Health and safety welcome booklet

Welcome to Twenty One Flavour Company. You will find in this


booklet some instructions for health and security at work. These are
mandatory when you are working in the different buildings occupied by
the research team.
Health and safety managers for the research team are:

 Department of Food Science and Technology - AI 2218 laboratory


 Institute of Food Research and Product Development - 925 office

If you have some questions when reading this booklet, do not hesitate to
ask to your scientific manager.

Each newcomer must have read the booklet and undergone the training
before beginning any experiment in the lab.

General safety instructions

 Smoking is strictly forbidden inside the different buildings.


 If you are witness of an accident or serious sickness, you must
follow the alerting protocol displayed in each corridor.
 In case of slight injury, first-aid kits with gloves, pads, disinfectant,
dressings, scissors, tweezers, eye-wash dispensers, are available :
- In the 2218 laboratory
- In the 925 office

 In case of fluid splashed in the eyes, emergency eye wash


fountains and eye-wash dispensers are in the labs. In case of fluid
splashed in the eye during an experiment, flush with copious
amounts of water. Tell somebody to help you to achieve the
washing. Hold eyelids open with fingers (clean and without gloves)
and flush with copious amount of clean, fresh water 15 min. If you
have a contact lens, do not remove it.

 In the event of fire, report immediately to the people present in the


lab -Never act alone. Use fire extinguishers available in front of the
lab and give the alert if necessary by bumping the fire warning
boxes located at each landing.

 If you smell gas, report immediately to the people present in the lab
, shut the gas valves and open the windows

 In case of accident, report immediately to the people present in the


lab- Never act alone.

 Report immediately any problem or anomaly: suspicious smells,


equipment which does not function or not normally, broken bottle,
spilled flask, leakages, so that the problem could be solved as soon
as possible.

 When the audible alarm of the building is sounding:

*If you are doing some experiment with hot plate or water bath,
shut it down before leaving your workstation.
* If you are doing other types of experiment or if you are at desk,
leave your workplace.
* Then you must go calmly to the nearlest exit and stay together
outside of the building.

Specific instructions for work outside normal opening hours of the


building
Opening hours for FST department and 925 room are the following: 8.30
a.m. – 4.30 p.m. from Monday to Friday.
To ensure safety of persons that must work in the lab outside normal
opening hours, the following dispositions are taken:
o Any person wanting to work outside normal opening hours must
inform lab manager.
o Magnetic card is necessary for building access
o Any person present in the building is responsible for general
security of the building. It must check that exterior entrance doors
and window are well closed. It is forbidden to let non authorized
people enter the building.
o Any person coming to work in the epicure building must write the
time and date of arrival on the white board placed at the basement
entrance, under the gallery. The information will be useful for
rescue, Erase information when leaving the building.
o It is mandatory to work at least by pair if the work to be done
exceed 1 hour or in case of work with specific hazards.
o In case of a short work period (< lh) with no hazardous products
or device, individual work could be accepted if notified by phone
to someone, at arrival and departure. This is the case in particular
for desktop work, shut down of equipment, change for dialysis.
o If there is a doubt, hazard will be evaluated by health and safety
managers by scientific manager, and by the head manager of the
company.
o It is strictly forbidden to transfer liquid nitrogen outside normal
opening hours
o The lift is not operating outside normal opening hours.
Particular safety and hygiene instructions in the laboratory

MIND YOUR HEALTH AND THAT OF OTHERS

o The wearing of the lab coat is mandatory for any manipulation in


laboratories only. The lab coat must be left during office work,
breaks.
o Personal protective equipment (PPE) (special gloves for solvents,
thermal protection gloves, masks, glasses, hearing protection
helmets) are available at 2218 laboratory
o Due to the potentially pathogenic or toxic nature of the
microorganisms or chemicals that you handle, it is imperative to
work with maximum precaution: 0 It is forbidden to drink or eat
in laboratories or to use laboratory equipment for your food
(refrigerator or microwave oven)
- You need to use rubber Pears, propipettes or micropipettes to
pipette your solutions
- Do not try to recognize a product with the help of smell
- Do not make unknown mixtures that may be incompatible
- It is strongly recommended to wash your hand before leaving the
laboratory

Handling of chemicals

o The handing of certain product may be subject to medical


monitoring of users. It should also be avoided for users who have
certain medical histories. In this case, it is imperative to consult
the occupation physician before starting the manipulations.
It is therefore essential to be well informed before using a toxic or
harmful product

o If you must use toxic or harmful product, you must always inform
your supervisor.
o You must also carefully read the safety data sheet (SDS), which
give important information concerning the product characteristic,
storage and handling (wearing the lab coat, gloves, mask, etc.) its
disposal, the measures to be taken in case of accidental dispersion,
in case of inhalation and ingestion.
o The safety data sheet are available on the internet at the supplier’s
website.
o When handling, you must protect yourself by carefully following
the safety measures indicated on the safety data sheet: wearing
glasses, a mask, gloves, using a fume cupboard or a chemical
fume hood. Remember to start the hood 10 minutes before
handling and turn it off 10 minutes after handling.
o You must take care not to contaminate your environment: take off
your gloves before touching the equipment around you (door
handles, switches, water taps, telephone, computer and scientific
devices) to avoid contaminating this equipment and put endanger
all the people in the laboratory. It is sometimes wise to put a hand-
only glove that handles the toxic product and keep the other hand
without a glove to touch the equipment or to wear 2 pairs of
gloves, one of which will be left to handle the equipment.
o You must also change gloves as soon as you suspect a
contamination of them with a toxic and/ or chemical product.
o In general, the dangerous products must be used in minimal
quantity for the manipulations and it is better to use a tool to
handle them (spatulas, labspoons ...): the gloves which you carry
can present microcracks leaving the dangerous product to enter in
contact with your skin.
Elimination of chemicals:

o the disposal of products, you must comply with the instructions


given in the safety data sheet and the waste management rules of
the laboratory
o Here are the instructions for usual products:
- Non-chlorinated organic liquids or Non-halogenated organic
liquids commonly called Solvents for methanol, acetonitrile, and
diethyl ether. Note: this container must have a pH> 4 (if the pH is
lower it will follow the route of the acid drums, a quality control
is carried out by the company that treats these cans, and the
presence of chloride, fluoride is verified
- Chlorinated organic liquids or Non-halogenated organic
liquids cans commonly known as solvents for dichloromethane
- Acid cans for all acidic corrosive reagents except nitric acid
which must not be mixed with other acids. This acid can react
violently with certain organic substances and deform the can.
- Bottles bases: for corrosive basic reagents such as NaOH, KOH
Cans environmentally hazardous waste: ethidium bromide, phenol
* Make a habit of checking that the reagent you are pouring
into the can is written on it, otherwise, add it
* Check the level
* In case of doubt about the procedure to be followed to
dispose of a waste, do not hesitate to ask for information from
your supervisor

Elimination of empty bottles, vials, etc.

o At IUW Glass bottles (and possibly plastic bottles) that have


contained hazardous chemical reagent are discarded and not rinsed
in the laundry trash bin. Do not leave the bottles on the floor in
your laboratory
o Plastic vials that have contained a non-hazardous product are
thrown in the gray trash receptacle of your laboratory or
launderette.
o The wine bottles are rinsed and thrown into the glass bin of the TP
preparation room

Elimination of broken glass bottles, Pasteur pipettes


o Broken glass/Pasteur pipettes: are thrown in dedicated white bins
Located in the 2218 lab room

Handling of liquid nitrogen

o Wear safety glasses and cryogenic gloves when handling liquid


nitrogen and transport it in an airtight container
o Anticipate the day before your handling to fill the stock bottle. For
this, it must be deposited in the evening.
o For Epicure in the gas room under the administrative gallery. The
bottle will be filled
o in the morning by the delivery man of Air Liquid. The key of the
room is in the processing office
o For the transport of cylinders, follow the procedure below.
Rules of life in the laboratory

Health and safety concerns all people working in the laboratory:


they depend essentially on the discipline and rigor that everyone needs to
respect the organization and cleanliness of rooms and equipment.

o As a general rule, laundries, preparation rooms and common


equipment represent the sensitive points of the laboratory where it
is necessary to be vigilant.

o Before and after each use, wash your hands thoroughly with soap

o After handling, store the used equipment and carefully clean


anything that may have been dirty (bench, equipment, dishes)

o Mandatory identification of all plastic consumables. (tubes,


boxes etc.) and glassware that you place in an oven, refrigerator,
freezer--- Name of the manipulator, date, content and
concentration in particular for acid solutions. You must also
postpone, on the new bottle, the pictograms of risks in case of
liquating or dilution of a toxic/harmful product

o Correct identification facilitates sorting during storage and


cleaning and allows the operator to be found in case of problems.
In case of non-identification of the material, it may be thrown
away

o When accidentally spilling a solution or a product, you must


read the product safety data sheet, pick it up and dispose of it
according to the recommendations in the sheet (do not forget to
wear gloves if the product requires it) then clean the soiled area
with a sponge, dishwashing liquid, diluted bleach or 70 ° alcohol
if necessary.

o Use of sinks:
- Do not leave dirty dishes in the sinks.
- Do not put in sinks object that could clog the siphons (e.g. glass
beads, paper)
- Do not put sharp objects (blades, slats, broken glass ...) in the
sinks to avoid cuts.
- If an object (broken glass, magnetic bar, etc.) accidentally goes
into the siphon, disassemble the siphon carefully by placing a
basin underneath to retrieve the object.
- If you need to move a device exceptionally, think of the
community and leave a note for other users to find quickly and
easily

o In the evening, before leaving:


- Make sure appliances are turned off, especially water baths
but leave in operation, ovens, refrigerators and freezers, and
possibly some devices at the specific request of a user.
- Turn off the gas
- Check that the computers in the labs are turned off
- Make sure all windows are closed.
- Turn off the lights
- Lock the doors.
Remarks: The operation of a laboratory has a cost: be careful not to
waste products and consumables, but also telephone, photocopies,
electricity, gas, heating and water
Cleaning/disinfection of benches and equipment
o To clean equipment or benches, use 60 ° or 70 ° alcohol (diluted
alcohol)
o The ethanol store is in 2218 laboratory
o When there is little alcohol in stock (about half can), report it to
lab manager.
Dishwashing management
o You must quickly clean your dishes (beakers, spatulas, test tubes,
magnetic bars ) so as not to clutter the benches and sinks and annoy
other users.
o Wash the equipment with dishwashing detergent or DFT and rinse
thoroughly in a basin of distilled water.
o Be careful not to plug the siphons with glass beads, small items or
broken glass.
o Do not forget to put the dishes away when they are dry in cabinets
and cupboards. Only clean dishes should be stored.
o Do not stop the dishes for too long. In the case of a handling
requiring a lot of material. (flasks, tubes · for example)' make · sure
to clean them quickly in order to put them at the disposal of the
other manipulators.

Use of devices
Before any first use of a device, you must contact the person
in charge of the device to be trained it is who will reserve the device
and will train you. After having been trained you will have to
reserve the device before use the operating instruction are available,
depending on the device or next to the device.

All appliances must be kept clean and in working order.


Immediately report any problem: suspicious smell, abnormal noise,
faulty equipment.
o Distilled water: located at 2218 laboratory
o Water bath: located at 2218 laboratory
Fill them with distilled water only. Add a small amount of bleach to
prevent water contamination. Remember to stop them when they
are not used (a dry-heat bath can ignite). Clean them periodically.
o Balances: clean them seriously (sponge, water, soap), possibly with
a small brush, so that powder or liquid does not remain stuck on the
tray. Clean the bench around the scales after use.
o Precision balance: Observe the instructions for use, especially for
the self-calibration of the scale.
o Centrifuges: Remember to balance the centrifuges before starting a
cycle. After using the refrigerated centrifuges, turn them off and
leave the lid open. Quickly put the centrifuge pots back into the
circuit so they are available for other manipulators. Do not write
with the marker directly on the pots because in this case, the writing
cannot be removed.
o Cold rooms, refrigerators and freezers: Avoid storing moisture-
absorbing cartons and preferably use plastic tubs. Identify your
material.
o Ovens, climatic chambers: ask the community before changing the
set temperature. Identify your material
o Use of automatic pipettes and micropipettes: Clean the
micropipettes with water and alcohol when they have been soiled.
The common micropipettes must be cleaned and put back in place
after use, those that are assigned to particular items (hood, PSM)
must not be moved.
o pH-meter: Rinse the electrode thoroughly before placing it in the
3M KCI bottle. Check the level and clarity of the KCI. Calibrate the
pH meter before each use, if the calibration coefficient is less than
95% the measurement will not be reliable. Signal it to order a new
electrode.
Stockade of chemicals, reactants, solvents

At Epicure: all products are stored in 2218 laboratory in specific


cabinets

o Solvent. A ventilated cabinet is located in 2218 laboratory for the


storage of the usual solvents.
o Harmful reagents / aroma compounds. They are stored in the
ventilated cabinet of the reserve 2218 laboratory
o Reagents Stored at 4 °C: they are stored in the refrigerator of the
2218 laboratory.
o Reagents stored at -18 ° C: they are stored in the freezer located in
the 2218 laboratory

Inventory management of consumables and chemicals

Plastic consumables (tips, microtubes, microcups, gloves) are


located at 2218 laboratory. When you take the penultimate bag of
material, remember to report it so that the product is recommended.

o Do not store glassware and laboratory products in personal


cupboards. Put them in their place: products must be available to
everyone.
o Before opening a new product bottle, make sure that another bottle
of the same product is not already open.
o Orders:
- Before ordering a product, check that it is not already in the
laboratory, by asking users and consulting the inventory.
- When only a small amount of a commonly used product remains,
recommend it. Similarly, if your manipulations use more material
or products than usual, plan to order them in advance so as not to
be blocked and not to disturb other users.
- Group the orders as much as possible to limit shipping costs:
before placing an order, ask all other users if they have products to
order from the same supplier.

Anticipate your needs in products and equipment because orders


and deliveries can take time.
