Harriet E Richards Alumni Association Executive Board Meeting Minutes November 1, 2009 11am

Attendees: Marjorie Kettell, President; Zomana Majid, Vice President; Rebecca Martin, Database Secretary; Hillary Johnson, Communications Secretary; Clara Herrero, Treasurer; Katie Bailey, House President; Ali Roussilhes, House Director; and Arianna, House Treasurer. NEWSLETTER UPDATES: The Board decided that all content should be emailed to Rebecca to allow printing and assembly by next HERAA meeting in December. The Board discussed emailing an electronic copy of the newsletter to Alumnae in the Database with email addresses. This would save on snail mail costs on a large portion of the newsletter. Rebecca will look into the best financial options for printing and stapling the newsletter. The budget is typically $450 or so each year, but we are always looking for ways to reduce the price. Rebecca has received most articles from the E-board. Katie will again request any possible articles from the current HER women studying abroad. Marjorie will make some calls to additional alumnae for possible contributions and will write something about some fellow alumnae (Elaine Panaretos (Bowditch)). The deadline will be to get all articles to Rebecca by November 22, 2003. Rebecca will email a copy of the Red Book questionnaire form to Marjorie to update for this issue of the newsletter. Katie will confirm possible dates for the Alumnae Tea with the House. Suggested Dates are April 10th or April 17th, 2010. The Valentines Day Tea will be Sunday, February 7thafter the HERAA board meeting. (Alumni can help with the planning). WEBSITE UPDATES: Zomana sent out a posting on the Alumni Weekend HER Open House. The Email went out and there was a listing of events on the website. The open house went well for advertising the House to prospective house members as well as visiting alumnae.

Zomana will look into website compatibility issues for MAC vs. PC and certain Browsers. There is a possibility that some people may be having trouble viewing the her-house.org website on certain computers. The House gave Zomana pictures for the House Holiday Social, Fall Faculty Wine and Cheese, and 2009 Alumnae Tea. Marjorie suggested showing pictures of the Board. Dean Melville called the Board The Overseers of the house, so the board posed for a picture to be put on the website. RENOVATIONS: Katie reported that current House Member, Carly, is head of the renovations committee. She will bring a list of suggested renovations to the December HERAA Meeting. Zomana recommended having a new gentleman, Charles Robinson from Woburn (781-9332950) look into some of the additional items on the renovations list, as the Board felt Mr. Tom Johnson was a bit expensive. Buffet Table: The damaged/missing piece of carving on the front of the Buffet Table was located in the drawer and re-attached to the front of the buffet table. The table is now repaired. Bathroom Sink: The House reported that one of the bathroom sinks was leaking and is cracked. Marjory advised the house members that the sinks are generally BUs responsibility and recommended contacting Dick Steel at Building and Grounds. The HERAA did purchase and pay for installing a new sink in the front foyer bathroom, but that was to preserve some of the decorative ambiance in the entry way of the house. In general, the more industrial sinks in additional bathrooms are owned by BU and the House should coordinate with B&G. Kitchen Floor: Repairs to the water-damaged kitchen floor are still outstanding. Curtains: Marjorie mentioned looking into a steam cleaner for cleaning drapes while still on the rods. The board asked if they possibly need to purchase new curtains, but decided to postpone that discussion until after a cleaning. Television Stand & Sofa: The Board wants to get a new stand for the Television, as well as a sofa. Marjorie needs a date when someone from the house can go shopping with her. The budget for the Sofa and TV stand was set at $1,000. TREASURER: Clara and Marjorie will meet to discuss a plan of action for treasurer issues and signatures at the bank. Zomana requested that we discuss the budget for the year in more

detail. Clara will come with a budget to the next meeting. Marjorie will coordinate with Clara and they will design a periodic report.
The Next House Meeting will be in Early December and we will assemble the Newsletter.
