Formats we can accept

We can only accept these file formats:

.pdf

.jpg

.png

.docx

Save all files separately, with filenames that tell us clearly what the file is.

If one document has multiple pages, save it as one file.

Upload each file individually when you apply.

Scanned documents we can accept
We only accept scanned digital copies, in colour, that we can easily read and get information from.

If the original document is in colour, the scanned copy also needs to be in colour. A black and white copy
of a colour document will not be accepted.

The scan must show all parts of the document:

all edges and corners

all information

any stamps, seals or instructions.

You do not need to have the copies certified, but you must only upload copies of the original documents.

Award certificate
This is the certificate issued by the awarding organisation in the original language.

You might have received this at a graduation ceremony after completion of your course.

Evidence of name change

If your current legal name (the name that is listed on your passport) is different from the name listed on
your award certificate(s), you must provide evidence of your name change.

This could be a:

marriage certificate

deed poll or

affidavit.

Passport bio-data page

This is the section of your passport that shows your photograph, name, date of birth, and nationality.

If there is a page that mentions your parents’ names, please also provide that page.

Transcript, academic record or mark sheet

A full:

transcript

academic record, or

mark sheet.

This must show details for each year of study.

It must include the subject names and results (grades or marks) you obtained for each paper or course
component you completed.

If you completed a full semester or more with a different education provider and details of this are not
included on your transcript, we need this information from you.

If you cannot provide a transcript (for example, if your awarding organisation did not offer them at the
time), you must supply a syllabus from the time of your study.

Got any feedback?

We may accept a letter from the awarding organisation, if it outlines the content, structure and duration of
the study programme.

Documents that may be required

English translations
If your documents were not issued in English, you must provide an English translation by a recognised
official translation service for each document.

English translations must be carried out by:

the Translation Service of Internal Affairs

an Embassy or High Commission, or

https://www2.nzqa.govt.nz/international/recognise-overseas-qual/iqa/requirements-for-evidence-and-document/ 6/8

a private or official translation business.

Include scanned copies of your original documents along with the translated copies.

Related or underpinning qualifications

You need this if you have another relevant qualification that relates to the qualification you need
evaluated.

If you nominate a qualification for evaluation that is required another qualification for entry (for example, a
master's degree generally requires a bachelor’s degree for entry), please provide the transcript and award
certificates as supporting documents so that we can see the educational pathway that led to your higher
qualification.

We will not evaluate the related or underpinning qualifications as part of the main application.

If you need the related or underpinning qualification to be evaluated, submit a separate application for it.

Teaching IQAs must have their related or underpinning qualifications evaluated. You will need to apply for
an IQA for these related or underpinning qualifications.

Syllabus or course descriptions

If your transcript, academic record or mark sheet does not include the names of the courses/subjects you
completed (for example, if it only shows the course codes, or only lists the courses as "Module 1", "Module
2", without any other information), provide a syllabus and/or course descriptions of your programme of
study that outlines the courses/subjects covered.

Got any feedback?

We recommend that you include a syllabus and/or course descriptions wherever possible, especially if you
are applying for a Teaching or Skill Shortage List evaluation.

If the syllabus and/or course descriptions are available on the awarding institution's website, you can
provide the link.

If a syllabus and/or course descriptions are not available and the transcript, academic record or mark
sheet does not include the detail we need, contact your awarding institution and ask them to provide you
with a letter with details of the courses/subjects taken as part of your programme.

Trade certificates: Evidence of apprenticeship or trade experience

For trade certificates, if you completed a formal apprenticeship, please include the formal contract of
apprenticeship.

This would have been issued to you by your employer and endorsed by the relevant training authority in
your country. This will include the dates you started and completed the apprenticeship.

If you completed your trade qualification through work experience or workplace training, please include a
letter from the relevant trade occupation authority testifying duration of training and that the qualification
was achieved through passing a trade test examination.

Please also include your trade certificate, trade test report or report of results, or examination certificate.

NZQA cannot evaluate stand-alone work experience and/or competency-based certificates.

Depending on the pathway of the trade qualification, NZQA may not be the appropriate body to evaluate
your skill set, abilities and/or competency in a specific area of trade.
