Subject: Request for Clearance of Dues of Two Lost Files of Zone B

Respected Sir,

I hope this letter finds you in good health and high spirits. I am writing to bring to your attention a matter
of utmost importance regarding the clearance of dues pertaining to two files (File no 1491 & 1492)
amounting to Rs 200000/- from Zone B, which have been pending for quite some time.

Approximately a year ago, two crucial files from Zone B, concerning the purchase of iron sheets for the
repair of skip containers and the procurement of wheels & welding Electro Rod for handcarts, were
unfortunately misplaced. However, through diligent efforts and a stroke of fortune, these files were
recovered from late Qazi Adnan’s belongings/ bag, the former Fleet Officer.

Regrettably, despite their retrieval, the process of clearance has hit a roadblock. The current custodian of
these files, Finance Manager Jahangir, has been reluctant to move forward with their processing. His
hesitance stems from the argument that a considerable amount of time has elapsed since the files
were initially misplaced.

However, I firmly believe that the significance of these files cannot be understated. The purchases
detailed within them were essential for the operational efficiency and safety of our equipment and
infrastructure in Zone B. The delay in their clearance has not only caused financial discrepancies but
has also impeded the smooth functioning of our operations in the area.

Hence, I humbly request your intervention in this matter. Given the circumstances surrounding the loss
and subsequent recovery of these files, I appeal for your support in facilitating their swift clearance.
The files are currently in the possession of Finance Manager Jahangir, and I kindly request your
directive to him to expedite the necessary procedures for clearance.

Your attention to this matter would not only alleviate the financial burden but also reinforce the
efficiency and accountability within our organization.
