control in SAP Cloud

1 Introduction

During production processes, product quality can vary based on several distinctive characteristics e.g., semi-
finished material quality, machine efficiency, quality control at a particular process step etc. To differentiate
mentioned finished product quality in SAP we can use batches. There is a possibility that the feeling of what is
acceptable quality can vary from customer to customer. Also, it is very important to sell products based on
sorting strategy – the most common used strategies are FIFO (First In First Out) and LIFO (Last In First Out).
Their use varies by different industry branches. The other part is to handle ATP (Available To Promise) control
during batch determination, to avoid creating deliveries with batches already planned to sell.

The main goals to achieve were:

1. Set-up characteristics, which were measured by a quality technician.
2. Create a batch class, to store material quality information
3. Set-up batch search strategies and sorting sequence (FIFO)
4. Perform batch determination during DELIVERY CREATION

1.1 Create custom characteristics

In Manage Characteristics apps, create characteristic which meet your needs. For our case, we have additionally
created two technical characteristics that will store as follows:

1. Z_ASSIGNED → to store if batch is assigned to a dedicated customer

2. Z_NOTICE_FR → to store if the notice is in French or not

2 Creating, Changing, and Displaying Characteristics

Procedure

To create a characteristic:

characteristic names.

▪ Enter a change number if you want to create the characteristic using engineering change management.

▪ You can also copy the data of an existing characteristic. Use the pushbutton Create by copying .
Enter the name of a characteristic you want to copy.

▪ Confirm your entries.

1. On the Basic data tab page enter the most important control data for the characteristic.

You must maintain the basic data for all characteristics. All other screens are optional.

We need to establish the characteristic is visible and ready for input:

2.1 Create batch classes

In Create Classes apps, we can create batch class which stores batch characteristics relevant to it. We must
use batch class 023 – Batch.

2.1.1 Classes management

Indeed, classes allow to contain characteristics. Moreover, they also allow you to classify technical objects
according to your needs.

To manage classes in SAP, it will be necessary to use the following transactions:

• CL01: Create Class

• CL02: Change Class

• CL03: Display Class

• CL04: Delete Class

12
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

Mickaël QUESNOT © - Copyright

https://www.linkedin.com/in/mickaelquesnot/
13
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

In addition, each class must be defined according to its type.

Mickaël QUESNOT © - Copyright

https://www.linkedin.com/in/mickaelquesnot/
14
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

So, for our example, let's take the MSF class, whose description is MSF EXPORT. This is a class of type 023 –
Batch. Therefore, it will be assigned to product/material.

Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

Mickaël QUESNOT © - Copyright

16
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

Moreover, in the first tab "Basic data", you will find the general information of the class, such as its
description, its status, its validity date, its authorization parameters etc...

Mickaël QUESNOT © - Copyright

https://www.linkedin.com/in/mickaelquesnot/
17
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

As explained above, the class allows to contain one or more characteristics. Thus, in the "Char." tab, this is
where we will find the characteristics assigned to the class. In our example, we can see that our class contains
a 3 characteristics: LOBM_VFDAT, Z_ASSIGNED, Z_NOTICE_FR

2.1.2 Assign a technical object to a class

Finally, once the characteristic and class have been created, the class must be assigned to a technical object. In
our example, this is a class for product. So, let's go to a product and assign the previously created class Z_MSF
to it:

Note: it is possible to assign several classes to a technical object. In the upper table "Assignments" you can find
all the classes to which the technical object is assigned.

There are several ways to assign a technical object to a class. The first is to go into "modification" mode in the
technical object in question (here using the Manage Product to make a modification on a material). The
second possibility is to use the Manage Object Assignments apps, which allows to assign a technical object to
classes.

2.2 Create Sort sequence

In Create Sort Sequence APPS, we can maintain sorting sequence.

You can define sort rules for batch determination.

Key Features

The Master Data Specialist - Batch Data role can create and maintain sort sequences for specific
characteristics using the following apps:

• Create Sort Sequence

• Change Sort Sequence

• Display Sort Sequence

You define the characteristics according to which the system sorts the batches it
finds. You can define an ascending or a descending sort sequence for each
characteristic.

The sort rule characteristics must be characteristics or Standard Characteristics that

you have used for the classification of the batch. Exceptions: You can only use
LOBM_LGORT and LOBM_MENGE for sorting. The characteristics LOBM_MENGE
and LOBM_LGORT must not be contained in the batch class, otherwise sorting will
not work with these characteristics.

42
Mickael QUESNOT © SAP CLOUD PUBLIC EDITION

Use
In this step, you define strategy types for batch determination in Sales and
Distribution:
Example
You wish to use different batch search strategies for different combinations of
sales areas and sales document types. For this purpose, you create the
following strategy types:
• a strategy type with a selection class that uses the shelf life
expiration date as search criterion during batch determination
• a strategy type with a selection class that uses the goods receipt
date as search criterion during batch determination
• a strategy type without a selection class; this enables you to define
the selection class when you create the strategy record
Prerequisites
To be able to define strategy types, you must have defined the necessary access
sequences.
Standard Settings
Strategy types YB11 and YB12 are defined in the standard SAP system.

Define Sales and Distribution Search Procedures

Short Text
Define search procedures for batch determination.
Use
Each search procedure comprises all strategy types that can be used for a
particular combination of sales area and sales document type.
Prerequisites
To be able to define search procedures, you must have defined the necessary
strategy types.
Standard Settings
The standard SAP system contains search procedure YB0001.
Activities
To create a search procedure, proceed as follows:

1. Select New entries, and enter a six digit key beginning with "Z" as
well as a name for the search procedure.
2. Select Control and then New entries, and enter the strategy types
in the desired sequence.

Use
In this work step, you assign batch search procedures to the individual
combinations of sales organization, distribution channel, division, and sales
document type for which batch determination is to occur, and activate the batch
check.
Activities
1. Assign a search procedure to each combination.
2. Set the batch check indicator if you want the system to check all
batches entered manually.
Note

Batch determination in delivery

If a delivery is used without reference to a sales order, you must have done the
following in order to execute batch determination:
Defined the default order type for the delivery type:
• Configuration step: Define Delivery Types
Find this configuration step under Manage Your Solution ->
Configure Your Solution -> Supply Chain -> Delivery Management -
> Deliveries
• Assigned the default order type to a batch search procedure
