of Weigh Stations installed at Unit Number 1 having contract code BRM/DPD4000 at Bhatti Rice Mill
Buttar Road, Nokhar, Farooqabad since 01-01-2016. The performance of the above said contractor has

(OM&M) OF 4x WEIGHT STATIONS INSTALLED AT BUTTAR ROAD,
NOKHAR, FAROQABAD.

Dear Sir,

Reference to the above subject the board of directors meeting held on 01-12-2015 regarding Tender
BRM/DPD4000; the following decisions have been finalized.

1) Your Tender dated 12/12/2015 (as amended by your clarifications, Best and Final Offer dated
09/05/2015 for the provision of Operations, Management and Maintenance of 3x Static Weigh
Stations Installed at Unit Number 1 Opposite Head Bhatti Rice Mill for a period, of five years.
2) I am pleased to inform you that the Board of Directors have made the provisional decision to award
the contract for Operation, Management and Maintenance of 3x Weigh Stations to your company,
after carefully analyzing your technical and Financial Bid.
3) The award criteria for this contract were as detailed in the Invitation to Tender document. The
technical/quality element made up 40 % of the total score and the price element 60% the total score.
4) The overall score you obtained against the award criteria were 90% out of a maximum of 100%
Accordingly the contract will not come into existence until the Authority sends you written
notification of its entry into the contract hence the Commencement shall of the contract shall come in
to place. The Authority shall therefore not be responsible in any way whatsoever:
i) For any work undertaken by you; nor
ii) For any costs incurred by you
5) Prior to the Authority's entry into the contract or issuance of an Instruction to Proceed.
6) When the Authority enters into the contract, you should proceed with the performance of the contract
in accordance with its terms.

Reference to my above letter, we are pleased to inform you that the contract for Operation,
Management and Maintenance of 4 x weight stations installed at Bhatti Rice Mill Buttar Road, Nokhar,
Farooqabad amounting 549,786/- per weight station, per month has been accepted for a period of five
years from 01-01-2016 till 31-12-2021.

You are advised to mobilize your team and equipment if necessary.

You are hereby-directed take over the site as per mentioned date and time and proceed Further in
accordance with the contract agreement.
