMATTING POSITION OF TEXT

Tools such as tab stops, bullets and numbering, line


spacing and justification (left, right, centered, full), can
all be used to position text on a page.

Full justification extends each line so that it reaches


both margins, and is often used to improve the
presentation of the text in books and newspapers.

Tab (tabulation) stops allow the layout of words in a


document to be controlled so that the words line up
vertically.

 FORMATTING THE PAGE

These tools include cover page size, margins, page and


section breaks, page numbers, headers, footers, footnotes
and endnotes.

A header is content that appears at the top of every


page.

A footer is content that appears at the bottom of every


page.

An endnote is a note at the end of the document, often


used for references.

A footnote is a portion of the text in the footer area of a


page, often used to clarify or comment on the text on the
current page.

Page-management tools

All word processors have pre-management tools. Page


sizes in the Caribbean include:

A4 size: 8.27 * 11.69 inches

Letter size: 8.5 * 11 inches
