1 Situation
You are Sales Director at the company Fashion Wear and are going to a sales
conference in New York next week. You are hoping to meet colleagues from around
the world and to understand more about today’s markets. However, while you are
away you will be travelling a lot and will not always be able to answer calls or emails
from your team quickly.
Task
Write a memo to your sales team. Tell the team why you are going to the USA and
the dates you will be out of the office. Explain who to contact if there is an urgent
question, how they can help, and how to contact that person. Thank them for their
understanding.
Write your memo of between 150 and 200 words in the space below.

2 Situation
Your company is interested in improving the way that employees share information
at work. In a business magazine you find an article called ‘Why companies have
an intranet’.
Task
Read the article entitled ‘Why companies have an intranet’ and decide whether the
following statements are TRUE or FALSE. Then write only the words or phrases from
the article that support your answer. Do not write more than six support words for
each answer. You will lose marks if you write more than this.
Note: Answers are usually in two parts. You may need to look in different parts of the
article to find the support words you need.

Why companies have an intranet


These days most large companies have an intranet, a special type of website that
can be used only by employees of that company. Companies use intranets to share
information, introduce new products and, sometimes, to chat socially.
There are many benefits to an intranet and one is a reduction in the amount of
inefficient email sent and received. How often do you receive email that has been
sent to a long list of people ‘for information’? How much of that email do you keep
for the future, only to lose it when you need it most? If important documents are in
one place it is much easier to find them again.
With an intranet, only employees of the company are given login details and
a password. This means that an intranet is more secure than email: company
information stays on the company pages and there is less chance of information
being copied to other people. It is also easier to have up-to-date information because
there should be just one copy of every document that everyone can see.
As well as helping companies to keep control of their information, intranets are a
cheap way to manage that information. As data and documents are kept in the ‘cloud’
and not on the employees’ computers, they do not need expensive machines with
lots of memory. A lot of time is also saved as information is not repeated. As we often
hear, ‘time is money’, so this is a big advantage.
On an intranet, companies can also ask for employees’ comments about products and
other issues. One disadvantage is that sometimes employees spend too much time
writing friendly messages to each other. However, if a ‘coffee break’ area is provided,
these messages can be kept away from the main business conversations.

4 Situation
Your colleagues Emma Smith and Adam Jones will be visiting a foreign supplier
in October.
Task
The supplier has emailed you some details about the visit. Using the information in
the email below, complete the diary opposite for Emma and Adam’s trip.

Dear colleague
We’re very happy that staff from your company are visiting us in October. Here is our
suggested itinerary.
First of all, as Ms Smith is arriving on 16 October, we have arranged for her to stay in
Hotel Splendid. Mr Jones has a booking at the same hotel (but a day later because
he’s arriving early the next morning). This means that Ms Smith has a 2-night stay and
Mr Jones has a 1-night stay. I’m sorry this is a different hotel from last year but the
Star Hotel is having building works and will not be available then. Please could you
tell us Ms Smith’s flight details so we can book a taxi?
The following morning at 10:30 am (after Mr Jones has arrived) there will be a factory
tour with our factory manager. After this, Ms Smith and Mr Jones are invited for lunch
with our directors at 12:30 pm. Later, our marketing manager will have a meeting
with Ms Smith, and our finance director would like to meet Mr Jones. These meetings
will take place at 2:00 pm. We would like to prepare well so please email your
questions before 3:00 pm on 15 October.
Our visitors usually enjoy seeing the old city and John Brown from our office will be
doing a city tour. The 2-hour tour will finish at 8:00 pm at the Grand Fish Restaurant
where dinner is booked, and our directors will join the group again.
On Wednesday morning, although we would like to arrange a visit to our new
warehouse, unfortunately it will not be ready in time. Instead, at 9:00 am our
operations manager will have a meeting to show everyone the plans. At 11:30 am a
taxi will take Ms Smith and Mr Jones to the airport in time for their flights at 3:15 pm.
