Dear Ms. Anne Clariene A. Caburnay,

Welcome to ASEAN Youth Advocates Network Global! At AYAN, we


recognize your immense potential, the impactful contributions, and your passion
for youth advocacy to enhance the well-being of our vibrant ASEAN community.
Your dedication is a valuable asset that will undoubtedly contribute to positive
change on a global scale.

The ASEAN Youth Advocates Network is an international youth-led,


non-profit, socio-civic and non-governmental organization established to pave
the way for the ASEAN youth to experience involvement in their localities through
a series of advocacy-based initiatives. The organization is considered a family of
ASEAN youth in ASEAN and ASEAN member-states, and it is composed of
sustainable and innovative ways of nurturing the betterment of the ASEAN
community through the coalition of organization members and individuals.

In lieu of this, the following are the terms and conditions that you will need
to act in accordance with:

1. As a bonafide member of AYAN Global, you will actively join the ASEAN
Youth Advocates Network in embodying its mission and vision, and
strengthen the level of awareness, knowledge, volunteerism, and
understanding of advocacies towards sustainable development in your
respective communities.
2. You are expected to perform the volunteering role(s) to the best of your
ability, to maintain confidentiality in the workplace and its clients, to meet
the time commitments and standards undertaken, other than in
exceptional circumstances, and provide reasonable notice so that
alternative arrangements can be made.
3. You are expected to abide by the organization’s Constitution and By-Laws.
4. Termination of Membership
a. Process of Pull Out upon Request
i. Honorable dismissal from AYAN Global occurs in the following
conditions:

1. Voluntary exit or resignation.


2. Exit requests can only be approved upon the endorsement
of the Head of Member Relations.

ii. Dishonorable dismissal from AYAN Global occurs in the following


conditions:
1. Forced dismissal due to misconduct or disciplinary sanction.
2. If a committee head or director of AYAN Global is subject to
a dishonorable dismissal, they will undergo a stricter due
process which includes an official hearing by the deliberative
assembly for careful deliberation of the Global Council before
their dishonorable dismissal is approved.
3. The requesting member of AYAN Global had previously
taken an oath whose terms require the member to serve the
organization for a fixed period of time.
4. In higher-ranking positions such as directors and deputy
directors, exit requests for voluntary resignation or honorable
dismissal are immediately rejected. Withdrawal from the
organization entails dishonorable dismissal as per the oath’s
terms.

b. Process of Dismissal with Notice


i. Warning for dismissal and/or eligibility for demotion from AYAN
Global occurs in the following conditions:
1. Completely out of communication with AYAN for three (3)
months;
2. Disclosure of AYAN files to individuals outside the
organization;

c. Process of Immediate Dismissal Without Notice


i. AYAN Global has the authority to immediately terminate
membership in the occurrence of any of these conditions:
1. Commits an intentional material act of fraud, theft, or
embezzlement against the organization;
2. Breach of Confidentiality and failure to cure the said breach
in one (1) week.
5. This Document will serve as the Membership Agreement identifying the
arrangements between the ASEAN Youth Advocates Network and the members
in relation to their voluntary work. This agreement intends to orient and indicate
the volunteer’s commitment to do the best they can to make their volunteer
experience at AYAN Global a positive and rewarding one.

6. This agreement may be amended, changed, or modified only by an instrument


in writing, signed by you and an authorized representative of the organization,
which expressly states that it is an amendment to this agreement. In addition, you
and AYAN hereby declare that there are no oral or other agreements or
understandings affecting this agreement. This agreement supersedes all previous
agreements between you and the organization. Your signature at the space
designated below will denote your understanding and acceptance of, and
agreement to, all of the above, which you also acknowledge having been fully and
thoroughly explained to you. Your signature also signifies that you hereby agree
and consent for AYAN to collect and process your data and other forms of
documents that you have accomplished or provided for your membership,
pursuant to the Data Privacy Regulations and other relevant laws and issuances.
