 The meeting started at 1400HRS with a word of prayer. The meeting was called
to order by the Chairman and introduced the agenda for the day.

Min. 1/June 8 2024: Reading and approval of previous minutes
 The previous minutes were read by vise secretary
 There being no objections, a motion was made for the minutes of the
previous meeting to be approved. Minutes were approved by Japheth
Kalama
 The minutes were seconded by Micheal Atonya.

Min. 2/08/June 2024:

Financial report
The treasurer took the floor and read the financial report as follows.
 As of 1st of June all members should be @ksh.55,000 (savings)
 18 members were at per with their savings.
 22 members have fully paid the boost (ksh.11,000)
 Boost- only 3 members are yet to complete payment of their boost.
 As passed during the GM 3 members were fined ksh.2,000 when the deadline elapsed

 One member is yet to contribute any amount towards welfare
Only 7 members were below ksh.1,000 contribution as the rest are

The treasurer noted that unitus bank charges were high and advised we open a different account.

Members agreed that we should open a different account and also follow the new guide lines of
the constitution on the chama groups.
The treasure and officials were tasked with the mandate.
Members Moses soine said we should focus on bank with better benefits.
Members agreed that unaitas will be the collection point of our savings and later we transfer to the
account we shall open.

Nb Treasure and the officials were tasked with opening the bank account.

 The treasurer highlighted the following requirements for opening a new chama account.
1. Members minutes
2. New guidelines of the constitution.

Clouse change. Members minuted that the official has the mandate to open another bank
account.

Other matters on contribution, the treasurer said members were behind contribution by even 3
months and it’s against constitution.
Members added the Clouse in our constitution that no members should be behind by more
than a month. That translates to ksh.2000/- and in line with the constitution, if member is in
default of this, he or she should get a warning letter.
Another Clouse was introduced, that all members served with warning letters should respond the
same by writing back to the secretary and explain the reasons for the default.

The treasurer explained that we have Members who are behind in contribution in both weeks and
boost.

 Members agreed to move the boost column to the savings.


 Members who were not up to date with the savings have up to end of June to clear arrears
and fines.
 Failure to which, if any member is behind the savings by 2000/- , will get a warning letter to
explain hence discipline measure to follow.
 Members have up to end month also to pay their fines, hence they treasurer will deduct the
amount from there savings.

Some members were of the opinion that punishment should be done to members who were
behind in contribution, e.g.,
A. Use of percentage calculations as we Share profits
B. Other suggestions were to deduct money when a member has an issue that requires our
help
Nb. There was no conclusion on the issue.

Members did not agree on formula of sharing profit on that issue, and sighted that we came
together as friends and we should help each other when one is down, he or she should be
helped.
However, members noted all members can be affected with issues but we should maintain the
rules of the chama but the members with issues should be dealt case by case.
Nb. Default cases should be dealt case by case or individually.

On the matter of investment, treasurer explained to members that the investment committee
exceeded the amount allocated of 1m.
Member Eric omollo noted that there was no proper communication for the action and the
committee needed to apologize to members.
Committee members apologized on the matter and explained that in future all members will be
added to the investment committee so that all communication can be seen by everyone.
It was agreed that all members to be added to the investment committee group for the purposes of
communication and any requirement for more funds can be discussed There.

Treasure requested that welfare money to be paid at the end on every month to allow him easy
time to update on the wall.

Ruracio:
Members agreed that every member to get Ksh. 1000/- for the event and all members to
contribute. The members to give a 3 months’ notice.

Death:
Members noted that the set amount in our constitution is 1000 for the demise of a member and
concluded it very little. However, members suggested we increase the amount to 100,800/- that
means every member to contribute 4,200/-.
The motion was put to vote and all members agreed to it.
Nb. Clouse changed. Death of a member is entitled to ksh. 100,800/-

Next of kin:
As per our constitution, the parents and in-laws’ death, members were contributing 1000, but after
discussion by members, the members agreed that incase of the demise of a member parents or
in-law parents, the contribution will be Ksh. 2000/-
Nb. Clouse changed. Parents demise contribution changed to Kshs. 2000/-

Definition of a next of kin.


Members agreed that the next of kin is not a member of the chama and can only receive payment/
dividends of a chama member incase of a demise of the member.
Incase of a demise of member, he or she will be given 100% refund of the savings and if the
chama has some investment, the net worth should be calculated at the current value and given to
the next of kin.

If the chama has an ongoing investment, the next of kin can be given the option of his or her share
being bought off or continue to receive the dividends. However, the next of kin cannot be a chama
member, but can only receive dividends of an ongoing project.
Nb. Member ceases to be a member on the demise.

Members also concluded that new members who join the chama are not entitled to benefit from
the projects and investment that are already established by members. He or she can only enjoy
investment created after he has joined the chama.

Members agreed that the welfare monthly contribution to remain at ksh. 500/- and should be paid
at the end of every month i.e., 30th of every month.
Welfare chairman said some members were not serious in the contribution and hence needed an
introduction of fines.
The members passed a fine introduction of ksh. 100/- incase of failure to contribute.
The chairman encouraged that every member should have a unaitas account, he further explained
that, incase of a demise of a member, the member benefits from ksh. 100,000/- paid to the next of
kin by the bank.
Members agreed that it’s mandatory to have a unaitas account.

Medical insurance:

Welfare Chairman stated that unaitas Sacco has no medical cover apart from the 2000/- accident
cover. This covers only death, accident and last expense.

Insurance matters will be discussed on our next meeting, and chairman to do more research on
medical insurance.

NHIF:
The members agreed that every member of chama should have active NHIF and should be
up-to-date…

General welfare:
Chairman raised the issue of having a moto for chama or a slogan.

Mental welfare.

Members should interact with each other and know of wellbeing of members and issues affecting
them.
