STOREKEEPER
Médecins Sans Frontières (MSF) is an international medical humanitarian organization working in more than 70 countries
worldwide. We deliver emergency medical care to people affected by armed conflict, epidemics, healthcare exclusion and
natural or manmade disasters. MSF first worked in Bangladesh in 1992.

Main Purpose
Executing the stock management activities (receipt, storage, and issuance to projects or other departments of medical supplies,
food items, spare parts, tools, equipment and/ or other logistics materials), according to the line manager’s instructions and MSF
standards and protocols, in order to ensure the overall functioning of MSF activities

Accountabilities
• Supervising materials and goods orders and dispatch in order to ensure its rational use.
• Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in
accordance with the system in force in order to ensure continuous availability.
• Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and
controlling the cold chain-monitoring card
• Storing materials in accordance with the system in force in order to ensure continuous availability ensuring that all items are well
organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
• Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of
“sensitive” goods: numbers of lots, expiry dates, packaging and special storage conditions
• Preparing orders on time before sending goods, and packs (according to transport means) weighs and labels freight with
corresponding shipping number, destination, number of shipping units, way bill number, weight and mode of transport in accordance
with the line manager’s instructions
• In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined.
Following up stock levels with regards to alarms thresholds, stock out and expiry dates.
• Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing
the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or
theft in the warehouse.
• Assisting the line manager with preparation of the stock reports
MSF Section/Context Specific Accountabilities
 Update inventory databases regularly to track stock levels and replenishment needs.
 Conduct routine stock checks to prevent discrepancies and ensure accuracy.
 Receive incoming shipments, verify contents and store accordingly.
 Efficiently organize warehouse space and implement labelling & categorization systems for easy retrieval.
 Monitor product shelf life and conditions to prevent distribution of expired or damaged items.
 Maintain detailed records of stock movements and generate regular inventory reports.
 Coordinate with supply officer to forecast and plan stock replenishment.
 Liaise with internal departments or customers to fulfil spare parts requests and resolve queries. Collaborate with
purchasing/supply officers to enhance processes and efficiency.
 Communicate inventory status and warehouse operations effectively with team and superiors.
 As per the instruction of line manager or officers who are above hierarchically, liaise with vendors to obtain quotes,
negotiate prices, and ensure timely delivery of goods.
 Maintain meticulous stock IN/OUT records using Excel and Unifield application and support in warehouse monthly
reporting.
 Optimize the software’s provided by MSF.
 Ensure accurate reception by 3 way matching of any shipment either from supplier or APU and arrange deliveries to
projects.
 Performing any other tasks within the scope of this role, as directed by line manager, section head and according to the
needs of the mission.
 Adhere to MSF policies, procedures, and guidelines for purchasing and warehousing activities.

Essential requirements

Education Literacy essential.


Desirable secondary education and warehouse management related studies.
Experience Previous experience as storekeeper desirable. NGO experience a plus

Language Local language essential. Spoken English desirable


Essential basic mathematics and use of measuring equipment’s.
Knowledge Desirable computer literacy (word, excel).
Desirable ability to do basic repairs.

Position details
 12 month- contract renewable based on performance and operational needs. Salary according to level
Four (4) of the internal MSF salary grid (BDT 47500 Gross). Salary is non-negotiable. Income tax
Contract and deduction from salary based on current income tax rule.
Benefit  2 annual leave days per month worked.
 Medical insurance for employee and direct dependents based on Health Care Policy- Locally Recruited
Staff.
Others There will be no provisions for relocation.
