Addendum #4 – Questions and Answers

Below is the list of questions with answers that was received up to June 18, 2024.

1. Can you please list the pain points and challenges with the current SharePoint
sites?

We have very few sites and what sites we have are out of the box experiences.
Also please see Addendum #2.

2. Could you outline the tasks to be accomplished by the vendor during the period
of 2024?

Please see Addendum #2.

3. What are the key criteria for determining the effectiveness of the search
functionality within the sites?

User complaints.

4. How many SharePoint sites are currently in place?

Less than 12 being actively used.

5. Can you provide metrics on expected site traffic, including the number of users
and groups?

We do not have those details. Traffic will be limited to internal usage.

6. Do you anticipate the vendor needing to integrate any internal or external tools
with the SharePoint sites?

Unknown.

7. Who are the primary stakeholders collaborating with the vendor, and what are
their roles?

The Information & Technology Services department will be the main stakeholder
collaborating with the vendor. All other County departments will be interfacing
with ITS.

8. Is it required for the vendor to execute all tasks on-site, or is remote work
permissible?

Both are an option that are available to the vendor. Preference would be for
remote.

9. What are the requirements and expected deliverables for the period 2025–2027?

10. Are there any specific dashboard development requirements that the county
anticipates?

Unknown.

11. What are the expectations for ongoing support after the initial launch? Is this
requirement based on full-time equivalent (2080 hours per year) staffing, or
should the support be provided as needed?
