- The importance of having an effective recruitment, selection and incorporation system for
personnel in a shipping company.
Having an effective recruitment, selection and onboarding system is essential for the success of
any company, as it allows you to find and hire the right employees for each position.
An effective personnel recruitment, selection and incorporation system is essential to ensure the
success of any company, but it is particularly important in the shipping sector due to the technical
complexity and specialization of work in this field.
Additionally, turnover and fluctuating demand for employees in the shipping industry can make
the hiring process more difficult and costly, making it even more critical to have an effective
system.
A well-structured and effective system can help reduce hiring costs, minimize staff turnover,
increase productivity and improve employee morale. Furthermore, good personnel selection
ensures that the organization is made up of highly qualified professionals who can contribute to
success in the shipping industry.
- Methods and techniques for recruiting and selecting personnel in shipping companies.
Some common methods and techniques for recruiting and selecting personnel in shipping
companies include posting job offers on specialized maritime and logistics websites, as well as
conferences and fairs, and using personnel agencies specialized in the maritime industry.
Selection techniques may include interviews, practical tests, psychological evaluations,
background checks and references, among others.
There are several methods and techniques for recruiting and selecting personnel in the shipping
industry, such as:
- Posting job offers on employment websites and LinkedIn
- Search for talent directly through social networks and contacts
- References from current or former employees
- Telephone and face-to-face interviews
- Tests of technical and psychometric skills
- Verification of employment references and criminal records
It is important for both employers and candidates to have clear information about the
responsibilities and requirements of the position before making a selection.
Interviews and psychological tests can be carried out in various ways, and although there are
various options, the most common are the following:
1. Structured interviews: In these interviews, questions are prepared in advance to ask all
candidates in the same order and in the same way, offering equal opportunities to applicants.
2. Unstructured interviews: These are those in which there is no predefined script, under the
spontaneity of the moment, the interviewer selects the questions according to the information that
is obtained.
3. Mixed interviews: They combine the structure and questions of the structured interview, with
the flexibility of the unstructured interview, following a previously thought-out order and allowing a
certain form of improvisation.
4. Psychometric tests: These are tests that measure a specific ability, such as intelligence,
memory, creativity, personality, among others, such as the Battery of Differential Aptitudes
(BADyG) or the Minnesota Personality Inventory (MMPI).
5. Group dynamics: This is a test that consists of gathering a group of candidates and having
them interact with each other in order to observe how they behave in specific situations.
6. Role-playing games: These are tests that allow us to observe the negotiation, leadership and
conflict resolution skills, among others, that the candidates have through specific simulations.
7. Questionnaires: These are specific tests designed to measure personality, values and
decisions made in hypothetical situations, such as the Allport Values Scale or the Rotter Locus of
Control Test.
- Training and training of personnel in the shipping industry.
Ongoing education and training are critical to ensuring that shipping industry personnel have the
necessary skills and knowledge to carry out their jobs effectively and safely. This may include
safety training, technical skills, administrative and leadership skills.
The training and training of employees is vital in the shipping industry, they are critical due to the
complexity and risks of navigation. It is necessary to ensure that shipping industry personnel
have the necessary skills and knowledge to carry out their work effectively and safely. This helps
prevent and resolve problems, improve safety and increase efficiency.
Some training and training methods can be:
- Ground training in simulators.
- Practical learning on boats
- Safety, first aid and emergency management courses
- Equipment maintenance, navigation and operation courses
- Business and leadership development programs
Investing in education and training can improve employee satisfaction, reduce risks and ensure
quality of work in the shipping industry.
- Importance of an adequate induction and incorporation plan for new employees.
The proper induction and onboarding plan for new employees is essential to guarantee a
successful experience in the company and to ensure that new workers understand the culture,
values and policies of the company, and are equipped with the necessary resources to have
success. This may include reviewing employee handbooks, training on occupational health and
safety policies, on-the-job orientation, and introducing new colleagues and managers.
Induction helps speed up the adaptation process and increase employee effectiveness,
performance and retention. Some important elements of the induction and onboarding plan may
be:
- Introduction to the team and key personnel.
- Tour of the company and the boats.
- Delivery of manuals and policies.
- Health and safety training on board.
- One-on-one meetings with the supervisor.
The right induction and onboarding plan can improve employee satisfaction and contribute to
company success in the shipping industry.
Staff induction is an important process that takes place when a person joins a new organization
or company. Its goal is to provide the new employee with an overview of the company, its culture,
values, policies, procedures, requirements and expectations. An effective induction process can
help new employees familiarize themselves with their new work environment and reduce the time
needed for them to adapt and be productive.
Below are the steps that may be part of the staff induction process:
1. Pre-preparation: Before the new employee arrives, it is important for the human resources
department to prepare a list of all relevant documents, forms and policies that must be presented
and reviewed at the induction meeting. An adequate and comfortable space must also be
reserved to hold the meeting.
2. Welcome and introduction: The first thing to do in the induction meeting is to welcome the new
employee and introduce him to the work team. This is a good time to present the company's
history, values, mission, and any relevant information about its culture.
3. Visit to the organization: Once the team members have introduced themselves, it is useful to
take a tour of the organization's facilities so that the new employee becomes familiar with their
work environment. During the tour, you can point out the location of key areas, such as the
human resources department office, cafeteria, parking lot, etc.
4. Training in policies and procedures: The new employee must be informed about the rules,
policies and procedures of the organization. These policies may include dress code, attendance,
permissions, use of electronic devices, workplace safety, etc.
5. Presentation of the employee manual: At the induction meeting, the new employee must be
provided with a copy of the employee manual. This handbook should contain important
information such as benefits description, vacation policy, work hours, disciplinary procedures, etc.
6. Presentation of the department and position: The induction process must include a detailed
description of the position that the new employee will occupy. This includes a description of tasks
and responsibilities, job objectives, and performance requirements. It is also important to
introduce the department you will be joining and set expectations for their performance.
7. Setting expectations: To ensure that the new employee integrates successfully, expectations
must be set regarding their performance. This may include assigning a mentor or tutor for the
new employee, regular meetings to review their performance, and setting short- and long-term
goals.
8. Evaluation and discussion: The last step in the induction process is to evaluate how the
process has been and provide an opportunity for the new employee to have a frank dialogue
about their experience. It is important to listen to the employee's feedback and address any
concerns or questions that may have arisen during the induction meeting.
In summary, an effective staff induction is essential to ensure that the new employee successfully
integrates into their new organization and begins to be productive as soon as possible. By
following these steps, companies can establish a solid foundation for long-lasting and productive
working relationships.
Types of Training and Coaching
Training and training plans will be prepared and executed according to the following
classification:
Training and Familiarization Training
It is the initial event aimed at new officials and crew members incorporated into the Company. It
will be carried out within the induction process from the moment of effective incorporation. It
consists of an introduction to the GIS, the Company Policies, the Management Standards, the
GIS documentary base and the use of the corresponding Manuals. Special emphasis will be
placed on the SIG Manuals, Policies and those procedures directly linked to the functions and
tasks that the new employee will perform. The training will be established for each job position by
the Area Manager, in coordination with the HR Management. Subsequently, an induction receipt
will be given to confirm having received and understood the induction talk, in which the above
topics were explained.
General familiarization of ship personnel
At the time of boarding of the new crew member, the Captain personally or the person designated
by him will accompany him on a tour of the ship, safety equipment and main work places,
informing him of his tasks and answering any questions that the crew member may ask him. As a
record of the familiarization carried out with the personnel enrolled on board, Annexes III, IV and
VI will be used and signed, which will be filed on board and a copy will be sent to the HR
Management. Likewise, the familiarization carried out must be recorded in the Vessel Safety
Book. In this way, the new crew member ensures that they know the main safety measures, as
they are contained in the procedures and their main tasks on board.
The crew member must be aware that apart from their obligations with the Company, they also
acquire a commitment to comply with the laws and regulations and obey the appropriate orders of
the people they legally represent on board. Likewise, crew members can be called at any time to
respond to emergency situations, so they must always be prepared to go into service.
Familiarization for Deck Officers.
The new Deck Officers upon embarkation and before becoming responsible for their first watch,
must know the operational functioning of all the ship's navigation, steering and propulsion
equipment. For this, the company has provided Annex II
The Deck Officer on duty will be in charge of familiarization for the new Deck Officer who has just
embarked. If this is not possible, the Captain will designate another Officer for the task or he will
perform it himself.
As soon as possible, the Deck Officer(s) should read and understand the procedures for the
safety of navigation, as well as the Captain's standing orders.
Familiarization for Engineer Officers
The new Engine Officers upon embarkation and before becoming responsible for their first watch,
must know the operational functioning of all the engine equipment that will be in their charge.
The Engine Officer on duty will be in charge of familiarization for the new Engine Officer who has
just embarked. If this is not possible, the Captain will designate another Officer to carry out the
task.
Subsequently, the Engine Officer(s) must read and understand the procedures related to
engines, navigation as well as the Captain's standing orders.
Modalities of Training and Coaching Plans
The training and training plans will have the following modalities:
Training Plan Necessary for the System: The procedures considered for Familiarization and
Maintenance training, and the enabling courses for the system approved by Management, will be
part of this plan. (Ex. ISM Code, Tanker Safety, Quality Assurance, Internal Audits,
Environmental Management, ISPS Code, Occupational Health and Safety and theoretical and
practical training on board) Compliance with this plan will be an essential requirement. To this
end, in the month of December, the Operations Department will deliver to the captain of each
vessel the calendar and periodicity of training in the GIS and of drilling practices in accordance
with what is established in the training plan.
Mandatory Training Plan: Crew members must possess the necessary skills to efficiently carry
out their tasks and meet the objectives established by the Company. In order to ensure the
adequate development of the skills required on board, and whenever necessary, the Company
will send its officials to participate in training, information and specialization courses. These
courses will be mandatory and the company will cover 100% of the cost of the programs.
Optional Training Plan: Refers to training and coaching courses that were not defined as
mandatory by the Company, but are of interest for the professional development of the crew
members. Whenever they express their interest in participating in an event and the Company
considers it consistent with the development of their functions, it may authorize their participation
in those events. These courses must be included in the Annual Plan
In these cases the Company will pay 50% of the cost of the course and the remaining 50% will be
borne by the crew member. The Company may finance this cost in more affordable installments if
it deems appropriate.
Crew members who attend this type of courses must present the corresponding certificates and
complete the training reports, otherwise they must pay 100% of the value of the courses.
Needs Survey and Diagnosis of Training and Training.
The Human Resources Management will carry out annually, in coordination with the Operations
Management and the Captains, a diagnosis of the training needs related to the development of
the GIS.
To diagnose training needs, the following elements may be used:
- Competencies required by the jobs (Job Description - Position Manual)
- Survey of specific training needs through survey questionnaires
- Competency performance evaluations.
- Monitoring the results of previous training and coaching.
-
Based on the needs diagnosis, training and training plans will be prepared, which must be
approved by the Board of Directors. Internal or external courses must have evidence of
completion (attendance list or certificates)

METHODOLOGY
Before new employees start working, their incorporation into the company must be planned. This
includes assigning responsibilities and tasks, identifying necessary resources, and defining
objectives and expectations.
1- Induction: Induction is the process of familiarizing new employees with the company and
its environment. This includes information about the company's organizational structure,
policies, procedures and standards, as well as the presentation of team members and
available resources.
2- Training and education: Training and education are essential for the successful
incorporation of new employees. Opportunities for learning and development of skills and
knowledge necessary for the position must be provided.
3- Assigning a mentor: Assigning a mentor can help new employees integrate into the
company more quickly. The mentor should be an experienced and knowledgeable person
who can guide the new employee and answer their questions.
4- Performance Appraisal: Performance appraisal is important to identify opportunities for
improvement and provide feedback to the new employee. Clear and measurable
objectives must be established and periodic evaluations must be carried out to ensure
that they are being met.
5- Monitoring: Tracking the new employee's progress is essential for their development and
growth in the company. Constructive feedback and recognition for a job well done should
be provided.
In summary, the personnel incorporation methodology in a shipping company must include
careful planning, induction, training and education, assignment of a mentor, performance
evaluation and constant feedback and monitoring. This will help new employees integrate quickly
and effectively into the company and contribute to the success of the organization.

RESULTS
Increased employee retention: An effective onboarding methodology can increase employee
retention by ensuring new employees feel welcome and supported from day one.
Increased Productivity: Proper training and education can help new employees reach their
potential faster, which in turn can increase company productivity.
Improved work environment: By providing a welcoming and supportive work environment, new
employees can feel more committed to the company and be more likely to work as a team and
collaborate with their colleagues.
Improving the company's image: An effective onboarding methodology can improve the
company's image as an employer that is committed and respectful of its employees.
Reducing Turnover Cost: A proper onboarding methodology can reduce the cost of turnover,
which can be high for shipping companies due to the specialized nature of the industry and the
training required.
In summary, a successful onboarding methodology can lead to higher employee retention, higher
productivity, better work environment, improved company image, and reduced turnover costs. All
of this can contribute to the long-term success of the company.
PERSONAL CONCLUSION
The incorporation of personnel must be a rigorous and efficient process. A successful onboarding
methodology should include careful planning, induction, training, coaching, performance
evaluation, feedback, and constant monitoring.
The results of a successful onboarding methodology can be beneficial for both the company and
the new employee, including greater employee retention, increased productivity, a better work
environment, improved company image, and reduced turnover costs. By ensuring that new
employees are properly integrated into the company and feel welcome and supported, you can
contribute to the long-term success of the company.

GROUP CONCLUSION
A system of recruiting, selecting and incorporating adequate personnel is critical to the effective
operation of a shipping company. This project has demonstrated the importance of having a
system designed specifically for the needs of the company, which considers the technical,
psychological and operational requirements of the different jobs. Properly incorporating new
employees into the company culture and their responsibilities is essential to ensure success and
security in the company's operations.
