TEACHER CHECKLIST
Before sending in your enrolment form:
† Check that your teacher details are correct and include any changes on the enrolment form.
† Check that candidate details are correct including number, name, date of birth, subject and
subject code.
† Advise candidates and their parents of the examination periods (including the possibility of
an examination during school holidays) and check for any special requests.
† Detail any special requests (eg school exams, school excursions, basic skills test, family
commitments, days of religious observance, etc) and tick the “SR” column on the enrolment
form.
† Contact the teacher/studio owner if you wish your candidates to be examined at his/her studio.
† Advise candidates and parents of the regulations contained in this Handbook and give them a
copy of the guidelines in the centre pages.
† Attach cheque/money order or credit card authorisation in payment of the examination fees.
Cash and EFTPOS will not be accepted for enrolments.
† Sign and date the enrolment form. Sign credit card authorisation (if applicable). Failure to
sign the form or provide full teacher details will result in a $5.00 service fee being
charged.

NEWS IN 2008
Î Later Closing Dates
In response to teacher feedback and improved technology we have been able to delay closing dates for most practical
examination series in 2008 (see page 4 for details). The Second Metropolitan Series (Series 03) has been allocated
different numbers from past years in order to accommodate a range of closing dates. Any candidate wanting a
transfer from one postcode period to another in the Second Metropolitan Series, either forwards or backwards,
must enrol by 13 June.

Î Music Craft - A Bold New Venture in Music Theory


The first series of Music Craft examinations held in New South Wales in August 2007 attracted over 1000 candidates,
many of whom were teachers eager to have first hand knowledge of the examination experience. Music Craft
examinations will be held in August 2008. Subject codes and examination fees can be found on page 28 of this
Handbook.

Music Craft papers will not be returned to teachers. However, teachers may view the papers at the AMEB (NSW) office
for a fee of $10.00 per paper. Any paper may be reassessed for a fee of $50.00 per paper; this fee will be refunded
should a marking error be discovered (see page 23 for details).

Î Singing for Leisure and Saxophone for Leisure


These syllabuses have been revised and replace the pilot syllabuses. From 2008 only the revised syllabuses as set out
in the 2008 Manual of Syllabuses will be examinable (further details on page 26).

Î Diploma Examinations
AMusA examinations will be held in the First Metropolitan Series (Series 06) and the Music Diplomas Series (Series
04). AMusA examinations may also be held in country centres during the Country Series (Series 02) provided numbers
warrant sending two examiners (see page 13 for further details). LMusA and FMusA examinations (Series 04) will be
held in Sydney only and during the September/October school holidays.

REMINDERS
¡ In the 2008 Teachers’ Handbook you will find detailed information about the AMEB (NSW)’s examination policies and
procedures. Please read this information carefully so that you are familiar with any new initiatives and aware of
examination dates, closing dates and the enrolment process. Remember, by signing the enrolment forms and entering
candidates for examinations you have agreed to abide by the regulations contained in this Handbook and on the web.

If you are enrolling students for examinations, it is your responsibility to inform them and their parents of all
the conditions of enrolment and the examination requirements. To assist you with this process we have included
an information section specifically for candidates and their guardians. Please remove this information from the centre of
this Handbook, photocopy as required and give one copy to each of your students.

Special Requests - In order that we can more effectively achieve our deadlines a fee of $22.00 per candidate per
examination will be charged for any special request that is not written on the enrolment form or attached to the
enrolment form at the time of enrolling for the examination. No charge will be made for special requests included with
the enrolment form. Special requests will not be accepted less than two months prior to the commencement of the
relevant examination series or postcode period.

Small Syllabuses - Because of the small numbers enrolled in some syllabuses Accordion, Harp, Electronic Organ
and Organ candidates will be examined in the period 20-25 October and Percussion will be examined in the CPM series
from 25 October to 6 December. Candidates may still be examined in the First Metropolitan and Country series if there
are sufficient numbers.

Further information regarding AMEB (NSW) policies can be found on our web site, www.ameb.nsw.edu.au, under
Examinations, Policies. We will also be happy to post a copy of the relevant information to you. This logo ¡ indicates
information that can be found on the web site. This logo Î indicates information that is new to this year’s Handbook.

The AMEB (NSW) is not responsible for delays caused by the postal services. To allow for any irregularities it is best to
allow a few extra days before the due closing date for enrolments to ensure that the forms reach us in time. Envelopes
postmarked after the closing date will mean that the enclosed enrolments incur a late fee. You should be prepared for
your students’ examinations to be scheduled at any time during the advertised periods. Please also be aware that
some of these dates fall at the beginning or end of government school holiday periods and you should
therefore advise your students of the possibility of being scheduled on those dates.

It is not possible to reschedule any Written Examination to an alternate date or time.

ENROLMENT FORMS
¡ NEW Enrolment Forms must be used in 2008. Enrolments will not be accepted on anything other
than the official Enrolment Form. Every teacher who has enrolled candidates in 2007 will receive
enrolment forms with their name and address printed on the form. On a separate sheet of paper, you
will also receive a list of all candidates entered by you in 2007. You may make changes and additions
to candidates’ details as appropriate. Blank enrolment forms for new teachers, and for additional
enrolments, are also available by contacting the Office, or may be downloaded from the web site.
Photocopies of the enrolment form will also be accepted.

Personal details
Title, date of birth, gender and full names are recorded for both teachers and candidates. This
is to assist us to eliminate duplicates in our database. Please ensure that you supply as much
information as possible so that we can maintain accurate records.

Candidate Number and Subject Code


In order to keep errors to a minimum it is in your interests to ensure that all known candidate
numbers are included on the enrolment form. Please also check the subject codes at the back
of this book and ensure that you have recorded the correct code against each candidate’s
name. The AMEB (NSW) processes well over 40,000 enrolments each year. Searching for
numbers for existing candidates is time-consuming and may result in delays.

Written Examination Enrolment Forms


Separate enrolment forms are necessary for country and metropolitan enrolments.

Payment
For ease of processing we would appreciate it if you would send us one cheque, money
order or credit card authorisation per teacher to cover all accompanying enrolment forms
and all candidates. You may also include payments for other items, eg. orders for past exam
papers. Please note that orders or enrolment forms will not be processed until the
cheque/money order/credit card authorisation has arrived at the AMEB (NSW). The AMEB
(NSW) does not accept payment of fees by cash or EFTPOS. Please staple all cheques to
the enrolment form. For security reasons faxed or emailed enrolments will not be

LATE ENROLMENT FEES – ALL EXAMINATIONS


A late enrolment fee will apply if the enrolment form and full payment are not received
or postmarked by the advertised closing date. Please note that late fees are not
refundable. The AMEB (NSW) is not responsible for delays caused by the postal
services. Teachers are therefore advised to submit signed and dated enrolment forms
in good time.

COMPLETION OF ENROLMENT FORMS (FRONT PAGE)
Please ensure that each of the following sections is completed on all enrolment forms.
Teacher/Person Enrolling Candidate – Number and Details
♦ The relationship between the enrolling teacher and the AMEB (NSW) takes the form of a
contract and for legal reasons the enrolling teacher or person enrolling a candidate must be at
least 18 years of age. Parents or guardians of younger private candidates may perform the
role of “teacher” by completing the teacher details on the enrolment form.
♦ Please ensure that you provide your teacher number and full details on all enrolment forms.
♦ If you have not previously enrolled candidates for examinations, the AMEB (NSW) will allocate
a teacher number to you upon receipt of an enrolment form.
♦ Tick the appropriate box if your address has changed since you last enrolled candidates.
♦ Please include your email address, and mobile phone number if applicable.
Examination Series – one series only per form.
Preferred Examination Day– if you prefer your candidates to be examined on a weekday or a
Saturday please indicate the appropriate box. If you would like your candidates to be examined
in different locations, use a separate enrolment form for each preferred area.
Private Studio Section – if you wish your candidates to be examined at a Private Studio, fill in this
section.
♦ If the studio belongs to another teacher, or you wish to use a particular school or convent, you
must obtain permission from the person or institution involved before enrolling candidates.
♦ Any hire costs for venue/studio preference must be met by the client.
♦ Include the Teacher Number of the teacher whose venue will be used in the space provided.
♦ A minimum of four hours of examining time per instrument must be available at any studio
before the AMEB (NSW) will assign an examiner to that particular studio.
♦ The AMEB (NSW) reserves the right to alter the location of the examination to facilitate the
provision of an examiner.
¡ ♦ Is your studio suitable for examinations (see criteria on the web site)? If so, please indicate its
availability on the enrolment form in this section.
Fees
Î ♦ Faxed or emailed enrolment forms cannot be accepted for security reasons.
♦ Enrolment forms without full payment or credit card authorisation will not be accepted, and
your enrolment form will be returned. Part payments will not be accepted.
♦ Enter the total amount of enrolment fees, including any late fees, for each enrolment form.
♦ Fees cannot be transferred from one candidate to another or from one year to the next.
♦ We accept payment by credit card (Mastercard or Visa only), cheque or money order. Cash
payments will not be accepted. Make cheques/money orders payable to “AMEB (NSW)” and
staple to the enrolment form. If you pay by credit card the authorisation must be completed.
♦ In the event that a cheque or credit card is not accepted by the bank, for any reason, a fee of
$15.00 (including any applicable bank fees) will be applied to each transaction.
Certification
♦ It is essential that whoever fills in the Teacher/Person Enrolling Candidate Details section of
the enrolment form also signs and dates the form, certifying:
- your awareness of the conditions of enrolment,
¡ - your agreement to abide by the regulations and the examining requirements in the AMEB
(NSW) 2008 Teachers’ Handbook and the 2008 Manual of Syllabuses, and the policies on
the AMEB (NSW) web site,
- your awareness of your responsibility to inform candidates and parents of these
requirements including the refund and transfer policies,
- that you are at least 18 years of age.
♦ Failure to sign and date the certification will result in the enrolment form being returned. A
$5.00 fee will be charged if the certification is not properly completed.

COMPLETION OF ENROLMENT FORMS (BACK PAGE)
Candidate details
♦ The following items of information are essential for accurate records, correctly produced
documentation (including Certificates), and the computerised history of the candidate’s results.
If incorrect information is received candidates may be issued with additional candidate
numbers which may then result in a delay in the release of certificates.
Candidate Number
- Use the candidate’s number from previous examinations.
- If this is the first enrolment, the candidate will be issued with a number. This number is to
be used for all future examination enrolments, whether practical or written, regardless of
teacher.
Candidate Name
- Use the candidate’s full name, including middle names.
- Include a title (Mr, Ms, Mrs, Miss etc) for each candidate.
- Consistently use the same name each time a candidate enrols for an examination eg, is the
candidate’s name John Smith OR John Michael Smith OR Jon Smith?
Date of Birth (DOB)
- Use the candidate’s date of birth to ensure accurate linkage to the candidate’s name and
number.
Sex
- Enter M (male) or F (female) for each candidate.
Group Examinations
♦ One group name only (not individual members) on enrolment form, for all Group
Examinations.
Subject codes
♦ Each syllabus/subject/grade has been given a subject code that is listed at the back of this
Handbook. Enter the subject code for each candidate under “Candidate Details” on the
enrolment form.
♦ Some subjects offer an old syllabus and a new syllabus (NS). It is extremely important that the
correct subject code is written on the enrolment form to avoid errors.
Special Requests (“SR” on the enrolment form)
♦ Special requests must be in writing and should be submitted by the enrolling teacher only.
♦ Please consult candidates and parents regarding any dates they will be unable to attend
examinations during the relevant examination period and advise the AMEB (NSW).
♦ You may write the special request in the space provided on the enrolment form. Special
requests must be submitted to the AMEB (NSW) up to two months prior to the
commencement of the relevant examination series or period. Late requests may not be
considered. Special requests are only current for one series.

♦ Please indicate if you wish siblings to be examined consecutively, as examinations are usually
arranged by grade.

♦ While we do our best to satisfy any special requests, we cannot guarantee that this will always
be possible as we are dependent on availability of venues, examiners and time constraints.
♦ Please keep all special requests as brief as possible.

Religious Observance
♦ Holy days, festivals and other days of religious significance should be indicated on the
enrolment form as a Special Request.
♦ Candidates unavailable for examinations due to religious observance on Saturdays and/or
Sundays must be indicated in the “REL” column as follows:
‘S’ if candidate is unable to attend on Saturdays;
‘U’ if candidate is unable to attend on Sundays;
‘B’ if candidate is unable to attend on Saturdays or Sundays

Candidates who have been taught by an AMEB examiner


♦ Candidates who enrol for an examination, who are, or previously have been, taught by
someone who is an AMEB examiner, should indicate this in the Special Requests section of
the enrolment form. This information will ensure that the examiner is not scheduled to examine
his/her own candidates, either past or present.

School Examinations
♦ If any of your candidates is likely to be required to undertake a Basic Skills Test, School
Certificate Test, Higher School Certificate examinations or other important examinations or
school commitments during your scheduled examining period, please state the dates to be
avoided in the Special Requests section of the enrolment form.

ADDITIONAL NOTES

FMusA/FSDA
♦ FMusA and FSDA candidates MUST submit their proposed programs to AMEB (NSW) no
later than 30 April, 2008. Once these programs have been approved by the AMEB candidates
will receive a program approval letter.
♦ Photocopies of prerequisites MUST be attached to the enrolment form (refer to the 2008
Manual of Syllabuses)
♦ Program notes for FMusA examinations should be forwarded to the State Office by email in
Word format no later than Friday, 15 August, 2008.

LMusA Program Approvals


♦ If a program approval is needed, it should be attached to the enrolment form. No requests for
LMusA program approvals will be accepted after 31 July, 2008.

ADDITIONAL REQUIREMENTS
In the following practical examinations, an additional written examination is required. Please note that
the additional requirements have changed from previous years. The additional requirement need not
be completed before the principal examination, but until both are passed, the examination is
incomplete, and no certificate will be awarded.

For CSCA, ASDA, ADPA, LSDA, LDPA and FSDA examinations candidates must pass a qualifying
examination(s) before entering for the principal examination. In all cases the stated prerequisite is the
minimum requirement. It is the responsibility of the candidate to provide notification as to the date of
passing the prerequisite requirement, and the State in which the examination was held.

CONFIRMATION OF ENROLMENT
You will receive a computer-generated confirmation of your enrolment/s as soon as practicable after
the information has been processed.
The Confirmation of Enrolment provides the opportunity for teachers to double-check that all
information relevant to their candidates has been accurately recorded. Please advise us of any errors
immediately. Failure to identify an anomaly on the Confirmation of Enrolment will result in errors on all
subsequent documentation concerning that candidate. The spelling of the name on the Confirmation
is as it will appear on the certificate. Replacement certificates will incur a fee of $27.50 each. It is not
possible to substitute alternative candidates at this stage. Please note that the Preferred Venue listed
on your Confirmation of Enrolment may be changed, subject to suitability and availability as set out on
page 12 of this Handbook. If you have NOT received a Confirmation of Enrolment within two months
of the closing date, please telephone the AMEB (NSW) to check the status of your enrolment.
The Confirmation of Enrolment is your tax invoice and only official receipt from the AMEB (NSW).
Please check your Confirmation of Enrolment carefully, and advise us of any errors.

REFUND POLICY
The AMEB (NSW) enrolment, examination preparation and scheduling processes incur significant
costs for the AMEB (NSW), irrespective of whether candidates actually present on the day of their
examinations. However, if a candidate wishes to withdraw from his/her examination, a written request
for a refund of fees will be considered under the following conditions:
♦ A full refund (less $20.00 per candidate per examination administration fee) will be issued if a
written request is received prior to the Series closing date or at least 3 months prior to the
commencement of the relevant series (Series 04), regional practical examination period (Series
02, 08), or postcode period (Series 03, 10).
♦ A 50% refund will be issued if written advice of withdrawal is received as follows:
- Written Examinations (Series 01, 05) – at least 1 month prior to the commencement of the
particular series (see page 5).
- Practical Examinations – at least 2 months prior to the commencement of the relevant
series (Series 04, 06, 09), regional practical examination period (Series 02, 08), or postcode
period (Series 03, 10) (see page 4).
No refund will be applicable after the timeframes outlined above. Teachers should ensure that
candidates are aware of these deadlines.

PRACTICAL EXAMINATIONS
Practical Examinations are conducted in accordance with all syllabus requirements set out in the 2008
Manual of Syllabuses and in accordance with the policies and procedures in this Handbook.

NOTICE OF PRACTICAL EXAMINATION


Every effort will be made to ensure that a Notice of Practical Examination for each candidate is
dispatched to the teacher/private candidate approximately four weeks prior to the examination. These
Notices must be given to candidates for presentation at the examination venue. The AMEB (NSW) is
not responsible for delays caused by the postal services. Our web site provides provisional
¡ examination dates as soon as they are scheduled and you can check dates at www.ameb.nsw.edu.au
following the instructions via AMEB Connect. However, the Notice of Examination is the confirmation
of the examination date. Please contact the AMEB (NSW) if you feel that your Notice is overdue.
It is possible that your candidates’ examinations may be scheduled on a weekday, Saturday or (very
rarely) Sunday. It is also possible that examinations may be scheduled during school holidays. Please
check carefully the day, date, venue and studio number (if applicable) on your candidate’s Notice of
Practical Examination.
IT IS THE TEACHER’S RESPONSIBILITY TO INFORM CANDIDATES THAT THEY MUST:
♦ Attend the venue indicated on the Notice of Practical Examination.
♦ Arrive at the venue at least 10 minutes before the scheduled commencement time.
Latecomers will be examined only at the discretion of the examiner and may forfeit the
examination.
♦ Complete the list pieces section of the Notice of Practical Examination prior to arrival.
♦ Bring their Notice of Practical Examination with them to the venue.
♦ Have their instruments correctly assembled and tuned prior to entering the examination room.
♦ Arrange for an accompanist (where applicable) and cover any costs involved. In most non-
keyboard examinations an accompanist is required.

MUSIC FOR THE EXAMINATION


Teachers should advise candidates undertaking practical examinations that they MUST have all the
music required for performance, in the appropriate order, at the commencement of the examination.
Pre-recorded accompaniment is not acceptable, unless specified by the syllabus. If a candidate
presents a piece of music that is not on the Syllabus for which they are enrolled, their mark will be
downgraded. However, Extra List pieces for Grades 2 to 7 may be selected from any source, provided
they have an educational value similar to that prescribed in the syllabus. (See section on General
Requirements for Practical Examinations in the 2008 Manual of Syllabuses.).

POSTCODE POLICY – SECOND METROPOLITAN SERIES


Due to the large number of candidates entered for the Second Metropolitan Series of Examinations it
is necessary for the AMEB (NSW) to divide the examinations into different periods. The teacher’s
suburb as indicated on the enrolment form will be used to schedule that teacher’s candidates into a
particular postcode period. Postcode periods are indicated on page 4 of this Handbook and, in order
to provide continuity for teachers and candidates, they do not change from year to year.
Regardless of a teacher’s Post Office Box postcode, their students will be examined according to the
postcode of the teacher’s suburb. In the event that your teaching studio address is different from your
mailing address, you should indicate this clearly by attaching a letter of explanation to the enrolment
form. In this event the postcode period will apply to the teaching studio address. Where a teacher has
arranged for examinations to be held in another studio, the postcode period of that studio will apply for
examination scheduling. This does not apply to major venues such as the Joan Sutherland
Performing Arts Centre, for example. In such cases normal transfer fees will apply. If you have
candidates who live in various parts of Sydney please request that they be examined at a city venue.
In the event that a teacher changes address between enrolment and examination, the enrolling
postcode will apply. When a teacher nominates a venue for Second Metropolitan Series examinations
that is out of their own postcode period, the examinations will be timetabled in the host teacher’s
postcode period.

VENUES – METROPOLITAN EXAMINATIONS
In the Metropolitan Series, local venues/private studios are usually timetabled on weekdays, while the
Conservatorium and other major venues are timetabled mainly on Saturdays. Examinations at
Clarence Street may be timetabled Monday to Saturday inclusive. Candidates may request an
examination on either a weekday or on a Saturday and we will do our best to accommodate that
request. However if this is not possible due to the availability of studios and/or examiners, then
candidates will be scheduled at the most appropriate venue on either a weekday or a Saturday.

Please note that warm up rooms are generally not available at examination venues.

VENUES – PRIVATE STUDIOS


There must be a minimum total of four hours examining per instrument category before an examiner
may be scheduled to examine at a private venue/studio. If teachers using a venue have a combined
total of less than four hours examining, the AMEB (NSW) will organise another venue for the
examinations. It is the responsibility of the visiting teacher to ensure that the private studio is available
and appropriate for your students’ examinations. It is expected that candidates and visiting teachers
will respect the facilities at the examination studio, by waiting only in the area directed by the host
teacher, leaving the premises upon completion of examinations, and not interrupting examinations in
progress. If you elect to have your students examined at another teacher’s private studio your contact
details may be given to the venue owner.

Please note that recording the whole, or any part, of any AMEB examination is not permitted.

VENUES – FEDERAL EXAMINATIONS


Federal music practical examinations (LMusA, FMusA, LTMusA) will be held at a Sydney metropolitan
venue to be determined by the AMEB (NSW).

ISSUE OF EXAMINATION REPORTS


At all venues, at the conclusion of each grade examination, the examiner will hand the report to the
candidate in a sealed envelope, to give to the teacher, who will convey the result awarded. In this
way, teachers are able to convey the examiner’s feedback in a supportive and positive way in a more
appropriate setting without the distraction of other candidates who are awaiting their examinations.
These envelopes are not to be opened by the student. If the teacher is present at the examination
venue he or she may request that all reports be handed to the teacher at the conclusion of that
teacher’s examinations.
¡ Diploma reports are dispatched from the AMEB (NSW), after results and additional requirements have
been verified. Results for all examinations are also available through AMEB Connect on our web site.
Please note that these results are available only to current teachers of the candidates concerned and
to the candidates themselves if the teacher has provided them with access. Diploma results will not be
given to anyone over the phone.

QUERIES AND COMPLAINTS CONCERNING EXAMINATION REPORTS


AMEB examinations are conducted as a formal process on a strict timetable. In order that other
candidates are not disadvantaged, it is not possible for examiners to discuss reports or other
examination issues with teachers, parents or candidates at the examination venue.
Queries or objections regarding any examination results or examiners must be set out in writing and
addressed to the State Manager. Verbal objections will not be accepted and no complaint will be
considered more than ten days after receipt of the examination report. Letters of complaint concerning
an examiner will be forwarded to that examiner for comment, after which a response will be issued by
the State Manager.

TRAINEE EXAMINERS
To ensure that the AMEB’s high examining standards are maintained there may be a trainee
examiner present during grade examinations. In such an instance, the candidate will receive the
Supervising Examiner’s result and written report.

DIPLOMA EXAMINATIONS
Diploma examinations require two specialist examiners. In instances where it is not feasible to
schedule two examiners in a regional area, AMusA candidates will be required to travel to Sydney
during the period 20 September to 10 October to be examined. LMusA and FMusA examinations are
held in Sydney during the September/October school holidays and/or days surrounding this period.
Candidates are advised that they must bring a copy of their music for the examiners so that
they can be certain of the edition from which the candidate is working.

PROVISIONAL ENROLMENTS
Provisional enrolments will not be accepted for practical examinations.

NON ENGLISH-SPEAKING CANDIDATES


Non English-speaking candidates who wish to have an accredited interpreter present at their exam
must apply to the AMEB (NSW) in writing. The cost of the interpreter service will be the responsibility
of the candidate. Accredited interpreters may be contacted through the Language Services division of
the Community Relations Commission of NSW on 1300 651 500.

CANDIDATES WITH SPECIAL NEEDS


¡ To ensure that the examination process is accessible to all, provisions may be made for candidates
with special needs. Our policy may be found on the web site at www.ameb.nsw.edu.au. Medical
Î
certificates or letters regarding illness will not be accepted by examiners at the examination.

DRESS CODE
AMEB examinations follow a formal and structured process. While we do not wish to impose any strict
rules regarding dress, candidates are advised to dress appropriately in a “smart casual” style.

CERTIFICATES
AMEB CERTIFICATES are issued as follows:
• Grade Certificates – as soon as possible after the examination
• Diploma Certificates – at the Annual Presentation Ceremony. Candidates who cannot attend the
Presentation Ceremony will receive their certificates through the mail.
• Certificates for Groups – one certificate will be issued with the group name as supplied on the
enrolment form. If you would like one additional certificate with the names of all group members
please write to the office providing the appropriate names. Further copies of this certificate may be
supplied at the request of the teacher, at a cost of $11.00 per certificate.

AMEB (NSW) DISTINCTION CERTIFICATES are issued with the grade certificates as follows:
• Practical To each candidate who receives an A+ in Music and Speech and Drama subjects.
¡ • Written To candidates who obtain the sufficient marks as outlined on the web site.
Please note: the AMEB (NSW) is not responsible for the delivery of mail once it has left the office.
Reimbursement for lost articles may be claimed from Australia Post and compensation may be paid at
their discretion.

REPLACEMENT CERTIFICATES WILL INCUR A FEE OF $27.50 EACH

PRACTICAL EXAMINATION TRANSFERS
TRANSFER BEFORE THE EXAMINATION IS SCHEDULED
Transfer between different Series:
Candidates may transfer from one practical series to a later series in the same year free of charge
provided we receive written notification at least two months prior to the commencement of the series
in which the candidate was originally enrolled. A transfer fee will apply if less than two months’ notice
is provided. It is not possible to transfer an examination from one year to another under any
circumstances.
Transfer to a different postcode period within the Second Metropolitan Series:
A written request for a transfer to a different postcode period must be submitted to AMEB (NSW) by
writing in the “Special Requests” section of the enrolment form, or by submitting a written request at
least 2 months prior to the commencement of the first applicable postcode period. (For further
information refer to page 11.) Except in exceptional circumstances, transfers from the designated
Î period for Series 04 examinations and for Accordion, Harp, Electronic Organ and Organ examinations
in the Second Metropolitan Series will not be permitted.
Î Enrolment for candidates wishing to transfer from one postcode period to another in the Second
Metropolitan Series must be received by Friday 13 June regardless of the periods involved. You
must state the desired postcode period to which the examination is being transferred. You must also
include a cheque/money order or credit card authorisation to cover the transfer fee of $55 per
candidate or a maximum fee of $220 per school/teacher/enrolment form. This fee covers costs
involved with transferring candidates and applies no matter when the request for transfer is received.

TRANSFER AFTER THE EXAMINATION IS SCHEDULED


In order to keep costs at a minimum, it is not possible to arrange alternative dates for practical
examinations once the date has been scheduled for any reason other than on substantiated medical,
religious, school endorsed educational grounds, verified work related grounds or relevant generally
recognised days of cultural significance. No other grounds for transfer will be considered.
If a candidate is unable to attend his or her practical examination due to one of the above reasons, an
alternative date may be offered, provided that:
♦ venues and examiners are available;
♦ a written request for a transfer has been submitted to the AMEB (NSW) no later than two
weeks after the scheduled examination date, including :
- a medical certificate or other documentary evidence, such as a letter from the candidate’s
school or employer, which covers the date that the examination was due to take place;
- an indication of when the candidate will be able to undertake the examination;
- a cheque/money order/credit card authorisation to cover the transfer fee of $55 per
candidate per examination for Level 1 candidates and $66.00 per candidate per
Î
examination for Level 2 and Level 3 candidates.
If the AMEB (NSW) is unable to re-schedule an examination whilst examiners are still in a country
region, candidates will be required to travel to Sydney.

STUDIO TRANSFERS
Where a teacher has arranged for examinations to be held in a particular studio in the Second
Metropolitan Series, the postcode period of that studio will apply for examination scheduling. If a
studio has applied for a transfer to another postcode period, all students attending that studio will be
examined in the nominated period.
PRACTICAL EXAMINATION TRANSFERS
Before the examination is scheduled $55 per candidate
$220 per school/studio (maximum)
After the examination is scheduled (medical, religious, $55 per candidate (Level 1)
cultural, educational and/or work related grounds only) $66 per candidate (Level 2 and 3)
These fees are inclusive of GST and are non-refundable.

PRIVACY POLICY
The AMEB (NSW) and the Office of the Board of Studies are fully compliant with the provisions of the
Privacy and Personal Information Protection Act 1998 (the Act). Information provided by teachers,
candidates, examiners and other employees of the Office of the Board of Studies is collected, stored
and administered in accordance with the Act.

Personal details supplied by teachers, candidates, examiners or other employees are not provided to
individuals or organisations outside the AMEB (NSW) or the Office of the Board of Studies without the
express permission of those concerned. For this reason you must ensure that you supply the AMEB
(NSW) with teacher and candidate numbers when requesting any information from our staff. The only
exceptions to this policy are when the AMEB (NSW) is required by law to supply this information, for
example, in response to a subpoena.

In order to fully comply with the Privacy and Child Protection legislation, generally information
regarding examination dates, times and venues will not be given over the phone to anyone. In
exceptional circumstances information may be given to the person who has enrolled the candidate for
examination. In such instances a series of check questions, that may include date of birth, will be
asked in order to ensure authenticity.

CHANGE OF TEACHER
Teachers should ensure that they only enrol candidates whom they are currently teaching and who
have agreed to sit for an AMEB (NSW) examination.

In order to safeguard the interests of all parties, to change a teacher after enrolment requires
confirmation from the enrolling teacher. There will be a fee of $55.00 charged to reassign candidates
from one teacher to another or from/to private candidate status after enrolment.

If you are the new teacher or parent/candidate, please contact the office for a Change of Teacher
form. If you are the enrolling teacher, you may email, fax or write to us providing details of the
student(s) you are relinquishing with the contact details of the parent/candidate or the new teacher.

Please note, a change of teacher does not change the exam period, that is, the exam will still be set
according to the original enrolling teacher’s postcode. An additional fee of $55.00 will apply in order to
move the exam to another period.

Candidates may not change teacher or from/to private candidate status once the examination has
taken place.

This policy applies to all AMEB (NSW) examinations.

PHOTOCOPIES
Composers and playwrights depend to a significant extent on royalty income from sales of their
publications, as does the AMEB. Those using photocopies of printed material should ensure that
the copies do not contravene the Copyright Act. Unauthorised photocopying is illegal. Photocopies
of AMEB publications must not be taken into AMEB examinations. Please also note the relevant
paragraph under General Requirements Practical Examinations in the 2008 Manual of Syllabuses.

A GUIDE TO AMEB (NSW) EXAMINATIONS, POLICIES AND


PROCEDURES FOR CANDIDATES AND GUARDIANS
In an effort to better inform candidates and their parents or guardians about the processes involved
with an AMEB (NSW) examination, we have prepared the following guidelines. Further details can be
obtained from the annual Teachers’ Handbook, the annual Manual of Syllabuses, the AMEB (NSW)
¡ website, www.ameb.nsw.edu.au, and our publication Knowing the Score. Your music or speech and
drama teacher should have a copy of the first two publications and Knowing the Score is available
from the AMEB (NSW) at a cost of $5.00 plus postage and handling.

The AMEB (NSW) is a teacher-based organisation. This means that it is the music or speech and
drama teacher who contracts with the AMEB (NSW) by enrolling his or her students for examinations.
For legal reasons the enrolling teacher must be at least 18 years of age. The teacher should always
be the contact point between you and the AMEB (NSW). If you have a problem with the examination
process please ask the teacher to write to us.

Because of the very large scale of our operations (our staff schedule around 43,000 examinations
each year) it is necessary for us to set some rules with regard to examination dates, transfers, late
fees and refunds. The following points should be noted:

• Some examination dates may fall during school holidays or long weekends.
• Once a practical examination has been scheduled transfers are only permitted on very specific
candidate related grounds and are subject to a Transfer Fee of $55.00 per candidate for each
Level 1 examination and $66.00 per candidate for each Level 2 or Level 3 examination.
• If there are dates on which you have a prior commitment, including school activities, please ask
the teacher to include a “Special Request” with your enrolment. Special requests included with
the enrolment form do not incur a charge. However special requests submitted after the
enrolment will be subject to a fee of $22.00 per candidate per examination. Special requests will
be accepted up to two months prior to the commencement of the relevant examination series or
period. We will do our best to ensure that wherever possible the “Special Request” is met.
• Written examinations are set federally with each State holding the examinations on the same
dates and times so that candidates are not compromised or disadvantaged. For this reason
written examinations cannot be transferred to alternative dates or times under any circumstances.
• If a candidate wishes to withdraw from an examination partial refunds may be available in some
circumstances and the teacher will be able to give you full details.

Practical Examinations
The teacher will be sent a Notice of Examination for each candidate approximately four weeks prior to
the date of the examination. If you feel the Notice may be overdue please ask the teacher to contact
the AMEB (NSW). The candidate must complete this Notice and give it to the examiner at the
examination.

A GUIDE TO AMEB (NSW) EXAMINATIONS, POLICIES AND


PROCEDURES FOR CANDIDATES AND GUARDIANS
In an effort to better inform candidates and their parents or guardians about the processes involved
with an AMEB (NSW) examination, we have prepared the following guidelines. Further details can be
obtained from the annual Teachers’ Handbook, the annual Manual of Syllabuses, the AMEB (NSW)
¡ website, www.ameb.nsw.edu.au, and our publication Knowing the Score. Your music or speech and
drama teacher should have a copy of the first two publications and Knowing the Score is available
from the AMEB (NSW) at a cost of $5.00 plus postage and handling.

The AMEB (NSW) is a teacher-based organisation. This means that it is the music or speech and
drama teacher who contracts with the AMEB (NSW) by enrolling his or her students for examinations.
For legal reasons the enrolling teacher must be at least 18 years of age. The teacher should always
be the contact point between you and the AMEB (NSW). If you have a problem with the examination
process please ask the teacher to write to us.

Because of the very large scale of our operations (our staff schedule around 43,000 examinations
each year) it is necessary for us to set some rules with regard to examination dates, transfers, late
fees and refunds. The following points should be noted:

• Some examination dates may fall during school holidays or long weekends.
• Once a practical examination has been scheduled transfers are only permitted on very specific
candidate related grounds and are subject to a Transfer Fee of $55.00 per candidate for each
Level 1 examinations and $66.00 per candidate for each Level 2 or Level 3 examination.
• If there are dates on which you have a prior commitment, including school activities, please ask
the teacher to include a “Special Request” with your enrolment. Special requests included with
the enrolment form do not incur a charge. However any special request submitted after the
Î enrolment will be subject to a fee of $22.00 per candidate per examination. Special requests will
be accepted up to two months prior to the commencement of the relevant examination series or
period.. We will do our best to ensure that wherever possible the “Special Request” is met.
• Written examinations are set federally with each State holding the examinations on the same
dates and times so that candidates are not compromised or disadvantaged. For this reason
written examinations cannot be transferred to alternative dates or times under any circumstances.
• If a candidate wishes to withdraw from an examination partial refunds may be available in some
circumstances and the teacher will be able to give you full details.

Practical Examinations

the date of the examination. If you feel the Notice may be overdue please ask the teacher to contact

WRITTEN EXAMINATIONS
Written Examinations are conducted in accordance with syllabus requirements set out in the AMEB
2008 Manual of Syllabuses and in accordance with the policies and procedures in this Handbook.

Candidates may enrol for two grades of written examinations in the same series providing the
examinations are not scheduled at the same time.

NOTICE OF WRITTEN EXAMINATION

A Notice of Written Examination for each candidate is dispatched to the teacher/private candidate
approximately two weeks prior to the examination. Please note the precise time, date and location for
the examination.
This Notice must be given to the candidate to present at the examination venue.

TEACHERS ARE REMINDED OF THEIR RESPONSIBILITY TO INFORM CANDIDATES THAT


THEY MUST:

♦ Attend the venue indicated on the Notice of Written Examination.


♦ Arrive at the examination venue at least 20 minutes before the scheduled commencement
time. Reading time (if applicable) will commence 10 minutes prior to the advertised start of the
examination.
♦ ONLY take pens, pencils, erasers and rulers into the examination room. Any paper product will
be confiscated with the exception of an approved English/Foreign Language Dictionary.
♦ Not take mobile phones or computer equipment into the examination.
♦ Complete the attendance slip correctly.
♦ Check that they receive the correct paper from the Supervisor as more than one paper may be
issued at the same examination venue. Teachers must advise candidates that the Theory
Î of Music paper is white, the Musicianship paper is blue and the Music Craft paper is
yellow. Speech and Performance Theory is green.
♦ Write their correct candidate number on the paper.

Candidates whose first language is not English may use a dictionary in written examinations,
providing that the dictionary is Foreign Language/English. Candidates should advise the State Office
in writing that they intend to use a dictionary when they enrol, outlining their reasons for doing so. The
AMEB (NSW) will then provide the candidate with a letter of authorisation that must be presented to
the examination Supervisor prior to the commencement of writing. The Supervisor will check that the
dictionary falls within the guidelines, and that it does not include any other written material.

Before the scheduled commencement of all written examinations (except the Aural component of the
Musicianship and Music Craft examinations), ten minutes reading time is allowed. No writing will be
permitted during this time. At the commencement of Aural Musicianship and Music Craft
examinations, candidates will be given a short listening time, in order to become familiar with the
sounds used on the examination CD. At the conclusion of Aural Musicianship and Music Craft
examinations candidates will have ten minutes checking time during which writing is permitted.

Manuscript paper for rough working will be provided for all aural and written examinations. The
Supervisor will collect all unused working papers; no manuscript paper may be taken from the room.
Only the worked paper (and any attached sheets) will be considered for marking. Pencilled answers
are ONLY acceptable if they are clearly legible.

Written Examinations are conducted throughout Australia on the same date. It is not
possible to reschedule any Written Examination to an alternate date or time.

EXAMINATION AREAS/VENUES – SYDNEY METROPOLITAN AREA
Examinations will be held throughout the metropolitan area in schools, colleges and community halls.
Teachers should indicate their preferred examination area on the enrolment form. However, where a
nominated examination area is unavailable, or where no preference of area is specified, candidates
will be directed to the available venue nearest to the teacher’s address.
The Confirmation of Enrolment will indicate the teacher’s preferred examination area. Please notify
the Board immediately if this area is incorrect. While every effort is made to accommodate candidates
in the preferred area, the availability of examination venues is dependent on the capacity of the
venue, and alterations may take place without notice.
Î Candidates for Music Craft and Aural Musicianship examinations will be directed to central
examination venues. Music Craft Aural and Written components will be held on the same day
(Monday, 25 August) at the same venue, but the Aural and Written components of Musicianship may
be held at different venues.
All Speech and Drama candidates may be directed to one central Sydney venue.

EXAMINATION AREAS/VENUES – COUNTRY


As a general rule, a minimum of ten candidates per day is required in order for any examination venue
to be established. For this reason teachers are advised that they should collaborate with other
teachers in their area and enter candidates for the same session in order to ensure a local venue.
Teachers must be aware that the preferred area nominated on the Confirmation of Enrolment may
vary from the venue finally allocated on the Notice of Examination. Candidates in country areas may
be required to travel to the nearest available venue. However, in response to teacher feedback, the
AMEB (NSW) agrees that no candidate should travel more than 125 kilometres (each way) from their
teacher’s studio to the examination venue on any one day. Students sitting for Musicianship
examinations with Aural components, should travel no more than 70 kilometres (each way) from their
teacher’s studio to the examination venue on each of the two days involved. If a Musicianship
candidate travels further than 70 kilometres (each way) on one day, then the other component of the
examination will be held in their teacher’s local centre. If scheduling has already commenced late
enrolments may have to travel further than the distances indicated above.

ISSUE OF EXAMINATION RESULTS AND CERTIFICATES


Written examination results and certificates are issued approximately six to eight weeks after the
examinations have taken place. The marked papers of all Theory of Music and Musicianship
candidates from Grades 1-3 are returned to the teacher. Candidates for Grade 4 and above and all
candidates sitting for Music Craft examinations receive a report from the Assessor giving the marks
awarded for each section and any relevant comments. No Music Craft papers will be returned to
Î
teachers. However, teachers may come to the office to view the papers at a cost of $10.00 per paper.
Arrangements to view papers must be made in advance.

REASSESSMENT OF WRITTEN EXAMINATION PAPERS


If you believe an error has been made a reassessment can be arranged on the receipt of a fee of
$50.00. In the event that an error is established this fee will be refunded. The criteria for
reassessment are limited only to cases of incorrect addition of the marks and/or errors of fact.
Requests based on differences in interpretation or professional judgement will not be considered.

All Music Craft papers and papers from Grade 4 upwards in Theory of Music and Musicianship with a
result of 63 or 64 will automatically be re-assessed by a second Assessor. The higher of the two
marks will be the mark recorded. The Assessor’s decision is final and no correspondence will be
entered into regarding that decision.

PROVISIONAL ENROLMENTS
Candidates needing an additional requirement of a written component in order to complete their
AMusA or LMusA examination, and who enrol in the May series of written examinations, may submit a

Provisional Enrolment for the same grade and syllabus for the August series as a safeguard against
an unsatisfactory result on the first attempt. This also applies to Speech and Drama candidates who
require prerequisites in order to enrol for ASDA, ADPA, LSDA, LDPA or FSDA practical examinations.
In the event that the candidate is successful in the first series, a full refund (less $20.00 administration
fee) will be issued provided we receive written notification of the withdrawal by 18 July, 2008.
Enrolments for both series must be made at the same time by the closing date for the May written
examinations, and the August enrolment must be clearly marked "Provisional Enrolment".

TRANSFER OF EXAMINATIONS BETWEEN SERIES


Candidates may transfer from one written series to another in the same year free of charge provided
we receive written notification at least one month prior to the commencement of the series in which
the candidate was originally enrolled. A transfer fee of $55.00 will apply if less than one month’s notice
is provided. The AMEB (NSW) must be notified prior to the scheduled examination. It is not possible
to transfer examinations from one year to another under any circumstances.

Singing for Leisure and Saxophone for Leisure
Following the successful pilot in New South Wales, Victoria and Queensland, these syllabuses
have been revised and the AMEB is pleased to announce their national release. The revised
syllabuses replace the pilot syllabuses and from 2008 only the revised syllabuses as set out in the
2008 Manual of Syllabuses will be examinable. Singing for Leisure and Saxophone for Leisure
Grade Books, Level 1 (Preliminary to Grade 4) are also being released with the new syllabuses –
see PUBLICATIONS below.

Reviews
Cello and Singing
These two syllabuses are being reviewed during 2007 and 2008. Regular updates will be posted
on the AMEB Federal Office website as Federal Office progresses through the review process.

Harp
A literature review of the Harp syllabus will be undertaken during 2007 and 2008.

Music Craft
Following the successful release of Music Craft Level 1, the Federal Board has undertaken to
extend the Music Craft syllabus into Level 2 by developing Grades 5 and 6 of this syllabus. Please

syllabus.

Bassoon
A review of this syllabus will commence in the second half of 2008. Regular updates will be posted

General Syllabus News


Theory of Music
The Federal Board has authorised a number of changes to the Theory of Music syllabus, which will
take effect from 2009. During 2008, only the current syllabus structure will be examined. From
2009, only the new syllabus structure (including new Set Works) will be examined. One year’s
notice is hereby given of the changes to this syllabus.

The Federal Board has authorised the deletion of pianoforte-style harmonisation from Grade 3 and
Grade 4 Harmony to take effect from 2009. From 2009, candidates in Grade 3 and Grade 4 will
only be required to harmonise in four-part vocal style. During 2008, candidates in Grade 3 and
Grade 4 Theory of Music examinations may be asked to harmonise in either pianoforte or four-part
vocal style.

The works set for study in each grade (Set Works or Folk Tunes) are to be changed from 2009.
During 2008, only the works currently set for study will be examined. From 2009, only the new Set
Works or Folk Tunes will be examined. One year’s notice is hereby given of the withdrawal of the
pre-existing Set Works and Folk Tunes. The new Set Works for 2009 and beyond, together with

TEST REQUIREMENTS FOR CANDIDATES IN PRACTICAL EXAMINATIONS


General Knowledge Tests – Level 2 – Certificate of Performance
The Board has amended General Knowledge Tests – Level 2 to include Certificate of
Performance.

Note that the wording of the Guidelines has been modified in order to exclude Extra Lists from the
General Knowledge requirements. General Knowledge questions cannot be asked about Extra
List works. Only works in Lists A, B, C and D (where applicable) may be used as the basis for
General Knowledge questions.

REGULATIONS
Regulation 19(b)
Please note that the Federal Board has authorised a change to the wording of Regulation 19(b)
effective from 2008. Previously, candidates for Associate and Licentiate practical examinations
have had to fulfill the Theory or Musicianship Additional Requirement within a year of undertaking
the practical examination. The Federal Board has now removed this time limitation. Please refer
to Regulation 19(b) for details.

Regulation 19(d)
The Board has amended Regulation 19(d) – Recommended pre-entry levels. The Federal Board
has approved the inclusion of the Certificate of Performance amongst those awards for which there
are recommended pre-entry levels. Please refer to Regulation 19(d) for details.

EXTRA LISTS
The Federal Board has amended the requirements for all syllabuses with regard to Extra Lists.
From 2008, candidates will be required to prepare two Extra List pieces only from Grade 2 to
Grade 7, both inclusive. Extra List works are not required for Preliminary, Grade 1, Grade 8,
Certificate of Performance or Level 3 examinations.

CERTIFICATE OF COMPLETION
Level 2 of some syllabuses has been capped with an award called ‘Certificate of Completion’.
