Microsoft Datacenter Environmental Health & Safety (EHS)

Rules and Regulations


Effective date: January 18, 2021

In all instances in this document, the term “Datacenter Operations” refers to Full Time Employees (FTE), contractors and vendors.
”The signer” refers to the person who signs this document in acknowledgement of having read, understood, and agreed to the Microsoft
Datacenter EHS Rules and Regulations.

1. Basic EHS Rules – General


 An approved documented procedure and corresponding risk assessment is required to perform technical work in the
datacenter or on supporting critical infrastructure.
 For any work to proceed, the signer must obtain an approved permit to work (PTW) as per the site requirements.
 Any personal injury, safety related events, or unsafe activity must be reported to Datacenter Management and Security
immediately, without exception.
 All warning signs posted in the datacenter must be observed and adhered to.
 The signer agrees to watch for and report hazards, such as open tiles, open racks, extension cords, carts, or other recognized
hazards to Security and Datacenter Management.
 No unauthorized areas or work zones cordoned off by barriers (including tape or signage) may be entered.
 No tools, equipment, vacuums, etc., may be plugged into any rack-mounted power strip or any UPS-backed electrical outlets.
 Cables or trailing cables that are temporarily run (for example, power cables for crash carts) must be taped down or there must
be cones placed to alert others to avoid tripping hazards.
 If Datacenter Management approves floor-tile removal in raised-floor Colo’s, no more than four floor tiles are permitted to be
removed at any time.
 Do not operate equipment unless you have provided proof of training and have authorization to operate the equipment.
 Keep aisles and floors clear, maintain good housekeeping.
 Loose clothing must not be worn, and long hair or beard are to be secured or covered when working around moving
equipment or server fans to protect against entanglement hazards.
 Do not use cell phones or other communication devices or screens when walking and use handrails when using stairs.

2. Personal Protective Equipment (PPE)


 All required personal protective equipment (PPE), including but not limited to head protection, eye protection, hearing
protection, high visibility vest, safety footwear, and hand protection must be worn where signage or policy so mandates, or
relevant risk assessment requires.
 Safety footwear is mandatory in all Microsoft production spaces and must be rated to be suitable for the type of hazards to the
work as identified in relevant risk assessments. No open-toed shoes or dirty/dusty footwear are allowed on datacenter flooring.
 Cut resistant gloves suitable for the type of hazards to the work identified in relevant risk assessments must be used. Cut
resistant gloves must meet ANSI standards in AMER and EN388 standards in APAC and EMEA.

3. Working from Height


 If ladders are needed, podium or platform ladders should be used rather than A-frame ladders.
 Standard A-frame folding ladders should be used when there are no suitable alternatives.
 Only non-conducting ladders (e.g., fiber glass) are allowed for work involving electrical hazards and in colos.
 Mobile Elevated Work Platforms (MEWP), ladders, fall protection equipment and other accessories must be inspected before
use. Defective equipment is not allowed to be used.
 Ensure fall protection plan is in place where appropriate and mandated by the risk assessment.

4. Hand Tools and Electrical Tools


 All tools must be inspected and be in good working condition and electrical integrity before use.
 Do not use defective tools (burrs, cracks, mushroomed heads, broken, loose, etc.) and inspect tools prior to use and verify that
tools are repaired.
 Do not leave tools on overhead locations where they can fall and strike someone below.
 Only knives and cutters with safety features are allowed. Where the blade of a safety knife is exposed, suitable cut resistant
gloves must be used. Pocket knives or other fixed blade cutting devices are not authorized for use on Microsoft property.

5. Materials Handling and Storage


 Plan and risk assess all material handling work to minimize risk of injury to workers.
 Use mechanical devices whenever possible to lift and transport heavy objects based on the task-specific risk assessment.
 When transporting large, bulky, and heavy goods, ensure sufficient manpower to execute the work safely.

6. Emergency Response, Fire Protection and Control, Hazardous Material Management.


 If a fire alarm sounds, the signer agrees to use the closest fire exit and proceed immediately to the designated assembly areas.
 Emergency escape routes and doors must not be blocked. Report any blocked or impeded escape routes or paths to Security
and Datacenter Management at the earliest safe opportunity.
 Use of fire extinguishers is limited to those individuals trained to use them within the datacenter.
 No cardboard, wood pallets, or unpacking of equipment is permitted in the colos without an approved policy exception from
Datacenter Management.
 Use of any hazardous, flammable, or combustible materials must have the documented approval of Datacenter Management
and must be stored in an approved location and in approved containers.
 Report any material spill to Security and Datacenter Management immediately.
 No unauthorized discharge of hazardous and/or toxic materials into the storm water, sewer, or non-approved discharge
course.

By signing below, you are acknowledging that you have read and understand the Microsoft Datacenter Operations EHS Rules and
Regulations and agree to comply in full. Failure to follow or comply with these rules is ground for immediately removal from the
site.

Paper copies require the signature of the person receiving the EHS Rules from the signer and the date that the EHS Rules were
received. The “Accepted By” signature indicates that the person receiving the EHS Rules has ensured that the signer has printed
their name and signed and dated the EHS Rules.
