BACKGROUND CHECK The Background checks will be initiated by our Background Check Partner HireRight.

• Post offer acceptance you will receive an email with the subject line Dell Technologies:
Prepare for Your Background Check. This email will provide helpful tips to assist you with
your submission of your background profile in the HireRight portal.

• Please ensure to keep the soft copies of the below list of Documents for Background
Check to enable timely submission & completion:

1. Employment Verification: Verification will be conducted for most recent employment (1


Current/recent). In case the organization has been shut or the verification cannot be done, you
will be required to submit Form 16 or PF statement for the duration of employment.
2. Education Verification: Highest Education Qualification Degree/Certificate.
3. ID Documents: PAN or Aadhar or Passport (mandatory for foreign nationals)

• You will also receive an email from CustomerServiceIndia@hireright.com inviting you to


submit your background profile. If you do not receive this email in 48 hours of offer
acceptance, please intimate your recruiter.

• Please note that the link within the invite email will expire within 7 calendar days.

• Your background check could take 15+ business days to complete, subject to submission of
all the required documents.

• Your onboarding date could get impacted if the background checks are not completed.
Please ensure timely submission of documents & responses to queries from the
background check partner.

WORKDAY • Post initiation of background checks, you will receive the Onboarding tasks within
ONBOARDING TASKS 5 business days.

• As part of Onboarding tasks, you will have access to Virtual New Hire Orientation.

• You will receive 3 emails from “Dell MyHR <noreply@dell.com>” with details to login to
your onboarding tasks.
1. Onboarding invitation email with Workday link
2. Email with Username for logging into Workday
3. Email with Password for logging into Workday

• Log in to complete your required onboarding tasks at the earliest (otherwise this can
impact your start date, pay and benefits).

• Please do note that you will also receive a link with a unique credential over mail for you
to connect with our HR Chat team who can answer any queries you may have related to
the onboarding process. You can also reach out to our HR Chat representative at

IT ASSETS • Your Leader will receive an auto generated email with a link to a portal where the PC and
accessory selection plus the address of the location to ship the equipment can be
confirmed.

• Once the hardware and address is confirmed this triggers the creation of the New Hire
Device Request to provision the PC and accessories to the location where the hire will be
based, either in a Dell facility or in a remote/home-based location. Local IT Site Services
(Asset Team) will manage this.

• The pre-configured Dell Laptop is shipped from your base Office, kindly follow site wise
process/contact to reach out to right IT support team. (refer next page for details)

• In case the laptop is not delivered by your start date, VDI access provided to you can be
utilized. You would be required to use your personal laptop to setup VDI. VDI Welcome
mail is sent to your Personal E-mail Id & Hiring Manager Dell E-mail Id. You can connect
with the IT Team (as per your Dell base location given above) for any setup issues.

WELCOME EMAIL • Three business days prior to your joining date you will receive a welcome email from HR
with the subject line - Prepare for your First Day at Dell Technologies.

• This email would include the details of the Onboarding documents required prior to and
post your start date. (e.g., Instructions for opening Bank Account / Medical
Insurance/Statutory Forms)

DAY 1 ONBOARDING • On Day1 it is mandatory for you to share the Softcopy of Relieving or Resignation
Acceptance letter, Relieving letter or experience letter from the last immediate
employment. If relieving letter or experience letter is not available for last immediate
employment, then you can provide a copy of resignation acceptance (with last working
date) on company letterhead or with company seal & signature or system/tool generated
email or email confirmation from HR/Manager.

Send the document to hr.ops.india@dell.com . Do ensure to mention your “Employee Id


/ Badge Id” in the subject line.

• Three days prior to your start date, you will receive a Zoom meeting invite from HR for the
Day 1 Virtual Onboarding. Below are the POCs for Day 1 virtual onboarding.

DAY 1 ONBOARDING • Hardcopy documents with wet signature to be dropped at the HR Dropbox placed at
your office, ensure the hard copies are in one single envelope with your Badge
ID/Employee ID and Date of Joining mentioned on it: You can download the filled soft
copy documents from Workday and put your wet signature next to the scanned/E
signature. Your documents need to reach us within One Week from Date of Hire.

• Form 11 / PF Declaration1
• Final Settlement /GPA/Life Insurance Coverage Nomination Form
• Gratuity Nomination-Form F
• FORM ‘Q’ (See Rule 24 (9A)) Appointment
• Payment of wages form
• Declaration by Women Employees
• Education – Degree Convocation Certificate/Provisional degree certificate
• Employment – Relieving Letter/Resignation acceptance letter/email/screenshot with your LWD

• Copy of Current and Permanent Address Proof (If your address proof is different than the Aadhar,
then following document will be considered as valid proof:
• Ration Card / Latest BSNL landline bill / Rent or Lease Agreement / Passport / Voter Identity Card

• Two passport size photograph
• Passport and work permit (Mandatory for foreign nationals)

UAN NOTE
What is UAN?
Please update your UAN in the On- • UAN (Universal Account Number) is a 12-digit 'portable' number allotted to each member

Why is it important?
• The UAN will act as an umbrella for the multiple Member Ids allotted to an individual by
different establishments. The idea is to link multiple Member Identification Numbers
(Member Id) allotted to a single member under single Universal Account Number (UAN).
• It is important to provide the correct & all required details at the time of joining to avoid
multiple UAN generation.
• For Multiple UAN generation there are chances of linking the wrong aadhar number,
contribution transfer to the UAN of another employee, issue while claiming for transfer or
withdrawal due to the data mismatch in PF account.

How do we get UAN?


• From Previous Employer – in case of previous employment.
• First Time Employment/No PF account number in previous company - UAN will be allotted
by present establishment based on Aadhar.

UAN NOTE What are the advantages?
• Portability and Transparency
• Member Passbook downloads (Total contribution amount will reflect month wise remitted
to your PF account)
• All previous work details would eventually come under one UAN number
• PF transfer can be applied online without any hassle by login through UAN

In absence of UAN – what are the consequences?


• A new UAN will be generated by the present employer based on Aadhar
• Later if employee finds his /her UAN from the previous employer – chances of duplication
UAN which will lead to issues in activation, transfer, withdrawal, any claim of UAN & to link
the individual KYC.
• It is mandatory to link the multiple PF numbers with One UAN number with Aadhar linked
to the registered mobile number.
• Employee must get the confirmation of UAN availability of PF account and EPS member
details from previous employer.

Note: If this is your first employment and you have not created a UAN in PF( Provident Fund )
Portal, then please ignore this note. Upon joining Dell in the OBT (Onboarding tool) under the
UAN column – please mention as NA.
