WelcometoHonitonRunningClub,anaffiliatedmemberofEnglandAthletics(EA),UKAthleticsand AssociationofRunningClubs(ARC).TheclubisundergoingaClubMarkaccreditationprocessandhas achievedtheUKAthleticsClubsFutureawarddemonstratinganefficientandeffectiveclub managementstructurewithdueregardbeingofferedtoallparticipantswithinthatstructure. Theclubisopentoallandwehopeyouenjoybeingapartofafriendlyandsociableorganisation.Our mainaimisthatyouenjoyyourself,beitasaroadorcrosscountryrunner,trackandfieldathlete, official,helper,coachorsocialmember.TheClubprovidesopportunitiesforeveryonetoachievetheir owngoals.PleasetellClubofficialswhatyouraimsareandwewilldoourbesttohelpyou.Wearrange andsupporteventsforcompetitorsofallstandardsandencourageyoutoparticipateinthem. Thispackisintendedtoprovidealltheinformationyouwillneedtoallowyoutogetthebestoutofyour membership.Itcanalsobeusedforreferenceduringyourmembershipandcanbeusedinconjunction withourwebsite,www.honitonrc.comwhichshouldhavethemostuptodateinformationofallclub matters. Theaimsandobjectivesoftheclubareto: a) encourageandsupportmemberstoachievepersonalgoals. b) promotetheRunning(andathleticswheredemandexists). c) offercoachinginrunningandathletics. d) toprovideopportunitiesthatarecentredontheindividualandopentoall. e) ensureallmembersreceivefairandequaltreatment,whethercompetingornoncompeting. Thepackissplitintofivesectionsdealingwiththewaytheclubisrun,membershipissues,itsactivities, policiesandfinallyasectionthatyoucanuseforyourownpersonalreferencecoveringCommittee contacts,competitions,websiteguidance,runningroutesandsocialevents. Ifyoufeelthereisanythingwehavemissedoutorcouldbebetterexplainedpleaseletamemberofthe Committeeknow(seelistatAppendixB).

1.TheClub
1.1Introduction
HonitonRunningClubwasformedin1999byamixedgroupoflikemindedrunnerswhosharedan interestandpassionforrunning.Ithasalargeactivemembershipofbothseniorsandjuniorstotalling about120atpresent,ofwhichabout25%arejuniors.Trainingsessions,socialrunsandfriendlycontests areamongtheregularweeklyschedule.DetailsareoutlinedinSection3.2.andalsoupdatedregularly onthewebsite. TheclubhasannualandseasonalClubonlycompetitionsaimedatalllevelswhichinclude: TheHandicapTrophy,a5kmrunbasedonindividualtimesovertheyear. ThePointsTrophy,basedonpersonalperformanceatlocaleventsandraces. TheclubalsohostsavarietyofracesintheHonitonareatheseinclude: TheHonitonHippo,atoughmultiterrainracewith7milesofMud,SweatandTears. TheHippoCalf,a1.75milemultiterrainfunrun/Juniorrace. TheHoniten,atenmileroadraceoveranundulatingonelapcourse.Thereisalsoafunrun associatedwiththisrace. ThebiannualSportRelief,ComicReliefandBBCSport'sfundraisinginitiativecovering1,3and6 milerunsthroughthestreetsandroadsofthetown. TheClubalsohostsoneoftheWoodlandRelayserieswherelocalclubsareinvitedtotakepart. Thisseriesisalsoappropriateforjuniormembers. Wealsoaimtocompeteinanumberofleaguesandothercompetitions.Membersaresupportedand encouragedtoentereventsasateammember.TheseincludetheaboveClubeventsand: TheWestwardLeague TheEastDevonCommunityRaceSeries TheYeovilTownRunningClubSummer5kmSeries WoodlandRelays
1.2Accounts
TheClub'sannualaccountsmustbeapprovedbytheAGMafterassessmentbytheindependentauditor. TheTreasurerprovidesbimonthlyupdatesatCommitteemeetings.Copiesoftheaccountsare availabletomembersonrequest.

1.3ClubStructure
TheClubisrunthroughamainCommitteecomprisingtheClubOfficers,theGeneralCommittee,and otherpoststhathavespecificresponsibilities.AllareappointedattheAnnualGeneralMeeting(AGM). MeetingsareheldmostmonthswithanAGMinMarch. Anumberofmanagementsubcommitteeshavebeenintroduced,whichmeeteverytwomonthsorat otherfrequenciesasagreed. ItisintendedthatthesegroupswilldealwiththedetailoftheClub'sbusinesswhereastheGeneral CommitteedealswithoverallmanagementoftheClubgivingsupportandguidancetothesub committees. Thesubcommitteesinclude: Juniors a well established and by far the largest subcommittee. The subcommittee has its ownSecretaryandLeadCoach.Itcoversallmembersuptoandincludingage16. RaceOrganiserstheseareindividualsorgroupsoforganiserswhoputonclubrunsandevents. AlistofCommitteememberscanbefoundinAppendixB.Alistofotherclubvolunteersisnot includedbutisavailablefromtheClubSecretary.Othervolunteersareusedtoassistorganisers ofclubracesandotherevents.

Thisformsthebasisofhowtheclubisrun,andisgiveninfullinAppendixA.
2.2MembershipFees
FeeswillbeagreedattheAGMeachyearfollowingarecommendationoftheGeneralCommittee.
2.3ClubKit
TheclubscoloursareBlackwithWhiteandRedperiphery. Therearecertaineventswherethecompetitionrequiresthewearingofaclubvest,particularlyfortrack andfieldleagueswhereitisusuallymandatory. KitcanbepurchasedthroughtheClubviathekitofficer,seeAppendixB Duringwintertrainingintheeveningsyouareadvisedandexpectedtowearreflectiveclothing,unless atthetrack.Forthejuniorsthisiscompulsory,butitemsareavailabletoborrow,otherwiseyouwillnot beallowedtoparticipate.

3.1ClubCompetitions
TheClubsmaineventsaretheHonitonHippoandtheHonitenthatalsoincorporateshorterJunior races.Thesearecontrastingracesthatvaryfroma7mileonandoffroadtrekacrossthehilly countrysideandaflat/undulatingroadrace.Theclubalsoassistsinotherraceslocallyincludingthebi annualSportReliefoffering1,3or6mileruns,localvillagefunrunsandcrosscountryraces. Thecluborganisesanumberofbothopenandmemberonlycompetitions.Theseareheldonregular clubeveningsforeitherclubmembersorlocalclubs.Examplesofsucheventsare(1)localwoodland relayraceswithotherlocalclubs.(2)Handicaprunsagainstyourownpersonalbesttimeonaset5k courseand(3)Predictarunsforasmallprizefortheclosestpredictiontoyourowntimeoverarandom course. TheAnnualGeneralMeetingincorporatesanawardpresentationofnumerousawards.Theseareforall typesofmemberachievementsandyearlyclubcompetitions.

Alltrainingnightsstartat6.30p.m.whenannouncementsandinformationisgivenbytheClubLeader oranotherclubmember.ThisisfollowedbytheClubRunofarangeofdistancesfrom3milesupto about8,extraloopscanalwaysbeaddedforthosewantinglonger.Runnersnormallysortoutgroups themselves,ornaturally,butgroupsbasedonpaceanddistancearesometimesformed.Itis encouragedthatfasterrunnersonthesameroutetrackbacktokeepthegroupcompact.SeniorNights aremainlyforseniors,butolderjuniors(16years+)arewelcometocomeforshorterruns.Allrunsare listedontheWebSiteCalendar;seeAppendix3and4forWebSiteandcalendarguidance.Regularclub nightsare: Monday:SeniorTrainingNight Tuesday:JuniorTrainingNight Wednesday:SeniorSocialRun Friday:SeniorRun Weekend:OrganisedlongrunsandRacedays

Brief descriptions of some of the events held throughout the year are given below. The committee welcomessuggestionsforsocialevents.Thesocialsecretary(s)willarrangeextraitemsthroughoutthe year,recenteventsincludeaSkittlesandpubeveningandatheatretripinLondon. TheAnnualGeneralMeetingisheldalongwiththeawardpresentationsduringspring.All membersarewelcomeandabuffetisfreeforallthatattend. DuringthesummerarunfollowedbyaBBQispopularandrepeatedifandwhenpossible. PubRunsarenormallyheldmonthlyonaWednesdaythroughouttheyear. AFireworkspartyisheldinNovemberwithdrinksandsnacksonoffer. 4.ClubPolicies
ItisthepolicyofHonitonRunningClubtosafeguardthewelfareofallitsmembers,particularlyitsjunior members.Tothisaim,Clubpolicieshavebeendrawnup;theyareemployedbyappropriatesectionsof theClubandcopiesareavailablefromtheSecretary.Theyaresummarisedasfollows:
4.1ChildProtection
HonitonRunningClubChildCarePolicyisprovidedseparatelytoallthoseadultmembersworkingwith children, The Welfare Officers oversee issues relating to working with children, considered as anyone undertheageof18years. Thekeyprinciplesareasfollows: Thechild'swelfareisparamount. Allchildren,irrespectiveoftheirage,culture,ability,gender,language.racialorigin,religious beliefand/orsexualidentity,havetherighttoprotectionfromabuse. Allsuspicionsandallegationsofabusewillbetakenseriouslyandrespondedtoswiftlyand appropriately. Workinginpartnershipwithchildrenandtheirparents/carersisessentialfortheprotectionof thechild. TheClubrecognisesthestatutoryresponsibilitiesofSocialServicesDepartmentstoensurethe welfareofchildren.
4.2.EquityPolicy
Thefollowingkeypointsshouldbefollowed: Theclubiscommittedtoensuringthatequityisincorporatedacrossallaspectsofits development.IndoingsoitacknowledgesandadoptsthefollowingSportEnglanddefinitionof Sportsequity: Sportsequityisaboutfairnessinsport,equalityofaccess,recognising inequalitiesandtakingstepstoaddressthem.Itisaboutchangingtheculture andstructureofsporttoensureitbecomesequallyaccessibletoeveryonein society Theclubrespectstherights,dignityandworthofeverypersonandwilltreateveryoneequally withinthecontextoftheirsport,regardlessofage,ability,gender,race,ethnicity,religious belief,sexualityorsocial/economicstatus. Theclubiscommittedtoeveryonehavingtherighttoenjoytheirsportinanenvironmentfree fromthreatofintimidation,harassmentandabuse. Allclubmembershavearesponsibilitytoopposediscriminatorybehaviourandpromote equalityofopportunity. Theclubwilldealwithanyincidenceofdiscriminatorybehaviourseriously,accordingtotheclub disciplinaryprocedures.

Honiton Running Club is fully committed to safeguarding and promoting the wellbeing of all its members. The club believes that it is important that members, coaches, administrators and parents associatedwiththeclubshould,atalltimes,showrespectandunderstandingforthesafetyandwelfare of others. Therefore, members are encouraged to be open at all times and to share any concerns or complaintsthattheymayhaveaboutanyaspectoftheclubwiththeanymemberoftheCommittee, Coaches or another official of the club. As a member of Honiton Running Club, you are expected to abidebytheappropriatecode(s)ofpractice:
5.1Codeofpracticeforcoaches,clubofficials&volunteers
Considerthewellbeingandsafetyofparticipantsbeforethedevelopmentofperformance. Develop an appropriate working relationship with participants, based on mutual trust and respect. Makesureallactivitiesareappropriatetotheage,abilityandexperienceofthosetakingpart. Promotethepositiveaspectsofthesport(e.g.fairplay). Displayconsistentlyhighstandardsofbehaviorandappearance. FollowallguidelineslaiddownbytheNationalGoverningBodyandtheclub. Holdappropriatevalidqualificationsandinsurancecover. Neverexertundueinfluenceoverperformerstoobtainpersonalbenefitorreward. Nevercondoneruleviolations,roughplayortheuseofprohibitedsubstances. Encourageparticipantstovaluetheirperformancesandnotjustresults. Encourage and guide participants to accept responsibility for their own performance and behaviour.
InadditioncoacheswillhaveagreedtoadheretotheCoachesCodeofConductbysigningtheir coacheslicence.
5.2CodeofpracticeforJuniorMembers
Allmembersmustplaywithintherulesandrespectcoaches,helpersandtheirdecisions. Allmembersmustrespecttherights,dignityandworthofallparticipantsregardlessofage, gender,ability,race,culturalbackgroundorreligiousbeliefsorsexualidentity. Membersshouldkeeptoagreedtimingsfortrainingandcompetitionsorinformtheircoachif theyaregoingtobelate. Membersmustwearsuitablekitfortrainingandcompetitions,asagreedwiththecoaches. Membersmustpayanyfeesfortrainingoreventspromptly. Juniormembersarenotpermittedtosmokeatthecluborwhilstrepresentingtheclubat competitions.

Juniormembersarenotallowedtoconsumealcoholordrugsofanykindatthecluborwhilst representingtheclub.Theconsumptionofdrugsbyanyathletecanleadtobeingbannedfrom thesport. Juniormemberswhosebehaviorisunacceptablewillbewarnedandparents/carerswillbe informed.Persistentpoorbehaviorwillleadtolossofmembership.

Encourageyourchildtolearntherulesandplaywithinthem. Discourageunfairplayandarguingwithofficialsandleaders. Helpyourchildtorecognizegoodperformance,notjustresults. Neverforceyourchildtotakepartinsport. Setagoodexamplebyrecognizingfairplayandapplaudinggoodperformanceofall. Neverpunishorbelittleachildforlosingormakingmistakes. Supportyourchildsinvolvementandhelpthemtoenjoytheirsport. Encourageandguideperformerstoacceptresponsibilityfortheirownperformanceand behavior. Ensurethatyourchildisproperlyequippedforactivities. Usecorrectandproperlanguageatalltimes. Publiclyacceptofficialsandleadersjudgmentsanddonotenterintoargumentsinpublic. AppendixA:ClubConstitution
1. Title ThenameoftheClubisHONITONRUNNINGCLUB 2. Headquarters TheheadquartersoftheClubisatHonitonSportsCentre,SchoolLane,Honiton,Devon. 3. Objective TheobjectoftheClubisthepromotionoffitnessthroughrunningbyprovidingfacilitiesand encouragingparticipation. 4. Management TheManagementoftheClubisvestedinaclubmanagementcommitteeconsistingofaPresident, officersi.e.Chairman,Treasurer,Secretary,ClubCaptainandothermembers;alltobeelectedannually. Additionally,theclubmanagementcommitteeshallincludeasecretarytothejuniorssection(Juniors secretary)alsoelectedbymembers. TheJuniorssecretarywillhaveresponsibilityforthedaytodayadministrationofthejuniorssectionand reporttotheclubmanagementcommitteeatthebimonthlymeetings. AminimumoftwoCommitteeofficersandthreeordinarycommitteemembersarerequiredtobein attendancetoformaquorumatcommitteemeetings.TheCommitteehasthepowertofillanyvacancy whichmayarise. 5. Membership MembershipoftheClubisconfinedtoAmateursasdefinedbytheBritishAthleticFederationinthe B.A.F.RulesforCompetitionbook.Theclubisopentothewholecommunitywithoutdiscrimination. Theclubyearwill,foralladministrativeissues,commenceontheAprilthe1steachyearandendon March31st.Thereforemembershipsubscriptionrenewalwillbedueonthe1stdayofAprilannually. Athleteregistrationfeesarealsodueatthistimeunlessthememberhasoptedoutofthescheme(See rule7). Individualswishingtoapplyformembershipmustcompleteanapplicationformandtopassthiswith theirsubscriptiontotheTreasurerwhowillregistertheapplicantandissueamembershipcard.Incases ofdoubt,thematteristobereferredtotheChairman. InordertoenabletheprospectivemembertobeabletotakepartinClubTrainingNightssafelyand withoutprejudicingthesafetyofanyothermember,itisnormallythecasethathe/shewillwear appropriateclothingsuitablefortheambientweatherconditionsandtoensurevisibilitytomotorists andpedestrians.
FamilyMemberAdiscountedmembershipfeeispaid,buthasthesamebenefitsasaFullMember. StudentMemberMembers16yearsorolderbutunder18yearsand/ormembersinfulltime educationpayareducedfee,butenjoythesamebenefitsasaFullMember. JuniorMemberAmemberagedlessthan16yearsofageandattendingformalcoachedsessionson thenominatednighttrainingnight. AssociateMemberNoncompetingmemberspayareducedfeeandbenefitfromclubinsurance. Associatemembershavenovotingrightsinclubelections.TheAssociatemembershallnotbeentitled toserveontheclubmanagementcommitteebutmaybecooptedtoadviseorassistinareaswhere theyhaveexpertise. LifeMembershipThisisgiveninrecognitionofoutstandingservicestotheclubasdefinedfromtime totimebytheclubmanagementcommittee.Nominationsmayalsobemadebyanyfullmembertothe clubmanagementcommitteeforconsideration.InreviewingsuchnominationstheCommittees decisionshallbefinal. 6. Resignation AmemberintendingtowithdrawfromtheClubshallgivenoticeinwritingtotheHonorarySecretary, andhis/hermembershipterminatesonthedateofthatnoticeunlesshe/sheisfinanciallyindebtedto theclub,inwhichcasetheCommitteemaywithholdacceptanceoftheresignationuntilhe/shehas dischargedhis/herliability.AMembernothavingtenderedhis/herresignationpriortothe1stofApril shallbeliablefortheensuingyear'ssubscription. 7. Subscription TheAnnualClubSubscriptionof12,thefullrate,ispayableonelectionandsubsequentlyonthe1stof Aprileachyear.ThemembershipfeewillbereviewedannuallyattheAnnualGeneralMeeting.The membershipfeechargedforNEWmembersjoiningafterOctober1st,may,atthediscretionofthe committee,bereduced. ItshouldbenotedthatinadditiontotheclubsubscriptionfeestherewillbeanEnglandAthletics(The GoverningBody)Athletesregistrationfeewhichwillvaryfromtimetotime.Thisfeeispayablebyall gradesofmemberwhowishtocompeteinEnglandAthleticsevents.Theclubdoesnotbenefitinany wayfromthecollectionofthisfeeandtheindividualdoeshavetheopportunitytooptoutofthe Athleteregistrationscheme.Detailsoftheimplicationofoptingoutmaybeobtainedfromtheclub secretaryorEnglandAthletics.Allsurplusincomeorprofitsaretobereinvestedintheclub.No surplusesorassetswillbedistributedtomembersorthirdpartieswiththeexceptionofdonationsto charitiesortootherclubsthatareregisteredascommunityamateursportsclubs.
i. TheCommitteeshallhavethepowertoexpelanymemberwhosesubscriptionistwelve monthsinarrearsprovidedonemonth'snoticeinwritingshallhavebeensenttosuch memberbyaregisteredorrecordedletter,addressedtohis/herlastknownaddress, informinghim/heroftheproposedactionoftheCommittee". ThenameandaddressofanypersonsoexpelledfromaClubintheSoutherndistrictshallbe senttotheSouthofEnglandAAwhoshallenterhis/hernameinabook(tobecalled"The SuspensionBook")tobekeptforthatpurpose.Everypersonwhosenamehasbeenso enteredinaBlackBookshallbesuspendedfromcompetingatanymeetingheldunder FederationRulesuntiltheliabilitycausinghis/hersaidexpulsion,whichshallnotexceedone year'ssubscription,shallhavebeendischarged.Nomemberwhosesubscriptionisinarrears iseligibletotakepartinanycompetitionpromotedbytheclub.

MembershipRates FullMember FullRate 2.5timesthefullrate(notapplicabletojuniorsundergoingcontinuous coachingwhereadhocchargesmayapply). 2/3oftheFullRate(Roundeduptothenearest50p). paystheathletesregistrationfee&clubmembershipfeecombinedplusan additionalfixedfeepersessionassetbythejuniorscoachingteamsubjectto endorsementbytheclubcommittee. 1/3oftheFullRate(Roundeduptothenearest50p)noAthleteregistration feeispayable assumingtheassociatedoesnotwishtocompeteatEAevents. 8. GeneralMeeting TheHonorarySecretaryshallgivetoeverymemberatleast7daysnoticeofthetimeandplaceofa GeneralMeetingalongwiththebusinesstobedealtwithatanysuchmeeting. 10. SpecialGeneralMeeting
ASpecialGeneralMeetingmustbecalledbytheHonorarySecretarywithin14daysofthereceiptby him/her,ofarequisitioninwritingsignedbyatleasttenmembersoftheClub,statingthebusinesstobe broughtbeforesuchameeting. 11.
