7. Roles and Responsibilities Framework

This document outlines the specific roles and responsibilities of each department or team in
relation to organizing and participating in meetings. It helps ensure that everyone knows their
duties and what is expected of them before, during, and after meetings.

Example:
The framework might detail tasks such as who is responsible for setting the agenda, taking
minutes, following up on action items, and facilitating the meetings.

Sample Roles and Responsibilities Framework:


HR Department:
- Schedule and organize monthly all-staff meetings.
- Prepare and distribute meeting agendas.
- Ensure meeting minutes are recorded and shared.

Finance Department:
- Lead monthly finance update meetings.
- Present financial reports and forecasts.
- Track action items related to financial decisions.

Logistics and Procurement:


- Facilitate logistics and procurement planning meetings.
- Discuss supply chain issues and procurement needs.
- Coordinate with vendors and suppliers.

Programs Team:
- Conduct monthly team sync meetings. (I will pick a date within every last week of the
month)
- Review program updates and challenges.
- Ensure alignment with organizational goals.

Projects Team:
- Organize project review meetings. (LEAD - Program Secretariat - weekly or bi-weekly as
needed) (monthly Area update meeting – MUST be before Program Team meeting)
- Update on project progress and milestones.
- Assign and follow up on project-related tasks.

These are a clear and structured approach to improve the meeting culture within the
organization.
