All 7 villages had representatives and they were represented as follows:

Mlambathema had 5 representatives.

Sibambene had 6 representatives.

Ekuthuleni had 8 representatives.

Sibangane had 5 representatives.

Ntabemnyama had 10 representatives.

Ntola had 8 representatives.

Bulawayo had 7 representatives.

MATTERS ARISING.

1. RESOURCE MOBILIZATION.
 COMMITTEE CHAIRPERSONS: A J MOYO, A NXUMALO AND CLLR C SIBANDA.
 A total of US$40, 123RANDS, 27kgs of maize, 1kg of sugar, 48kgs of mealie-
meal, 2kgs of salt, 1bar of soap, 500grams of surf and 4boxes of matches had
been gathered by the committee chairpersons from the community.
 Mr Khumalo suggested that the committee should have been given a target
from the start.
 E Mayihlome opted that the donations were too small to come from all 7
villages.
 A total of US$2 500 as proposed by a community member as suggestions
stated that to be guided successfully, calculations must be done based on all
the necessities needed for the function.
 The DDC opted out that the community should come up with an amount
ranging from US$1 200 to US$1 500.
 Raised was an issue of not having enough donation forms.
 One of the committee chairpersons Cllr C Sibanda complained about the
donation as some households were said to be donating 5rands.
 In order to reach the target it was suggested that donations should start from
dollar per household.

2. CATERING
 COMMITTEE CHAIRPERSON: EVANS BHEBHE
 Committee member were advised to each bring a dollar.
 Nearer community members to help with pots and other necessary utensils.
 The committee has acquired 2 scotch carts of firewood and Mr E Mayihlome
promised to donate some firewood if there is transport.
 Suggestions stated that there should be more serving points that would be
equivalent to the number of villages present as each village must have their
own serving point.
 A total of 9 feeding points were opted by the DDC.
 The catering committee is to engage with the health committee for hygienic
training and testing of any kind of skin disease.
 2 water reserve containers are needed to balance the 2(2 500litre) jojo tanks.

3. TRANSPORT AND LOGISTICS.


 COMMITTEE CHAIRPERSONS: ABNERI NDLOVU AND LAWRENCE NDLOVU
 Pick up points must be identified.
 Vehicle requests to ferry the function attendees.
 The committee to meet and discuss how transport may be acquired.

4. ENTERTAINMENT
 COMMITTEE CHAIRPERSON: MPIKAYIPHELI MAGADLELA
 A team of soccer and gymnastics from the school.
 Cultural dancers from the community.
 A musical artist based in ward 4 asked to come and showcase his talent on
the day.
 The committee chairperson to monitor all the entertainers so that they don’t
fumble on the day.

5. USHERING, SECURITY AND PROTOCOL


 COMMITTEE CHAIRPERSON: YAMKELA NDLOVU
 The ushering team is in place.
 Corsages will be needed to differentiate the VVIPs from the public.
 2 ushers to come from each village.
 Ushers to be given a programme and kit to avoid hiding.
 The ushering team to work with the security and protocol team to come up
with a program being guided by national program.
 ZRP to be in charge of security for the district level.
 The local security committee chairperson opted to use amapholisa esigaba
for protocol and safety.

6. VENUE AND DECO.


 COMMITTEE CHAIRPERSON: SIPHIWE SIBANDA
 All the decoration material and the decorator have been acquired the only
challenge encountered is transport.
 Decorations to start on the 17th of April.
 An electric cable is needed to transport electricity from the classrooms to the
venue.
 The committee was given a task to look for P.A system and a standby
generator in case there is no electricity on the day.
 About 260 chairs have been requested.
 2 tents requests have been sent to Mbalabala, 1 to UAN and 1 to ZACH.
 Tents to accommodate about 650individuals.

WAY FORWARD.
 The chairman emphasised that committee chairpersons should work on
covering the gaps presented.
 The roads needs grading
