Request for Proposal


“The LNM Institute of Information Technology, Jaipur is a Deemed to be University, setup as a
Non Profit Making institute located at Gram-Rupa Ki Nangal, Post-Sumel, Via-Jamdoli, Jaipur,
Pin 302031 Rajasthan, under the joint venture of Government of Rajasthan and Lakshmi & Usha
Mittal Foundation.

The institute invites proposal from competent vendors for “supply & installation of Lecture Hall
Furniture” in the campus. Bidders can submit their sealed offer/s at the following address by
Speed-post/Registered Post/By-hand (but not by Courier) before 05:00 PM on 30.04.19

Separate Technical and commercial bids shall be submitted to the undersigned before the time
and date given above:

Brief Description of Work:


To supply & install “Lecture Hall Furniture”, at the LNMIIT campus with the details given in
annexure A.

Availability of Tender Form:


1. The proposal documents can be obtained from “Finance & Purchase Office” of “The
LNM Institute of Information Technology, Rupa ki Nangal, Via Jamdoli, Jaipur, on the
payment of tender fees of Rs. 1000.00, plus applicable GST (total Rs. 1180).
2. Proposal form can also be downloaded from the institute’s website. In this case, a DD of
Rs. 1180.00, drawn on the name of “The LNM Institute of Information Technology”
payable at Jaipur is required to be enclosed with the technical bid.

Eligibility:
Bidder must ensure his eligibility before applying for the tender and submit necessary proofs in
support of the eligibility conditions.
1. The bidder must have completed successfully minimum 3 orders of minimum value Rs. 25,
00,000.00 (Rs. Twenty Five Lakhs) each within past three years. Bidder should attach copy
of work orders or invoices in support.

Technical & Commercial offers shall be enclosed in a separate envelope, which shall be
clearly marked as “Bid for Lecture Hall Furniture”.

Technical bid shall include (sealed in separate envelope):


 Copy of the design of the offered furniture as per the specification provided.
Responsibility of owner:
 Owner shall provide free of cost electricity and water at one point for the installation of
the building. However, bidder to ensure proper utilization of resources and no wastage is
done. Bidder shall make his own arrangement to draw the water and electricity lines to
the exact location of work.
 Owner shall provide space, free of cost for proper staking of the material for installation.
However, it shall be the bidder’s responsibility to ensure its safety and timely removal of
the spare material, within a week after completion of work.
 Owner shall ensure that the site clearance is provided for installation to the vendor as per
the schedule provided by the vendor.

Responsibility of bidder:
 Bidder shall facilitate owner’s visit, if demanded by the owner, to the site/s, executed/in
progress by the bidder.
 Ensure safety of the material and property of the institute, during the installation works.
 Ensure removal of the excess material, packaging material, debri etc from the site within
07 days from the completion of work.
 Bidder must supply a sample of the offered product which shall be supplied to the
Institute if approved with requisite changes.
 Ensure that the supply and installation is done as per the satisfaction of site in-charge
within the schedule of 45 days from the date of order.

Financial bid shall include (sealed in separate envelope): Bidder shall place his price bid,
including all relevant terms & conditions. Price bid shall include:
 Sheet as per annexure B including all taxes and levies from various government
agencies.
 Complete job required for supplying & installation of the furniture.

Nothing extra shall be paid for any item other than the quoted price.

Annexure A

Detail of Lecture Hall Furniture

Lecture Hall Chairs- with wooden seat and back, fixed writing board,
Under Structure: Shall be made of epoxy polymer powder coated horizontal legs of size 2" X
1" MS pipe of 16 gauge thickness, vertical round legs of 2" diameter, the main frame is of 1.5" X
2.5" MS Pipe of 14 gauge.
Book Tray: shall be provided with 15 mm dia pipe books tray of 16 gauge pipe connected with
the main frame. 18 mm pipe with the chair (All above mentioned pipes are 16 gauge thick) the
main frame is however 14 gauge thick.
Seat & Back: The seat and back are 12 mm thick compresses ply covered with veneer covering.

Seats shall be manufactured in sets of 2 or 3 seats as per the architectural design.

Note: Quoted prices shall be inclusive of all taxes, transportation, loading/unloading, transit
insurance, storage, handling and installation in lecture halls at all floors, of the items as per the
instruction of the site in-charge.

Other tender and Conditions:

1. Bid should be submitted for F.O.R delivery at the destination i.e. The LNM Institute of
Information Technology, Gram – Rupa Ki Nangal, Post – Sumel, Via – Jamdoli, Jaipur-
302031
2. Bid should be valid for a minimum period of 30 days.
3. The LNMIIT reserves the right to reject any quotation(s) without assigning any reasons.
4. Payment terms shall be mutually decided.
5. There should not be any conflict of interest.
6. Bid should be on company’s letterhead.
7. Period of delivery is of 45 days.
All charges applicable shall be clearly mentioned with the offer. If nothing is mentioned in the offer, the quoted price shall be treated as final and
nothing extra shall be paid extra.
