Issue - Can we use manual number to enter new employee in the system for

rehire case?
Ticket No: SCTASK0039312(Ability to manual assign the EE ID#)
Resolution:

It is possible to use manual number other than auto generate number set up in the system for rehire
case where EE’s historical employment data is not migrated to SuccessFactors system. Please note
the following restriction before you can use this option.

1. You cannot overwrite existing employee number in SuccessFactors system. This option is
only for new employee addition where EEs previous employment data did not get migrated
to SF but you want to use old number as rehire number.
2. Employee with same First Name, Last Name, DOB, username and SSN should not exist in
SuccessFactors system for this import to work.

Recommendation is to identify EE as rehire but not migrated to SF system much in advance (during
Recruiting Process). If candidate has been identified as rehire, then EE migration can be done as
inactive EE using import function so that same number can be used.

Rehire Scenarios and Steps


Scenario 1 - Rehire case but EE does not exist in the system
Steps:

A) Recruitment Level:
1. Initial Step to Check the response of the candidate at the question

B) Data migration using import:

Import can be done before candidate is transferred from RCM to ONB, otherwise we will not be able
to use old number

 Go to Admin center-> Search “Import Employee Data”


 From Download template-> Select the “Basic Import Template”
 Fill the Excel with basic details of the employee like Employee ID, First Name, Last Name,
Date of Hire, Status of Employee as “Inactive”
Select the “Import Data” option, Upload the excel and click on “valid import file data”. If the
validation Successful upload the data into the System.

Further any help required you can reach to DXC.

C) Onboarding Process:

Before starting the process, we must do the initial check such as Date of Birth and SSN. The rehire
value select as “yes” if the candidate is a rehire. Continue with Usual process.

D) MPH process:

During the completion of MPH Process, HR team gets the “match” and it uses their original
ID#.
Scenario 2 - Rehire case but EE exist in the system
Continue with the same rehire process that you do in SuccessFactors system for this scenario. The
steps are documented as below. There is no need to do import process in this scenario as inactive
EE already exist in the system.

A) Recruitment Level:
1. Initial Step to Check the response of the candidate at the question

B) Onboarding Process

Before starting the process, we must do the initial check such as Date of Birth and SSN. The rehire
value select as “yes” if the candidate is a rehire. Continue with Usual process.

D) MPH process:

During the completion of MPH Process, HR team gets the “match” and it uses their original
ID#.
