Hostel Rules
HOSTEL RULES

1 - CONDITIONS OF HOSTEL ACCOMMODATION


1.1. Hostel accommodation is provided to a student
annually and only for the actual duration of the
academic session of a particular year which is generally
for about 10 months. Students must vacate their rooms
at the end of each academic year/session and hand over
the rooms to the hostel warden. The allocation of rooms
for the subsequent academic year will be completely
fresh and based on the availability.
1.3. The students desirous to stay in the hostels during the
vacation period for their project work etc. are required
to take prior approval and pay maintenance charges.
1.4. The student will be required to sign the receipt of the
items of furniture and fixtures provided in the room for
their use. They will be responsible for any damage to the
furniture and fixtures or the property.
1.5. The students at the time of admission are required to
give names of local guardians approved by their parents
in the prescribed proforma.
1.6. The final year students should vacate the hostel within
7 days from the date of completion of the final
examination. However, they will be allowed to stay with
prior permission on chargeable basis.
1.7. Security of students’ belongings is their own
responsibility. The students should ensure that they
lock the rooms before they leave for the day’s schedule.
Any incidence of theft should immediately be reported
to the hostel warden.
1.8. Officials of the Hostel/University are authorised to
enter any room at any point of time for verification.
Management also reserves the right to break/open any
room in case of any suspected unlawful activities or
prolonged absence from hostels without prior
permission.
1.9. The officials of the University/Institutes have the right
to check the luggage/belongings of the students
anywhere including at the hostel rooms.
1.10. The Management has a right to change the allocation of
rooms or get the rooms vacated at any point of time, if
exigency demands.
1.11. The management reserves the right to terminate the
occupancy of the student for any willful disobedience or
defiance of authority, non-observance of hostel rules,
causing damage to a person or property, or indulging in
anti-national or undesirable activities. In such cases, the
deposit may be forfeited and fees will NOT be refunded.
1.12. The common areas of hostel buildings such as entrance,
corridors, reception, waiting area etc. are under CCTV
surveillance to ensure the safety and security of hostel
students and also to keep watch on the discipline of
students.
1.13. It is mandatory for all the students to avail the Mess and
laundry facilities and the students are required to
deposit the annual charges in advance. Only vegetarian
food will be served in the mess. Students proceeding on
leave, be given a rebate of up to 80% of the admissible
charges subject to following conditions:
A. It should be sanctioned leave including prefix and
suffix holidays with genuine reason.
B. Period of leave should be for a minimum of five
days in continuation.
C. Advanced information to the Mess coordinator in
writing before proceeding on leave.
2 - HOSTEL TIMINGS AND ENTRY/OUT RULES
2.1. Students must follow Campus/Hostel timings strictly.
Presently, the hostel/campus entry timings are:
Campus Entry Time : Up to 11.00 PM
Hostel Entry Time : Up to 11.30 PM
2.2. The students must mark their presence through the
electronic device installed at the entry of each Hostel. It is
the students’ responsibility to contact the warden to get
registered on the device.
2.3. Students entering the hostel after the above-mentioned
timings will not be allowed to enter the hostel unless
he/she produces written permission.
2.4. Every midnight, the hostel management software
compiles the attendance and sends an email to students
who are not present in the hostel, the copy of the same
will be marked to the parents also.
2.5. Hostel students shall not stay out of the hostel
overnight without the permission of the warden. In
case a student desires to stay out of the hostel for a
night or leave the station, he/she must submit an
application in writing specifying the reasons and the
period of stay-out, prior to leaving the hostel. The
Hostel Administration can inform the same to the
concerned parents also.

3 - PROHIBITION ON RAGGING
Directives of the Hon’ble Supreme Court of India, to
prevent and curb ragging at different times, have been
implemented by the University. Ragging in the
hostel/campus is strictly prohibited. Any incident of ragging
will be treated as per the procedure. “Ragging in and outside
campus” is subject to a major penalty to be imposed on the
concerned student(s).
4 - IT USES AND PROHIBITIONS
4.1. Respecting the anti-piracy laws of our country, Nirma
University IT policy does not allow any
unauthorised/unlicensed software installation in the
computers connected to the university campus
network. In case of any such instances, the university
will hold the individual responsible for any
unauthorised/unlicensed software installed on the
computers located in his/her system.
4.2. Students are not allowed to visit prohibited websites.
In case, it is observed, the university will take a strict
action against the student violating the rules framed by
the university on the usage of IT resources.
4.3 The students are required to sign a separate
undertaking confirming to abide by the norms of the
university with regard to the usage of IT infrastructure
and various prohibitions and restrictions.

5 - GENERAL CODE OF CONDUCT


5.1. The entry of the hostel is restricted only to the residents
of the respective hostel. Students from the other hostels
within or outside the campus are not allowed to enter in
the hostel rooms.
5.2. All the visitors must take permission from the warden
and should record their details of visits in the register
kept at the reception counter. No guest will be allowed to
enter in the hostel rooms.
5.3. The guardian/parents of the students would be allowed
to meet their wards during the scheduled hours, in the
designated areas only. Entry of parents and guardians in
the hostel rooms is not permitted.
5.4. Food will not be served in the hostel rooms unless a
student is sick and unable to move out of the hostel.
5.5. Students are not allowed to bring/order non-vegetarian
food on the campus.
5.6. All cases of sickness must be reported immediately to
the warden/institute coordinator. This is a joint
responsibility of the sick student and his/her roommate
and also those staying in the adjoining rooms.
Emergencies or accidents should be immediately
reported to the concerned hostel warden and the
institute coordinator.
5.7. As the hostels are located on the campus, the students
are expected to conduct themselves in a manner, which
will not cause embarrassment or inconvenience to
other members at the campus.
5.8. The students must observe complete discipline inside
the hostel premises and see that amenities such as
water, electricity, furniture, etc. are used properly, and
without any wastage or destruction. Defacing walls,
equipment, furniture etc., is strictly prohibited. The
students shall be responsible for any damage caused in
the building or any other articles in the hostel, and will
be required to pay for the damage/s as decided by the
competent authority.
5.9. Students must keep the hostel, premises and their
rooms clean. Littering on the premises/campus/sports
ground etc. is not allowed.
5.10. When a student goes out of the room, he/she should see
that the lights and other electrical equipment are
switched off.
5.11. Students are not allowed to use electric stoves, heaters,
etc. in the rooms.
5.12. A student shall only occupy the room allotted to
him/her in the hostel, and shall not change the same.
5.13. Gambling, possession and usage of alcoholic drinks and
narcotics anywhere within the hostel premises/campus
is strictly prohibited. This is in accordance with the
legal requirements of the State. Involvement of a
student in a criminal act like using alcoholic beverages,
drugs, gambling in or outside the campus including
instigating the other students for such action” is subject
to a major penalty to be imposed on the concerned
student(s). Any student found involved, even in a minor
form, will be suspended from the hostels and
disciplinary action will be initiated against him or her.
5.14. Smoking/vaping/chewing pan or tobacco or gutka on
the campus/hostel is strictly prohibited.
5.15. Photo-shooting/video-shooting of other inmates /
students without their knowledge and permission is
considered a violation of hostel norms and would entail
disciplinary action.
5.16. It is mandatory for all the Hostel Inmates to report any
in- disciplinary incidents noticed in their rooms or any
other room, to the Chief Warden. All room-mates are
equally responsible for any unlawful activities carried
out in their rooms. Non-reporting of such incidents, by
co-inmates residing in the same or different rooms and
not directly or indirectly participating in such activities,
would be construed as supporting such unlawful
activities and disciplinary action shall be initiated
against them as well.
5.17 Any kind of discrimination on the basis of caste, creed,
religion, language, ethnicity and disability is strictly
prohibited.
5.18. No celebrations or social gatherings shall be organised
in the hostel premises without the prior permission of
the Chief Warden through hostel warden.
5.19. Birthday celebrations/parties by students with their
colleagues (with or without their consent) in hostel
premises/lawns by throwing pieces of cakes, water,
pulling their legs and hands, hitting them, etc. are not
permitted as they may cause injury to the students. The
complaint, if any, on this matter will be dealt with by the
Institute discipline committee.
5.20. All complaints about the staff working in the hostel
shall be made to the institute coordinator / warden /
chief warden, and under no circumstances the students
will argue/abuse, or assault the staff.
5.21. Tipping of Hostel Warden, Security Guards,
Housekeeping staff etc. is not permitted.
5.22. Any complaints regarding electric equipment,
plumbing, etc., are required to be entered in the
‘Complaints Book’.

OTHER RELATED PROVISIONS


A. Dress Code on the Campus
Nirma University emphasises not only sound academic knowledge
but also believes in the all-round development of its students.
Overall grooming and the way the students present themselves is
an important aspect that needs to be taken care of before the
students enter the professional world. Good grooming is a part of
a successful career. The university, therefore, reinforces that the
students are well-dressed and well-groomed on all days.
The right type of dressing makes or breaks the personality. The
university urges all the students to be formally, and semi-formally
dressed on the campus, except for the sports ground and inside
the hostel premises.
Please ensure that you observe the following guidelines:
Do’s
You may wear formal and casual like:
Formal Dresses including pants and long below-knee length
skirts, dresses, sarees, etc.
Business professional including formal pants, shirts etc.
Business casual including khakis, chinos, salwar suits, etc.
Semi-business casuals including dark jeans and a shirt
Leather, formal, and Semi-formal shoes and sandals

Don’ts
You should avoid wearing informal dresses like:
Shorts, Bermudas, any knee-exposing bottoms
Shoulder baring tops
Midriff-baring tops
Skinny and skimpy dresses
Transparent and inappropriate dresses
Tank Tops
Ripped Jeans
Inappropriate dressing on the campus will be considered as an act
of indiscipline and appropriate disciplinary action will be taken
against such students.

B. RULES FOR MAINTAINING VEHICLES ON THE CAMPUS


Those students who wish to maintain a vehicle on the campus are
required to adhere to the following guidelines prescribed by Nirma
University.
1. Only TWO-WHEELERS (one per student) are allowed to be
maintained on the hostel/campus. Vehicles with modified
silencers will not be allowed.
2. Any hostel student wishing to maintain vehicle on the
campus should apply in a prescribed format along with a copy
of his/her driving license and a copy of RC book for
permission. Once the permission is granted to the student,
he/she will be given a pass (a sticker) to be affixed on the
front side of the vehicle.
3. Students/Hostel residents are not allowed to use the
vehicles to commute to the institute from the hostel.
4. No student under any circumstances will be allowed to go out
of the campus on the vehicle between 10:00 pm to 6:00 am.
5. Students are required to park their vehicles only in the
designated parking area.
6. The speed limit of the vehicles on the campus should not be
more than 20 Km per hour. Rash driving, bike rally, or any
other such practices are not allowed on the campus.
7. The vehicles are allowed to park on the campus at the
students’ risk, and the Management is not responsible for any
damage or loss.
8. The students are required to follow the traffic rules
prevailing in the State.
Any incidence of violation of the above norms shall be treated
very seriously, and the penalty will be imposed on the
concerned student(s). The following penalties are
recommended:
a) If any student is found violating the above norms, for the
first time, a penalty of Rs. 500/- will be imposed.
b) If any student is found violating any of the norms again,
he/she will not be allowed to use the vehicle in the
future during his/her stay in the hostel. In case he/she is
found driving any vehicle on the campus after
imposing the ban, the matter will be treated as
indiscipline leading to major penalties.
C. Public Display of Affection (PDA) and Etiquette on the
Campus
The university has strict policies in place to ensure the safety and
well-being of all students, and any violation of these policies will
result in disciplinary action.
Public Display of Affection (PDA) is inappropriate behaviour on
the campus. It can affect others in several ways, including some of
the following:
1) It can make others feel uncomfortable and embarrassed,
which can lead to a negative and hostile environment.
2) Such actions can distract others from their academic pursuits
and affect their ability to focus on their studies.
3) It can invade others' personal space and make them feel
violated of their basic rights.
4) Engaging in PDAs is seen as disrespectful to others and can
harm community relations.
The university encourages all students to be respectful of others
and to maintain a professional and educational atmosphere on the
campus. PDA will be considered as a misconduct and appropriate
disciplinary action will be taken against any students’ indulging in
it.

D. HEALTH CARE CENTRE


The university houses a Health Care Centre on its campus that is
open for all members on working days. The timings are from
12:30 pm to 6:00 pm (Monday to Friday) and from 9:00 am to
3:00 pm (working Saturdays). The doctor can be contacted over
the phone in case of any emergency other than the above hours
also. Ambulance service is available round the clock for students
to cater to the transport requirement of medical emergencies
occurring on the campus.
The details are as follows:
1. Ambulance service is available only for dropping the patients
from Nirma University Campus to a nearby hospital, located
within a radius of 15 km. The ambulance will not wait to bring
the patients back from the hospital.
2. Ambulance service should not be used for routine check-ups,
consultancy etc.
3. Only one Ambulance is available on the campus and therefore,
if the same is engaged in handling one emergency, alternative
arrangements such as the services of “108” could be availed
in case of any other emergencies occurring simultaneously i.e.,
at that point of time.
4. Misuse of ambulance service will attract strict disciplinary
action.
5. Nirma University has a tie-up with SGVP Holistic Hospital,
Ahmedabad for the medical requirements of employees and
students. As per the tie-up, any employee/student willing to
avail the medical facilities would be eligible for the discounts
on production of Nirma University Identity card. You can
contact the warden for more details.

the rules without prior notice. All disputes are subject to
Ahmedabad jurisdiction only
